Does SpotOn Integrate With QuickBooks?
Yes, you can integrate SpotOn with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct and NetSuite using Autymate. SpotOn's own QuickBooks route is a file from Restaurant Reporting, mapped by POS Category, and for automation its help points to a third-party integration. Autymate builds the connection around how your SpotOn account can provide its data: a route SpotOn opens for the integration, or report files your team sends.
Connects to
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Sage Intacct
- NetSuite
- and 300+ more systems
SpotOn's reports show how a location did. The books need each dollar's account, and SpotOn's own help shows the gap. Its close report defines Gross sales as net plus taxes. Gift Cards Sold is marked "Not intended for liability reporting." Only card payments become deposits, and they arrive net of processing fees.
Three things decide how a day posts: how Auto Gratuity is treated, how Total Cash Due is set, and whether the location runs Dual Pricing. The rest of this page takes each one.
SpotOn Daily Recap Lines and Where Each One Belongs
SpotOn's Daily Recap puts orders, payments, taxes and fees on one screen, for RPOS and Express alike, and its help defines each line. Several sit next to sales on the screen and don't belong in sales.
What the location earned
- Net Sales
- Discounts on Item Sales
- Other Fee Revenue
To split or owed
- Auto Gratuity
- Expected Taxes
- Non-Cash Tips

| In SpotOn's reports | Where it belongs | What it costs you when it is wrong |
|---|---|---|
| What the location earned | ||
| Net Sales | Income, by POS Category | Gross Item Sales minus Discounts and Refunds; read this line, not the word gross |
| Discounts on Item Sales | A discount account, read apart from sales | Item and order discounts combine here, so a promotion disappears into a lower sales figure |
| Other Fee Revenue | Income, by fee type | It excludes Auto Gratuity by definition, so the two need separate rules even though both are charges on a check |
| To split or owed | ||
| Auto Gratuity | Service charges payable to staff | SpotOn's Daily Recap calls it a service charge and its close report calls it tips, so the name alone won't place it |
| Expected Taxes | A payable account for each tax | Tax on a third-party order may sit with the delivery service, and SpotOn reports that difference on its own line |
| Non-Cash Tips | Tips payable, until paid | Tips Collected on the same report adds prepayment tips and takes off tips already disbursed, so the two figures can differ |
| Held for later | ||
| Gift Cards Sold | Gift card liability | SpotOn says this line isn't meant for liability reporting, so the balance needs another source |
| How the money arrived | ||
| CC Payments | Card clearing | Sent straight to the bank, a card day reads high by Fees, and a late payment may land in the next day's batch |
| Custom tenders, within Other Payments | A receivable for each delivery service | Third-party delivery orders can report here, and DoorDash's arrive prepaid, so they count as payments with no matching SpotOn deposit |
| Uncollected Payments | A receivable or a write-off once reviewed, never cash | An order Auto End of Day closed with a balance shows here, and it is revenue SpotOn says was not collected |
| Net Deposit | The bank, clearing the batch | A red amount is a debit, not a deposit, so a rule treating every row as money in would misstate cash |
One SpotOn Saturday, Daily Recap to Net Deposit
Cedar Row runs SpotOn Restaurant POS. Its Saturday shows Net Sales of $8,380.00, a private-room fee, Auto Gratuity on parties and tax, then a gift card sold and card tips, for Total Payments of $10,547.36. Some of that never reaches SpotOn's deposit: a gift card redeemed and DoorDash orders are paid another way. Here is the day as one entry, and how the money reaches the bank.
Daily Recap to journal entry
| From SpotOn | Posts to | Amount |
|---|---|---|
| Gross Item Sales | Sales by POS Category | $8,640.00 |
| Discounts and refunds | Discounts and refunds | −$260.00 |
| Other Fee Revenue | Private-room income | $60.00 |
| Auto Gratuity | Service charges payable to staff | $240.00 |
| Expected Taxes | Sales tax payable | $657.36 |
| Gift Cards Sold | Gift card liability | $200.00 |
| Non-Cash Tips | Tips payable | $1,010.00 |
| ECS gift cards redeemed | Gift card liability | −$65.00 |
| DoorDash orders | DoorDash receivable | −$412.00 |
| Cash short | Cash over and short | −$4.25 |
| Deposit total | Cards batched and cash counted | $10,066.11 |

How the money reaches the bank
| In the reports | What it is | Amount |
|---|---|---|
| Total Batched | Card sales and tips | $9,314.36 |
| Fees | Merchant fees expense | −$263.41 |
| Other | No adjustment this day | $0.00 |
| = Net Deposit | SpotOn's deposit | $9,050.95 |
| Cash counted | Your own bank run | $751.75 |
| DoorDash orders | From DoorDash's statement | $412.00 |
| Commission | Marketplace expense | −$72.00 |
| = DoorDash payout | Paid by DoorDash | $340.00 |
Three dates$9,050.95 + $751.75 + $340.00 | ||
One word needs care. Gross Item Sales here is $8,640.00, before discounts. SpotOn's close report defines Gross sales as net plus taxes, so if its net sales match, that line reads $9,037.36 on this day, $397.36 apart. A rule built on the word picks up tax.
SpotOn defines Total Revenue as Net Sales plus revenue from collected fees. Where that includes Auto Gratuity, posting the line as sales books $240.00 owed to staff as income, so this entry reads the lines underneath it. The $240.00 and the $1,010.00 of tips stay payable, because Cedar Row sets Total Cash Due to Total Cash, the setting SpotOn recommends for locations paying tips on payroll only.
Cash Due of $756.00 against $751.75 counted leaves the $4.25 short. The three amounts in the second panel reach the bank on different dates, $10,142.70 in all, since SpotOn doesn't deposit on weekends and DoorDash pays on its own terms. Have a Daily Recap to hand? See how your days would post.
Sample figures. Cedar Row is on standard funding with fees taken daily; monthly fees and Rapid Funding differ. DoorDash collected the tax on its $412.00 of orders on this setup, so Expected Taxes covers the other $7,968.00, on net sales only; your state may tax a room fee or a mandatory charge, and tax follows your configuration. The $72.00 commission comes from DoorDash's statement, not from SpotOn. Gift cards are physical and rung at face value. Uncollected Payments are $0.00, this batch holds exactly this day's cards, and the $45.00 refund went back inside it. Dual Pricing is off. The cash short comes from the close report's Over/Short. We read Total Batched as carrying card tips; Validate checks that against one deposit.
RPOS or Express, Restaurant Reporting or Dashboard
SpotOn sells two restaurant POS platforms and keeps reports on two sites. RPOS locations can reach both sites, and the reports differ in what they call a line and what they let you download. As of November 2026, this is what SpotOn's help says about each report a close leans on.
| Report | Where and for whom | For the books |
|---|---|---|
| Daily Recap | Dashboard, for RPOS and Express | Downloads as Excel by date range and location. SpotOn lists scheduled Excel exports among its known limitations |
| Daily Sales Recap (Z-Report) | Restaurant Reporting | SpotOn calls it one of its most critical reports, with the metrics needed to close the day, and it holds a Gift Card Summary with Liability. Export is not available; print produces the full report as a file |
| Close report | Restaurant Reporting | Holds Total Cash Due and Over/Short, and defines its own Gross sales |
| QuickBooks Export | Restaurant Reporting | A debit and credit file by POS Category and payment type. We found no article for Express |
| Accounting Summary | Dashboard; the article is written for Express | Downloads as CSV. Replaced the old Sales Summary, and its Gross Sales means before discounts, refunds and taxes |
| Settlements | Dashboard | Total Batched, Fees, Other and Net Deposit by estimated deposit date, as CSV |
SpotOn Teamwork is labor and payroll, a separate connection. Restaurant365 lists SpotOn Enterprise (Appetize) as a third integration, so a venue group should confirm which system it runs.
Dual Pricing and Surcharges on a SpotOn Day
SpotOn offers Dual Pricing, where menu prices carry the processing cost and cash tender gets a discount, and it offers surcharging. It says surcharging cannot be paired with any other program, so a location runs one, the other or neither. Each lands somewhere different in the books.
| Program | In the books | What SpotOn says |
|---|---|---|
| Dual Pricing | Sales at the card price, with the cash discount on its own account | A cash discount; the system applies it to cash tender only, at the rate in your POS settings |
| Surcharging | Its own income line, so food sales stay comparable | The Accounting Summary shows Credit Card Surcharges, inside Total Revenue |
| Neither | Merchant fees, read against Total Batched | No program. Settlements shows Fees on every deposit row, as it does under either program |
We found no SpotOn article saying where the Dual Pricing discount shows in its reports, so it is settled on one sample day at Map, before a rule is written. Mixed into item discounts, it would make cash days look like promotion days, and your accountant decides how it is presented, once, for every location.
Where SpotOn Data Can Go
The accounting system changes how a day is shaped, never what the location collected. One approved mapping covers each POS Category, charge and tender, and each location's day lands where its owner already keeps the books.
- QuickBooks Online
- A SpotOn day as one journal entry, with each location as a location or class, and gift cards on a liability account that moves. QuickBooks Online integrations
- QuickBooks Desktop
- For owners whose company files stayed on Desktop, with the same POS Category mapping an Online file uses, so two owners in one group read alike. QuickBooks Desktop integrations
- Xero
- Locations as a tracking option, so Net Sales, Fees and the cash short read location by location in Xero's reports. Accounting integrations
- Sage Intacct
- A restaurant as a location inside the entity that owns it, with payables for staff charges and tips kept by entity. ERP integrations
- NetSuite
- Locations under the subsidiary that owns them, and each day's card batch can be set up to clear against that subsidiary's Net Deposit. ERP integrations
How SpotOn Connects
SpotOn's developer documents describe an approved route for software, and its reports offer files for the rest. Which route suits your account is settled at Connect, because SpotOn decides what it opens and for whom.

A route SpotOn opens for the integration
API routeSpotOn's documents have an integration request credentials and receive assigned scopes, pass certification, and run a pilot with 5 to 10 merchants before launch. A merchant then signs in and consents, and an integration can reach only the locations that granted it access.
Report files from each location
CSV exportSettlements downloads as CSV and the Daily Recap as Excel, by date and location. A person starts each download, so a bookkeeper or manager takes on that step each day, and we read the files against one mapping.
Reports sent after close
Daily emailRestaurant Reporting can email a report once the location has closed and its batches are finalized, and the Daily Recap can be emailed to an accountant from the Dashboard, in the email's body only. If the POS is left open, SpotOn says delivery may be delayed.
For your IT or accounting team: the technical detail
- Two API generations
- SpotOn's documents call its Central APIs the only publicly available ones for Express and compare them with Gen 1 APIs for RPOS.
- Orders, not days
- The reporting scopes listed are Orders READ and Menu Reference READ. In what we read, no route returns a closed day, so a day is built from its orders.
- Per location
- As of November 2026, SpotOn describes its Restaurant POS Export API as location centric, so each location is its own call.
- Consent covers every scope
- A signing-in merchant must consent to all scopes assigned to the application.
- End of day
- Auto End of Day closes unscheduled orders even with a balance. On Rapid Funding its time is locked and set through batch settings in the Dashboard.
- Yellow banner
- "Some reporting totals may not match" appears while money is unsettled or when reports disagree. SpotOn says it doesn't affect deposits.
- Fiscal day
- SpotOn's help warns to check the Fiscal Day and not just the calendar day when a report looks incomplete.
SpotOn's QuickBooks Export or Autymate?
SpotOn's help lists Restaurant365, DAVO, QuickBooks and Restaurant Systems Pro among its Accounting Integrations. If your books live in Restaurant365, start there: it lists SpotOn sales detail and labor. SpotOn's QuickBooks Export may suit one location, and for automation SpotOn's help points to a third-party integration. The table compares the export with keying by hand and with us.

Talk to us about yoursRunning SpotOn Across Several Locations
SpotOn's location picker can aggregate a Daily Recap across all locations, which suits reading the group. A close needs the other view: one location's sales, its cash count and its own deposit row, kept apart, with Settlements read for individual locations.
One Mapping Across POS Categories.
Locations that name a category differently still need to read alike. Autymate works from one mapping template for every location in the network, so a Bar category at one site and a Beverage category at another reach the same account.Locations in Separate Companies.
Each location lands in its own QuickBooks company, or its own location or class in one company. A location that treats Auto Gratuity differently gets an approved location-level adjustment rather than its own copy of the rules.A New Location Joins the Group.
On an API route, SpotOn's guide says a location is out of reach until it grants access, so a new site is a step for its owner. Once it is on your list with us, a location that sent nothing is flagged, and its day posts once the data arrives.RPOS and Express Side by Side.
A group can hold both, and they don't share a report list. The source for each location is recorded at Connect, and the chart of accounts still reads alike across them.
Send us what each location runs. More on restaurant integrations and franchise and multi-location integrations.
How SpotOn Setup Works
Most of the work is settling what each line means at your locations. Once that's agreed, posting is routine.
Connect
We record which platform each location runs and what it can provide, agree the route with you and with SpotOn where needed, and connect your accounting system.
Map
Your bookkeeper and our team give each POS Category, fee, tax and tender its account, and record how Auto Gratuity and Total Cash Due are set at each location.
Validate
One closed day from one location is posted and tied to that day's Daily Recap and its Settlements row, with Total Revenue read against your own numbers.
Automate
Each location's day posts on the schedule you choose, as a summary entry, once its data has arrived, carrying a reference back to its POS day.
Monitor
Autymate's team watches each run. A new Custom tender with no account is held for your decision with the reason and what to check, a day already posted is caught by the duplicate check, and support is on hand.
Decide this before anything is built
How Auto Gratuity is treated; how tips reach staff at each location; whether card fees post daily or from the monthly statement; and one entry per location or per POS Category. Settle these four with your accountant first.
What we need from you
- Which locations run RPOS and which run Express
- One Daily Recap and one Settlements row from each kind of location
- One close report from each RPOS location, for its Total Cash Due and Over/Short, and how Express locations record their cash count
- Your Total Cash Due setting and who pays out tips
- Whether each location runs Dual Pricing or surcharging
- Access to QuickBooks, Xero, Sage Intacct or NetSuite
What a SpotOn Integration Looks Like in Autymate
Every restaurant's closed day becomes one run. You see what posted and what waits.
Autymate turns each restaurant's closed SpotOn day into one run. Your team sees every restaurant in one list: what posted, what is held and why, and any restaurant that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

SpotOn Integration FAQs
Yes, you can integrate SpotOn with QuickBooks Online and QuickBooks Desktop using Autymate. SpotOn's own option isn't a direct connection: it is a QuickBooks Export file from Restaurant Reporting, and its help says QuickBooks changes report formats often, so some imports need manual input. For automation it names a third-party integration. Autymate builds the connection around how each location provides its closed day, and Xero, Sage Intacct and NetSuite work the same way.
Often, for one location or a few under one owner. If a bookkeeper imports a file happily, or a connector's daily entry in one QuickBooks file matches how you close, you may not need us. We fit where owners keep separate company files, accounting systems differ across the group, or someone must watch every run. Ask what each option does with Auto Gratuity and card fees before deciding.
As a liability when sold, reduced when used. The catch is the balance. SpotOn's Daily Recap marks Gift Cards Sold as not intended for liability reporting and sends eGift cards to its ECS report, and the Gift Card Summary with a Liability field sits on the Daily Sales Recap, which SpotOn says can't be exported, only printed. So decide which report your accountant trusts for the balance, and tie the account to it monthly.
For US tax, usually not a tip. The IRS's Rev. Rul. 2012-18 treats an 18% charge added to large parties as a service charge, and any part paid to employees as wages. SpotOn's own words pull both ways: service charges on the Daily Recap, tips on the close report. Many groups post it to a payable cleared through payroll, and your accountant has the final say.
It depends on your state and on how the marketplace handles the order, so ask your accountant. SpotOn's reports describe third-party delivery services collecting taxes based on delivery location, and show the difference on a Tax Exemptions and Adjustments line that it says doesn't affect revenue or payouts. Expected Taxes can therefore differ from your own calculation. Check one marketplace statement against that line before mapping tax.
The sale belongs to its fiscal day, and the money follows the batch. SpotOn's Deposit Reconciliation says a payment collected late at night may land in the next day's batch, and it links each fiscal day to the deposits holding its payments. So card clearing can carry a balance overnight without anything being wrong. Autymate can be set up to clear it against the deposit rather than the calendar.
It closes anyway. SpotOn's Auto End of Day closes unscheduled orders even with a non-zero balance, and those show as Auto Close, No Payment, which SpotOn describes as revenue that was not collected. They sit outside Total Payments, so sales can read higher than money taken. Unchecking that setting is something SpotOn advises against. Review these before the day posts, and use House Accounts or Scheduled Orders for genuine open tabs.
SpotOn says a previous business day can't be reopened once End of Day has run, and that action on a settled payment means a refund if eligible. So treat the refund as a later event, with its own day in the books. It can also reach you through a deposit's Other column, which SpotOn describes as adjustments such as refunds or chargebacks. Decide at Map where those land.
One chart of accounts can, with the source noted per location. Both platforms have the Daily Recap, so its lines are the common ground, while the close report and QuickBooks Export are written for Restaurant Reporting and some Dashboard articles for Express. Autymate keeps one mapping template with approved location-level adjustments, so a group mid-move doesn't run two sets of rules or read two meanings of gross.
Yes, and the first thing to agree is that nothing posts twice. Autymate works alongside the other connection by giving each one a clear job, for example your sales days through your current connector and another system's data through us. Tell us what posts today and to which accounts. If Restaurant365 is your accounting system, your SpotOn sales already have a route, so the question is what else needs connecting.
On an API route, SpotOn's documents put credentials, certification and a merchant pilot on the integration, and a location owner signs in to consent, so whether that route is open is settled at Connect. Report files use your own Dashboard access, and SpotOn's help describes no separate approval for them. Either way you keep your SpotOn login, and we confirm at Connect which route your locations will use.
Both come out of scoping, and what moves them is how many locations you run, which platform each is on, how many companies own them and where the books live. Weigh that against the manual close: someone splitting gratuity from fees and tying each batch to its deposit. On a file route, the daily downloads stay with your team; the splitting, tying and posting move to us. One closed day is enough to start.
Sources and Method
Facts about SpotOn on this page come from SpotOn's help centre and developer documents, Restaurant365's published pages and an IRS ruling, checked on November 2, 2026. SpotOn's articles differ by platform and report site: the Daily Recap covers RPOS and Express, the close report and QuickBooks Export are Restaurant Reporting, and the Accounting Summary and Deposit Reconciliation articles are written for Express, so confirm details for your account during setup.
