Does Heartland POS integrate with QuickBooks?
Yes, you can integrate Heartland POS with QuickBooks Online or QuickBooks Desktop using Autymate, whether you run Heartland Restaurant, its successor Genius by Global Payments, Heartland Retail or an older Heartland system. Each location's closed business day posts to its own books, with sales by category, discounts, the non-cash adjustment from a cash discount program, sales tax, tips and gift cards on separate lines, and the deposit matched to the bank. Every record is checked before it posts. The same connection can send Heartland data to Sage Intacct, NetSuite, Xero and 300+ other systems, and Autymate builds, runs and monitors it for you.

Heartland is now Global Payments. Its restaurant and retail point-of-sale products are being brought together under Global Payments' Genius brand, which launched for restaurants in May 2025 and for retail in June 2025. In January 2026 Global Payments completed its purchase of Worldpay and named offering Genius to Worldpay's small-business merchants as one way the combined company will grow.
For your books, the name on the terminal matters less than which generation you run, because each one gets its data out differently. Many Genius merchants also run a cash discount program, which Global Payments' $0 Genius offer requires, and the extra amount card customers pay has to land somewhere sensible in the books.
Which Heartland Do You Run?
Heartland has sold several point-of-sale systems over the years, some built in-house and some acquired. Each one has its own route to your accounting system.
| System | What it is now | Built-in accounting | How Autymate reads it |
|---|---|---|---|
| Heartland Restaurant | Now part of Genius by Global Payments | The Genius QuickBooks export, Online or Desktop | Through the access Global Payments provides for your account |
| Genius for Restaurants and Retail | Global Payments' current POS, launched in 2025 | Sales receipts or journal entries to QuickBooks Online or Desktop, documented for restaurants | Through the access Global Payments provides for your account |
| Heartland Retail | Formerly Springboard Retail, still sold as Heartland Retail | A QuickBooks Online connector that posts journal entries | Its open API, with a token your admin creates |
| Older systems | Dinerware, pcAmerica and other lines Heartland bought in 2015 and earlier | Usually none | The local database or scheduled exports |
Whichever you run, the mapping into your books is the same. A location that moves from an older Heartland system to Genius gets a new connection onto the same accounts, not a new accounting project.
What Heartland Data Moves, and Where It Lands
A Heartland business day carries sales by category, discounts, adjustments, tax, tips, gift cards and the payments that settled them. Each of those belongs somewhere different in your books. Get the routing right once and every location posts the same way.

| Sales by category | Income accounts by category and location | One lump of sales, so food cost or margin by location is a guess |
| Discounts and comps | Shown as a discount against the sales they reduce | Promotions look free and sales look smaller than they were |
| Non-cash adjustment | Its own income line, reported next to card fees | Menu prices look 4% higher than they are, and food cost looks better than it is |
| Money you hold for others | ||
| Sales tax | Sales tax payable | Tax you owe the state counted as revenue |
| Card tips and tip-outs | Tips owed to staff, then payroll | Staff money shown as profit, and tip-outs rebuilt by hand |
| Gift cards | Gift card liability until redeemed | Revenue booked before anything is bought |
| Refunds and the cash drawer | ||
| Refunds and voids | Against the original sales account | Refunds disappear inside a smaller deposit |
| Cash, paid-outs and over or short | Cash deposits, store expenses and cash over and short | Drawer differences buried in sales |
| Payments and settlement | ||
| Card payments and fees | A holding account until the deposit lands, with fees as an expense | Bank and sales never match, so the month will not close |
| Stock and cost of goods | ||
| Inventory, transfers and receipts | Inventory, cost of goods and vendor bills, by location | Stock you own that the books do not show |
One Restaurant's Friday, Posted Properly
Here is a single Friday at one Heartland restaurant on a cash discount program. Net menu sales were $6,526.00. Guests paid $8,347.18 in cash and by card, including the non-cash adjustment, tax, tips and gift cards. The bank received $8,117.96.

- $1,591.96
The gap is $1,591.96: $522.08 of tax, $912.30 of staff tips and $150.00 of unspent gift cards are counted as revenue, the $236.80 adjustment is mixed into food sales, and $229.22 in fees disappear. Food cost is then measured against sales that are 24% bigger than what the menu actually earned.
Illustrative figures for one location's day. The adjustment is 4% on $5,920.00 of card-paid menu sales, and tax is 8% on menu sales only; whether the adjustment is taxed depends on your state.
Cash Discount Programs in the Books
As of October 2026, Global Payments' $0 Genius offer for restaurants requires a 4% cash discount program. Card customers pay a non-cash adjustment on top of menu prices, and cash customers do not. Posted on its own line, you can see what it actually does for you.
- Non-cash adjustment collected$236.80
- Card processing fees−$229.22
- Left after card fees$7.58
| Line | Posts to | Amount |
|---|---|---|
| Non-cash adjustment collected | Non-cash adjustment income | $236.80 |
| Card processing fees | Merchant fees expense | −$229.22 |
| Left after card fees | Shown side by side on the P&L | $7.58 |
On this Friday, the adjustment covered the card fees with $7.58 to spare. Mixed into food sales, you would never know, and your menu sales and food cost percentage would be off by up to 4%. Whether the adjustment is taxed and how it is presented are decisions for your accountant, made once in the mapping and applied to every location.
Heartland Retail and Inventory
Heartland Retail, formerly Springboard Retail, has its own QuickBooks Online connector. It posts journal entries for sales, customer deposits, purchasing receipts and returns, location transfers, inventory adjustments, gift card adjustments and cash paid in and out, after you map your chart of accounts.
When the built-in connector is enough
- One company in one QuickBooks Online file
- Journal entries are the detail your accountant wants
- Someone on your team watches the sync
When Autymate fits better
- QuickBooks Desktop, Xero, NetSuite or Sage Intacct, which have no documented native connector
- Stores held in separate companies
- Stores on Heartland Retail and restaurants or stores on another POS, reported as one
Either way, inventory needs one rule per event: sales reduce stock at cost, receipts add it with a vendor bill, and transfers move it between locations without a profit or loss. See retail integrations.
Where Heartland Data Can Go
Collect each location once, then shape the data for whichever system needs it. Adding a destination later is cheap. Changing how much detail you post is not, so that is the decision to make first.
- QuickBooks Online
- A daily sales receipt or journal entry per location, with the non-cash adjustment, tips, tax and fees on their own lines. QuickBooks Online integrations
- QuickBooks Desktop
- The same mapping delivered to Desktop company files, for restaurants and retailers whose books never moved to the cloud. QuickBooks Desktop integrations
- Sage Intacct
- Entity, location and department on every entry, for groups that run several companies. ERP integrations
- NetSuite
- Each location routed to its subsidiary, department and class, with inventory and cost of goods by location. ERP integrations
- Xero
- Invoices or manual journals by tracking category, with each deposit matched to the bank feed. Accounting integrations
- Payroll and reporting
- Tips, tip-outs and hours to payroll, and every location's day to a warehouse or BI tool. Payroll integrations
How Heartland Connects
There is no single Heartland API. Each generation exposes its data differently, so the first job is confirming which one each location runs and how its data can be read.

For your IT or accounting team: the technical detail
- Heartland Retail API tokens
- A user creates a token in the Heartland Retail dashboard under the account menu (their name, then My account, then API), and the token can do only what that user's role allows. Heartland Retail is not taking new OAuth app registrations, so a token is the route for a new connection.
- Genius and Heartland Restaurant
- Global Payments says Genius has a developer-friendly API for custom integrations. Each location issues an API key from its Integrations page to an approved integration partner, so we arrange access with you and Global Payments for your account before building.
- Older systems
- Heartland bought Dinerware and pcAmerica in 2015 and ran other lines such as Xpient. Where those still run, data lives on a local server, and we read it there or from scheduled exports.
- Business day, not calendar day
- Late closes cross midnight. We post by each location's business day, so the whole night lands on the right date.
- Switching from the built-in connector
- If the Heartland Retail or Genius QuickBooks connection is already posting, we agree a cut-over date with you so no day posts twice.
Built-In Connector or a Managed Integration?
Start with the smallest thing that controls your risk. Heartland Retail's QuickBooks Online connector and the QuickBooks Online and Desktop export built into Genius cover one company in one QuickBooks file. For many single-location merchants, that is all they need.

| QuickBooks Desktop, Xero, NetSuite, Sage Intacct | By hand | Desktop on Genius; the others not documented | Yes, on the same mapping |
| Non-cash adjustment | Often lumped into sales | Depends on the setup | Its own line, beside card fees |
| Older Heartland systems | By hand | Not covered | Read from the database or exports |
| A location that sends nothing | Found at month-end | Depends on who is watching | Flagged the same day |
| Who handles an exception | Your team | Your team and Global Payments support | Autymate |
If the built-in connector already handles your locations well, keep it. We would rather tell you that on a call than sell you something you do not need.

How Setup Works
Most of the work happens before anything runs on its own. Five steps, and only one of them needs real time from your team.
Connect
We confirm which Heartland system each location runs, arrange access to its data, and connect your accounting system.
Map
One or two sessions with whoever owns your books to agree where sales, discounts, the non-cash adjustment, tax, tips, gift cards, fees and deposits land.
Validate
We post one real closed business day and check it inside your books: sales match Heartland, liabilities are separated, and the deposit ties out.
Automate
Every location posts on the schedule you choose, as a daily summary or ticket by ticket.
Monitor
Missing locations, rejected records, duplicates and lost access come to our team, not to a help article.
Decide this before anything is built
Daily summary or ticket-level detail, which company each location belongs to, and how the non-cash adjustment is presented. All three decide what gets written to your books, and changing them later means reprocessing history, so they are worth an extra hour now.
What we need from you
- Which Heartland system each location runs
- An admin login or API token for your Heartland account
- Access to your accounting system
- A quick review of the first week's postings
What a Heartland POS Integration Looks Like in Autymate
Every location's closed day becomes one run. You see what posted and what waits.
Autymate turns each location's closed Heartland POS day into one run. Your team sees every location in one list: what posted, what is held and why, and any location that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Proof From Multi-Location Networks
The hard part of a Heartland integration is not Heartland. It is running the same daily close across many locations without anyone noticing a gap. Here is a network where Autymate does exactly that today, on another system.

Heartland Integration FAQs
Yes, you can integrate Heartland POS with QuickBooks Online or QuickBooks Desktop using Autymate. Every location posts its business day with sales, discounts, the non-cash adjustment, tax, tips and gift cards on separate lines and the deposit matched, whether you run Heartland Restaurant, Genius, Heartland Retail or an older Heartland system. Autymate builds, runs and monitors the connection, so your team has nothing to configure.
Largely, yes. Heartland is now Global Payments, and its restaurant and retail POS products are being brought together under the Genius brand, launched in 2025. Heartland Retail, formerly Springboard Retail, is still sold under the Heartland Retail name.
Yes. Heartland Retail has a QuickBooks Online connector that posts journal entries for sales, deposits, purchasing, transfers, inventory adjustments, gift cards and cash paid in and out. It has no documented native connector for QuickBooks Desktop, Xero, NetSuite or Sage Intacct, which Autymate covers.
The adjustment card customers pay posts to its own income line, next to your card processing fees, so menu sales stay at menu prices and you can see whether the adjustment covers the fees. Whether it is taxed depends on your state, and your accountant decides how it is presented.
Card tips post to a tips liability account, not to sales, and clear when staff are paid through payroll or in cash. Tip-outs between staff stay inside that liability, so the restaurant never reports staff money as profit.
Yes, where the data can be read. Dinerware, pcAmerica and Heartland's other older lines run on a server in the restaurant rather than in the cloud, so setup starts with what that server can export. Those locations then post on the same mapping as your Genius and Heartland Retail locations.
Yes. Each location routes to its own class, location, company file or entity. When a group opens or buys a location in a new company, it posts to that company's books on the same mapping.
No. Every location keeps Global Payments or whichever processor it uses, and the books stay in the system your accountant already uses. The integration sits between them.
It depends on which Heartland systems you run, how many locations and companies, how many destinations, and how much detail the books need. Weigh it against what the manual close costs you now: for a 15-store Jimmy John's franchisee, re-keying sales into QuickBooks took 40 hours a week, and automating it saves over $31,000 a year. The fastest way to scope it is one real closed business day from one location.
Autymate holds a SOC 2 Type II report. Heartland access is issued for your account, only the fields the approved mapping needs are read, and every run is logged so you can see exactly what moved.
