Does Dinerware Integrate with QuickBooks?
Yes, you can integrate Dinerware with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct and NetSuite using Autymate. Dinerware is the restaurant point of sale Heartland, now part of Global Payments, has owned since 2015, and it runs on a machine in the building called the Brain. Autymate builds the connection around what your Brain can provide and posts each restaurant's day in Restaurant Financial Overview terms, with tips, tax and House Accounts apart.
Connects to
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Sage Intacct
- NetSuite
- and 300+ more systems
We found no accounting connector in Heartland's public Dinerware materials, checked November 1, 2026, though its full manual and dealer portal are not public. What Heartland's report guide does show is a Restaurant Financial Overview screen with a Save as CSV button, which leaves someone to turn that file into an entry.
MarginEdge now maps those lines inside its own product, so it's worth seeing how they land.
Restaurant Financial Overview Lines and Where Each One Belongs
Heartland's Mobile Manager guide reconciles its figures against the Restaurant Financial Overview, so that report is the natural place to tie a Dinerware day. Here is where each block usually lands, and what a wrong placement does to the numbers you read.
What the restaurant earned
- Gross Sales by Revenue Class
- Manual Discounts and Auto Discounts
Owed to government and staff
- Taxes
- Gratuities on cards
- Tips and Tip Reduction (Cash Deposit block)
Owed to you, or by you
- Gift Cards
- House Accounts (non-cash tender)
- Delivery services and catering deposits (non-cash tenders)
How the money arrived
- VISA, MasterCard, Amex (Transactions by Tender Type)
- Credit surcharge (printed under Tender Type)
- Cash Received, Cash Out and Cash Over
| In Dinerware | Where it belongs | What it costs you when it is wrong |
|---|---|---|
| What the restaurant earned | ||
| Gross Sales by Revenue Class | An income account for each class, such as food, beer and wine, and liquor | Posted as one sales figure, your bar's margin can't be told from your kitchen's |
| Manual Discounts and Auto Discounts | A discounts account for each kind you want to read | A generic Open % or Open $ can't say whether a staff meal or an unhappy guest was comped, which can matter for tax |
| Owed to government and staff | ||
| Taxes | A payable account for each tax the restaurant charges | One combined figure hides what each return needs |
| Gratuities on cards | Tips payable, until staff are paid | Inside sales, staff money reads as revenue, and the day no longer matches Sales Income |
| Tips and Tip Reduction (Cash Deposit block) | Tips payable, and the account your accountant chooses for the reduction | Left out, tips payable grows by what the drawer already paid, and undeposited cash shows money that has gone |
| Owed to you, or by you | ||
| Gift Cards | Gift card liability, raised on sale and reduced on redemption; a card rung as a menu item is moved out of sales at Map | Counted as money received, the deposit looks short by what guests already paid for |
| House Accounts (non-cash tender) | A receivable, until the balance is paid | Booked as a sale paid today, the bank never agrees, and nobody chases the balance |
| Delivery services and catering deposits (non-cash tenders) | A receivable for each delivery service, and a liability for a deposit until the event | A deposit rung as a sale reads as income before the event it pays for |
| How the money arrived | ||
| VISA, MasterCard, Amex (Transactions by Tender Type) | Card clearing, until each processor funds its batch | Sent straight to the bank, the card total runs ahead of the money |
| Credit surcharge (printed under Tender Type) | The account your accountant chooses, once your report shows what it carries | Left inside a card tender, that card's total won't match its batch |
| Cash Received, Cash Out and Cash Over | Undeposited cash, the account for each Cash Out, and cash over and short | A drawer that often runs short disappears inside sales |
One Dinerware Saturday, Financial Overview to Deposit
Alder Street's Saturday Restaurant Financial Overview reads: three Revenue Classes less $86.50 of Manual Discounts, Sales Income of $6,690.00, tax of $535.20 and gratuities of $1,012.00. Heartland's guide ties one running total to Sales Income + Taxes + Gratuities and another to the Total of the Transactions by Tender Type. Here both come to $8,237.20.

Autymate can be set up to post tenders, gratuities and tips as their own lines, so Cash Deposit becomes a check on the entry instead of a number that goes into it. How tax and receivables post in your edition of QuickBooks is agreed at Map, including the customer named on each House Account. The Cash Deposit line can go below zero: Heartland's sample report for April 1 to 26, 2021 prints −$15.00, from $6.00 of Cash Received and $21.00 of Tips.
Alder Street's $6,603.50 stays in card clearing until each processor funds its batch, and the $443.56 stays undeposited until someone takes it to the bank. Have one day's Restaurant Financial Overview? See how your Dinerware days would post.
Sample figures. Total Gross Sale is $6,776.50. Rows above the deposit read as credits, with minus for debits. We read the Cash Deposit block from the signs Heartland's report prints; its screen doesn't define each line, so your report is confirmed at Map. Here all of Saturday's card tips are paid from the drawer that night, less the reduction. Paid through payroll or by check, the Tips line changes, and so does Cash Deposit. Cash Received is shown after change; Cash In, Cash Out, Donations, Change Given, Cash Over, Checks, Auto Discounts and any credit surcharge are $0.00 here. Dinerware's own Total Deposit covers cash and checks, so it reads $443.56 and not the deposit total above. Heartland's formula names Gratuities; the part of its sample report we could read prints Tips in the Cash Deposit block, so the line carrying gratuities on your report is confirmed at Map. The 3% Tip Reduction is a sample: whether one can be taken, and at what rate, depends on your state and your card costs, so ask your accountant. Card fees are left out because they arrive on each processor's terms.
Documented Ways to Read a Dinerware Brain
A Dinerware restaurant's day sits on its Brain. These five are among the documented routes, each dated, with what it asks of the restaurant.
| Route | What it carries | What the restaurant needs | Who documents it |
|---|---|---|---|
| Heartland Mobile Manager | Transactions and labor, for Heartland's analytics app | Installed on the Brain, on Dinerware 3.4 or higher | Heartland (March 2019) |
| MarginEdge's installer | The last day of sales, sent each morning | Its installer run on the POS backend computer | MarginEdge (April 2026) |
| Avero's Data Extraction Utility | Sales and labor, daily; no check transfer information | A utility on the server, with Avero allowed through the firewall | Avero (January 2025) |
| Yellow Dog Software's web service | Sales only, as often as every 30 minutes; no modifiers | The External WCF address from the Brain's Pool View | Yellow Dog Software (March 2023) |
| Home Office scheduled reports | Manager reports, emailed on a schedule | A Home Office subscription | Dinerware's own site (2016, archived) |
Yellow Dog Software says the Brain must be on when its pull runs (2023), so a machine switched off overnight is the first thing to ask about. None of these five documents posting a Dinerware day to your accounting system, with one exception: MarginEdge's own sales entries can be exported once you've mapped them.
Where Dinerware Data Can Go
Where your books live doesn't change what the Brain provides. One approved mapping covers every Revenue Class, and each restaurant's day lands in the accounting system its owner already keeps.
- QuickBooks Online
- A Dinerware day as one entry, with Revenue Classes on your income accounts and the restaurant as a location or class. QuickBooks Online integrations
- QuickBooks Desktop
- For company files that stayed on Desktop, posting on a schedule you choose in place of a date someone picks by hand. QuickBooks Desktop integrations
- Xero
- Each Brain as a Location tracking option, so food and liquor sales read restaurant by restaurant in Xero's reports. Accounting integrations
- Sage Intacct
- A restaurant as a location inside the entity that owns it, with Tip Reduction and each tax on their own accounts. ERP integrations
- NetSuite
- Restaurants under the subsidiary that owns them, with VISA, MasterCard and Amex each held in clearing. ERP integrations
How Dinerware Connects
How a Dinerware day reaches Autymate depends on each restaurant's version and on what Heartland or your dealer can enable. These are the three routes we start from, and which one suits a restaurant is agreed with you at Connect.

Software on the Brain
Brain agentHeartland's Mobile Manager, MarginEdge and Avero each put software on the Brain or POS server to read a day. A similar route can be set up where your version allows.

A saved Restaurant Financial Overview
CSVHeartland's report screen offers Save as CSV (Product Version 4.0.0.855, April 2021). A manager saves each day's report; whether anything can run without that step is settled at Connect.
For your IT or accounting team: the technical detail
- Versions
- 7shifts asks for 3.3 or higher (May 2026), and Heartland's Mobile Manager for 3.4 or higher on Windows 7 or later. Each Brain's version is recorded at Connect.
- Multi-day pulls
- Yellow Dog Software notes that pulling more than a single day used to return sales "for all time" and that Dinerware v3.7 resolved it. On that API route, plan on one day per pull below 3.7.
- Modifiers
- The same note says the Dinerware API does not provide data on modifiers or choices (2023), so on that route a modifier's price is checked against the day's sales at Validate.
- Business day
- Dinerware's reports run on a date and time range, and 7shifts asks for work days set from 5AM to 5AM for its totals to match. Your cut-off is agreed at Map.
- Revenue Center 0
- Yellow Dog Software says sales not assigned to a Revenue Center default to 0. A group that splits by Revenue Center checks this before mapping.

MarginEdge, a restaurant back-office service that names Dinerware, sits closest to the books, and keying the report is a fair choice for one restaurant with a willing bookkeeper. The table sets out what MarginEdge says about itself and where Autymate differs.

How Dinerware Setup Works
Most of the work is settling which report each line ties to and which account it belongs on. Once a route is agreed, each restaurant's day posts on the schedule you choose.
Connect
We record each Brain's Dinerware version and what it can provide, agree the route with you and with Heartland or your dealer where needed, and connect your accounting system.
Map
Your bookkeeper and our team give each Revenue Class, tax, Tender Type, discount and non-cash tender its account, including how tips are paid and whether a Tip Reduction applies.
Validate
One closed day from one restaurant is posted and tied to that day's Restaurant Financial Overview on Heartland's two lines: Sales Income + Taxes + Gratuities, and the Total of the Transactions by Tender Type.
Automate
Each restaurant's day posts on the schedule you choose, as a summary entry, once its data has arrived.
Monitor
Autymate's team watches each run. A new tender with no account is held for your decision with the reason and what to check, a day that has already posted is caught by the duplicate check, and support is on hand.
Decide this before anything is built
Where your business day starts; Total Gross Sale with discounts apart, or Sales Income; how card tips are paid and whether a Tip Reduction is taken; and one entry per restaurant or per Revenue Class. These four choices shape every posted day, so settle them with your accountant first.
What we need from you
- The Dinerware version on each Brain
- A manager who can run one day's Restaurant Financial Overview
- Your Heartland contact or dealer, if a setting needs changing
- Access to QuickBooks, Xero, Sage Intacct or NetSuite
- Someone to compare the first week's postings with each day's Cash Deposit block
What a Dinerware Integration Looks Like in Autymate
Every restaurant's closed day becomes one run. You see what posted and what waits.
Autymate turns each restaurant's closed Dinerware day into one run. Your team sees every restaurant in one list: what posted, what is held and why, and any restaurant that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Dinerware Integration FAQs
Yes, you can integrate Dinerware with QuickBooks Online and QuickBooks Desktop using Autymate. Dinerware is the restaurant point of sale Heartland bought in 2015. Autymate builds the connection around what each restaurant's Brain can provide, then posts the day with Revenue Classes, tax, gratuities and tenders on their own lines. Xero, Sage Intacct and NetSuite work the same way.
Not that we could find. Dinerware's own site described Home Office as a web-based management tool for running reports, changing menus and reaching several sites from a single point (2016 page, archived). It names no accounting system, and neither does Heartland's Dinerware page as of November 2026. A report sent on a schedule may still be a useful input, which we'd look at during Connect.
It did, by its own account. Dinerware's partner page said in 2015 that it "supports a broad suite of APIs", with a certification process for software vendors. We found no public developer reference as of November 2026, and partners today document the External WCF address and software installed on the Brain. How a new reader gets access on your version is a question for Heartland or your dealer, and Autymate settles it at Connect.
Heartland Payment Systems bought Dinerware in 2015, and Heartland's documents have carried "A Global Payments Company" since at least March 2019. As of November 2026 Heartland still lists Dinerware and takes demo requests, and we found no end-of-sale notice. The newest version we saw is 4.0.0.855, in an April 2021 guide. Ask your Heartland contact what applies to your version, and to the version of Windows on your Brain.
No. Genius is Global Payments' newer brand, and Heartland Restaurant now sits inside it. Dinerware keeps its own Heartland product page (checked November 2026) and runs on a machine in your restaurant, which decides how its data is read. Silverware POS, a similar name, is a separate system sold to Fullsteam in 2023. See our Heartland integration for how those other lines reach the books.
Your books stay where they are. A restaurant that moves reads from a new source, so its route changes and its lines are mapped again to the same accounts. Restaurants still on Dinerware can post beside the ones that moved, on one chart of accounts, each read from its own system. Agree the cut-over date with your accountant first, so one day doesn't reach the books from both.
Heartland's 3.3 overview says an unsettled card transaction can be reopened and adjusted, so a day's numbers can move before its batch settles. Its Credit Detail - Unsettled report lists what can still move. If a day changes after posting, Autymate can be set up to hold it for your decision, and its duplicate check stops the same day from posting twice.
Both come out of scoping, and what moves them is how many restaurants you run, how many companies own them, each Brain's version and route, and where the books live. Set that against the manual close: someone running and keying each report, every day, then finding at month end what didn't agree. One day's Restaurant Financial Overview is enough to start.
The day's figures do, because they have to reach your accounting system. Autymate has a SOC 2 Type II report, access to each Brain is set up with you on the route agreed at Connect, and every run is logged. Each posted entry carries a reference back to its Dinerware day, so a controller can trace a line in the books to the restaurant and date it came from.
Sources and Method
Facts about Dinerware on this page come from Heartland's and Dinerware's own documents, archived Dinerware pages, and the help of 7shifts, MarginEdge, Avero and Yellow Dog Software, checked on November 1, 2026. Several are dated and settings differ by restaurant and version, so confirm details for your restaurants during setup. The worked example uses sample figures.
