Does Upserve Integrate With QuickBooks?
Yes, you can integrate Upserve with QuickBooks Online or Desktop, Xero, Sage Intacct or NetSuite using Autymate. Autymate builds the connection around how your Upserve account exports: the HQ reports and Accounting Export your team already downloads, or partner API credentials created in Upserve HQ if Upserve lists Autymate as a partner. Each restaurant's closed day posts with sales by category, comps, tax and card tips in their own accounts.
Connects to
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Sage Intacct
- NetSuite
- Payroll and reporting
- and 300+ more systems
Upserve is the restaurant POS Lightspeed sold as Lightspeed Restaurant U-Series. On April 29, 2026, Lightspeed announced the sale of the Upserve U.S. hospitality product line to Skyview Equity, covering about 3,200 U.S. locations. As of October 2026, upserve.com carries the Upserve name again, and Upserve's help still covers the same QuickBooks routes: an IIF journal file for QuickBooks Desktop, and QuickBooks Online through its accounting partner.
A full-service day carries more than its sales total: comps, discounts, tax, tips that belong to staff, and card money that arrives in two streams with different fee rules. Autymate assembles that day for every restaurant, so nobody re-keys it into the books.
Which Upserve Plan Do You Run?
As of October 2026, Upserve sells three plans, and the plan decides what your account offers on its own: whether accounting sync is listed, and whether you can create API credentials for a partner. The per-location basis of each price is not stated on the pricing page.
| Plan | Monthly software price | Accounting sync (as listed on upserve.com/pricing, October 2026) | API credentials | How Autymate connects |
|---|---|---|---|---|
| Go | $0, processing fees apply | Not included | Not included | The HQ reports your team downloads |
| Core | $59, processing fees apply | Add-on | Self-service, for listed partners | Partner credentials where Upserve lists Autymate, otherwise the HQ reports |
| Pro | Custom | Included | Not stated on the pricing page | Partner credentials where available, otherwise the HQ reports |
Upserve's help names an accounting partner as its route to QuickBooks Online. As of October 2026, its pricing page lists "Accounting sync - QuickBooks Online and Xero" without naming who provides it.
Restaurants on an earlier plan (in December 2022 Upserve listed Core, Pro and Pro Plus) can see their plan in Upserve HQ.
What Upserve Data Moves, and Where It Lands
Upserve's Sales Report groups a day by category and tender, with comps and voids beside it, and card money arrives in two streams: Legacy Payments, and Lightspeed Payments taken on Mobile Tap readers (Mobile Tap on this page). Each piece has a home in the books, and two of them belong to someone else.

| In Upserve | Where it belongs | What it costs you when it is wrong |

| What the restaurant sold | ||
| Sales by category | Food, beer, wine and liquor sales on your own chart of accounts | Bar and kitchen blur into one line, so no one sees which side carries the margin |
| Comps | A comps account against the sales they reduce | Manager comps disappear into a smaller sales figure and are never reviewed |
| Discounts | Discounts against the categories they apply to | Promotions look like weak sales instead of a choice someone made |
| Voids | Kept out of sales, and visible in Upserve's Voids report | Rung-and-removed items inflate sales if a report is read at the wrong stage |
| Held for someone else | ||
| Sales tax | Sales tax payable | Tax collected reads as income until the return is due |
| Card tips | Tips payable until staff are paid, in cash at close or through payroll | Tips read as sales, and paying staff reads as extra labor cost |
| Cash in and out of the drawer | ||
| Pay ins and pay outs | The account each one belongs to, from Upserve's Pay In/Pay Out report | Cash that left the drawer for supplies shows up as a shortage |
| How the money arrived | ||
| Legacy card payments | A holding account, cleared by a deposit at the card total | Fees taken separately get mistaken for a missing deposit |
| Mobile Tap payments | A holding account, cleared by the net deposit and the processing fees | The deposit looks short by exactly the day's fees |
| Cash | Cash on hand, then the bank when it is deposited | The cash count never meets the books, so over and short go unexplained |
One Restaurant's Friday, Posted Properly
Here is one Friday at an Upserve restaurant with a full bar. Net sales after comps and discounts were $6,880.00. With tax and card tips, guests paid $8,465.60, and Friday's deposits came to $8,416.98, because Mobile Tap card payments arrive net of their fees.

The Legacy deposit ties: Upserve deducts those card fees separately, so $5,920.00 of card payments arrives as $5,920.00. The Mobile Tap deposit does not, because its $48.62 of processing fees came out before the money moved, and Upserve shows them only once the day has closed. Booked like the Legacy stream, every Mobile Tap day leaves a small gap that someone has to chase. Autymate can be set up to read the Processing Fees figure from Upserve's Payments report and post it as a cost.

Sample figures for one restaurant. The sales categories are examples; yours come from your Upserve setup. Tax is 7% on net sales here; rates, and whether alcohol carries its own tax, vary by state. Card tips here are paid through payroll; tips paid from the drawer lower the cash deposit. Legacy card fees are left off this day because Upserve deducts them separately from the deposit.
Where Upserve Data Can Go
Upserve integrations for the books start from the same closed day wherever it lands, and restaurants in one group can post to different systems.
- QuickBooks Online
- A journal entry or sales receipt per restaurant and business day, in the format your accountant picks, with each restaurant as a location or class. QuickBooks Online integrations
- QuickBooks Desktop
- The same mapping posted into Desktop company files, without downloading an IIF file for each date range. QuickBooks Desktop integrations
- Xero
- Each restaurant as a tracking category, with Legacy, Mobile Tap and cash deposits ready to match against the bank feed. Accounting integrations
- Sage Intacct
- Location and entity dimensions on every line, for groups that hold each restaurant in its own company. ERP integrations
- NetSuite
- Restaurants routed to subsidiary, location and class, for hospitality groups with shared services. ERP integrations
- Payroll and reporting
- Card tips and labor toward payroll, and every restaurant's day to a warehouse or BI tool. Payroll integrations
How Upserve Connects
Upserve lets a restaurant create API credentials for a listed partner in HQ, and its HQ reports download as CSV. The connection starts from whichever of those your account offers. The careful part is card money that arrives net of fees or in a separate stream.

For your IT or accounting team: the technical detail
- Open checks
- Upserve's Accounting Export waits until a range has no open or unbalanced checks, so a day that does not balance is held rather than posted.
- Fees after close
- Mobile Tap processing fees appear in the Payments report once the day closes, so they are read then.
- Upserve's preset accounts
- Upserve starts its mapping from the National Restaurant Association's Uniform System of Accounts for Restaurants. Those names are mapped once to your own chart of accounts, so nothing posts to an account you do not use.
- Who owns what
- Lightspeed kept the analytics technology behind Lightspeed Insights when it sold the Upserve product line, and Upserve's help articles still carry Lightspeed and Breadcrumb names. Reports and exports are read as your Upserve HQ produces them today.
Upserve's Own QuickBooks Routes, or Autymate?
Upserve documents two routes to QuickBooks, and for one restaurant on one company file either can be the simpler choice. Here is what Upserve documents, and when a group needs more.
Upserve's Accounting Export
One restaurant on QuickBooks Desktop
Upserve's accounting partner
A restaurant on QuickBooks Online
Restaurant365
Groups that move their accounting into Restaurant365
Autymate managed integration
Groups that keep their books where they are and want every restaurant posted
What Upserve and its partners document
- An IIF journal file for QuickBooks Desktop, one entry per day, up to 31 days per download
- QuickBooks Online through Upserve's accounting partner, which Upserve's help says pulls sales in every day through Upserve's API
- Default accounts from the Uniform System of Accounts for Restaurants, editable by name and number
- Restaurant365 support for Upserve sales detail, labor and intraday polling, as Restaurant365's own integration
When a group needs more
- You want every restaurant's day in the books without importing a file for each date range
- You post to Sage Intacct or NetSuite
- You want each card deposit matched to the day it covers
- Several restaurants post into separate companies on one mapping
| Your situation | Upserve's Accounting Export | Upserve's accounting partner | Restaurant365 | |
|---|---|---|---|---|
| Who runs it | Your team downloads and imports each range | The partner, pulling sales each day through Upserve's API | Restaurant365, as your accounting system | Autymate |

| A day with open checks | The export waits until they are closed | Not described in Upserve's help | Not described in Restaurant365's list | Held for your team's review, posted once closed |
| A restaurant that sends nothing | Your team notices | Not described in Upserve's help | Not described in Restaurant365's list | Flagged, and its day posts once the data arrives |
If one restaurant posts to one QuickBooks company and Upserve's preset accounts fit your chart, keep the route you have; it is the simpler setup. Restaurant365 replaces QuickBooks as the accounting system rather than feeding it.
Groups that keep their books where they are and want every restaurant posted? That is the setup Autymate builds and runs.
Talk to us about yoursRunning Upserve Across Several Restaurants
One restaurant asks whether Friday is right. A group asks whether every restaurant's Friday arrived, landed in the right company and used the same accounts. Restaurant groups often hold each site in its own company, and the books have to follow that.

How Setup Works
Most of the work is agreeing where Upserve's numbers belong. After that, the days post on their own.
Connect
We confirm with you which route your Upserve plan supports, partner credentials from HQ or the HQ reports, then connect your accounting system.
Map
A working session with whoever keeps your books decides where categories, comps, discounts, tax, tips, pay outs and both card streams go.
Validate
One real closed day from one restaurant is posted and checked in your books against Upserve's Sales Report and Payments report, down to the deposits.
Automate
Every restaurant's day posts on your schedule once its checks are closed and its reports are in.
Monitor
Autymate's team watches every run. A quiet restaurant, a day that does not balance, a record your accounting system refuses or disabled credentials is held for your team with the reason, and support is on hand.
Decide this before anything is built
Journal entry or sales receipt, a summary per restaurant or per category, and which bank account each card stream pays into. Each one shapes every entry, and changing it later means re-posting history.
What we need from you
- Your Upserve plan, and admin access to Upserve HQ for each restaurant
- Access to your accounting system
- Your tip policy and which card readers each restaurant uses
- Someone to review the first week's postings
What an Upserve Integration Looks Like in Autymate
Every restaurant's closed day becomes one run. You see what posted and what waits.
Autymate turns each restaurant's closed Upserve day into one run. Your team sees every restaurant in one list: what posted, what is held and why, and any restaurant that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Upserve Integration FAQs
Yes, you can integrate Upserve with QuickBooks Online or QuickBooks Desktop using Autymate. Each restaurant's closed day posts with sales by category, comps and discounts against them, and tax and card tips as liabilities, and the Legacy, Mobile Tap and cash deposits can be set up to match the bank. Autymate builds and runs it from your Upserve HQ reports, or partner credentials where Upserve lists Autymate, and Xero, Sage Intacct and NetSuite work the same way.
In Upserve HQ, an admin opens Settings, then Integrations, chooses Add API Partner and selects the partner, and Upserve creates a username and password for that partner to use. If Autymate is in that partner list for your account, the day is read through those credentials, and you can disable them in HQ. If not, the connection reads the CSV reports HQ already produces.
Usually because a check is still open. Upserve's Accounting Export won't download a range until its open checks are closed or balanced (Upserve help), and checks left open on earlier days show in red on the POS. Autymate holds a day that doesn't balance for your team's decision, with the reason and what to check, rather than guessing, and posts it once the checks are closed.
It depends on how each format records tax. A sales receipt carries the day's tax on a sales form, while a journal entry posts it as a line to a liability account, and the two can appear differently in QuickBooks' sales tax reports. Your accountant decides which matters more for your returns. Autymate can be set up to post in the format your accountant chooses, and one test day posted each way shows the difference.
Usually because the payment was changed after its day closed. Upserve's help says a Mobile Tap card payment changed after close shows its processing fee under the date it was processed, not the day of the sale. Autymate can be set up to post each fee on the date Upserve reports it, so a day already in your books is not reopened and the fee still reaches card processing fees.
Yes. Restaurants can move one at a time, and a restaurant still on Upserve's accounting partner or the Accounting Export keeps posting that way until its turn. Autymate works alongside Upserve's own route so nothing posts twice: each restaurant starts on the first business day after the last one already in the books, and every new day is checked against what has posted.
Not so far. As of October 2026 we found no end-of-life notice for Upserve, upserve.com still sells its plans, and Upserve's help still documents the same QuickBooks routes. If a restaurant later moves to another POS, Autymate builds the new connection onto the accounts that restaurant already uses, so its history and its new days sit on the same lines.
Yes, you can integrate Upserve with Xero using Autymate. Upserve also lists Xero among its accounting partners, and as of October 2026 its pricing page includes Xero in the accounting sync on Pro and as an add-on on Core. Autymate can post each restaurant's day to Xero, with the restaurant as a tracking category, while other restaurants in the group post to QuickBooks, Sage Intacct or NetSuite.
It depends on how many restaurants and companies you run, your Upserve plan, and where the books live; setup time depends on the same things, so both come out of scoping. Weigh it against the manual close: re-keying sales took one 15-store Jimmy John's franchisee 40 hours a week before Autymate. Send one restaurant's export or a few days of reports and we price from your own setup.
Autymate holds a SOC 2 Type II report. Access to Upserve is the access you grant, through HQ credentials you can disable or reports your team shares, and every run is logged, with each posted entry carrying a reference back to its Upserve day, so you can see what moved and where it came from.
