Club software keeps client profiles and sends its own emails, so it does part of a CRM's job at the front desk. Sales and marketing usually live in HubSpot, Klaviyo or Mailchimp. A Mindbody HubSpot integration from Autymate turns each trial sign-up into a client in the club software and sends membership status, first visit and visit count back to the HubSpot contact, so every follow-up starts from what actually happened.

The processor pays out net. The books need sales, refunds and fees on separate lines.

Managing member payments across fitness clubs means matching each processor payout to the sales behind it. Autymate reads the day's sales from the club software and the payout from Stripe, Square or the platform's own processor, then posts gross sales by type, refunds and processing fees on their own lines, with the net matched to the bank deposit, location by location. A payout that doesn't match waits for review.

A day of $5,016 in card sales, less a $159 refund and $133.57 in fees, arrives as one $4,723.43 deposit. Book the deposit as revenue and the day looks $292.57 smaller than it was, with no record of the fees. Across twenty studios and a month of payouts, that gap is what a bookkeeper rebuilds by hand.

The club software knows who taught what. Payroll shouldn't need someone to count it.

Club software such as ABC Fitness tracks classes taught, private sessions and pay rates, but the payroll service still runs pay. Autymate sends each instructor's classes, sessions and commission to Gusto, ADP or Paychex as pay lines for the right location, using the rates set in the club software. An instructor with no rate for a class type waits for review instead of being paid a guessed amount.
