Future POS Integration from Back Office to Books

Autymate posts each Future POS store's business day to QuickBooks Online or Desktop, Sage Intacct, NetSuite or Xero, with tenders, tips and tax apart.

Does Future POS Integrate with QuickBooks?

Yes, you can integrate Future POS with QuickBooks Online, QuickBooks Desktop, Sage Intacct, NetSuite and Xero using Autymate. Future POS is the restaurant and hospitality point of sale based in Butler, Pennsylvania, which Shift4 announced it had acquired in February 2018. Autymate builds the connection around how each store's Back Office exports, and posts that store's business day with major groups, discounts, coupons, sales tax, card tenders, tips and paid outs on their own lines.

Connects to

Future POS's own G/L Interfaces sit in the Back Office and "export FPOS sales data to a third party accounting software": QuickBooks, Peachtree, Great Plains, MAS90 and MenuLink. Each runs store by store, and the QuickBooks G/L Interface asks you to "Select a Date to Export from the drop down" (Future POS's help, checked October 2026). For one store whose bookkeeper exports each day, that may be all it needs.

Future POS documents its exports and reports rather than a public API. Which route Autymate reads for your stores, a scheduled Auto Report, the Back Office export or a reader set up on the store's back-office computer, is agreed at Connect, and each store's day then posts wherever that store's books are kept.

Future POS Back Office G/L Interfaces, and Where Autymate Fits

Future POS's QuickBooks G/L Interface maps each department, discount, coupon, media and data field to a QuickBooks debit and credit account, with vendors and classes, and can post through a "QuickBooks XML Direct Connection" to the company you name. Future POS itself suggests backing up the QuickBooks company and "consulting the business's accountant" first (Future POS's help, checked October 2026). The choice turns on how many stores, companies and accounting systems one day has to reach.

When the Back Office export is enough

  • One store, with its books in a QuickBooks company your dealer has confirmed the export reaches
  • A Future POS license other than Lite on that store
  • A bookkeeper who runs the export for each date and checks it against that day's End Day Report
  • If you use the QuickBooks Export (CSV), card and cash takings your accountant accepts inside its one Deposit O/S figure

When Autymate fits better

  • Several stores on one approved mapping, each as its own location, class or company
  • Companies whose books are in QuickBooks Online, QuickBooks Desktop, Sage Intacct, NetSuite or Xero, side by side
  • A Lite-license store, which can be set up to post through another route on the same mapping
  • Card media, card grats and cash on their own lines at every store, not inside the CSV export's single Deposit O/S figure, so Over/Short carries only what the drawer was really over or short
  • Each store's day posting after its own Day Divide
  • Autymate's team monitoring your runs, with a new major group or coupon held for your decision rather than guessed

Running the Back Office export today? At Connect we fix the last day it posts and the first day Autymate posts, so no Future POS day lands in the books twice.

Future POS Back Office Values and the Accounts They Belong In

Future POS's QuickBooks interfaces work from the values the Back Office already keeps (Future POS's help, checked October 2026): departments and major groups, discounts and coupons, tax, media, paid outs and gift certificates. Read across each row for the Future POS name, the account most accountants give it, and the report that goes wrong when it lands somewhere else.

One Future POS day splits into 4 groups: Sales, discounts and coupons, Tax collected, How the money arrived, and tips owed, Paid out, still owed, and the balancing line.

One Future POS Thursday, Back Office to Deposit

Thistlewood Tavern Group runs four restaurants on Future POS, each with its own Back Office and its Day Divide set to 4:00 AM. Its Canal Street store rang $5,656.00 across four major groups on Thursday, less a $62.00 manager discount and $35.00 in lunch coupons. Guests left $742.00 in card grats and bought $125.00 of gift certificates, and the manager paid $41.00 out of the drawer for limes and lemons.

Sample figures. Canal Street charges one 6% sales tax on food and drinks; your rates follow your state, county and city. Gift certificates sold are a liability until redeemed and are not taxed when sold. Canal Street pays card grats through payroll; a store that pays them to servers in cash at checkout has that payout mapped against tips payable instead. The second panel reads the CSV's values as Future POS's help defines them (checked October 2026): Sales Discount is "the total dollar amount of discounts and coupons applied to sales", and which values count as debits or credits is our reading of the help; confirm both with one export from your Back Office during setup. Card processing fees are not shown.

Where Future POS Data Can Go

Restaurant groups on Future POS often hold their stores in several companies, and those companies don't always keep their books in the same system. Every store runs on one approved mapping, and each day posts to whichever system holds that store's company.

QuickBooks Online
Each Future POS store's day posted with the store as a location or class, so Canal Street's food sales and another store's read side by side. QuickBooks Online integrations
QuickBooks Desktop
Stores whose company files stay on Desktop use the same Future POS mapping as Online, so a major group lands on the same account in either edition. QuickBooks Desktop integrations
Sage Intacct
Stores whose books moved from Peachtree, MAS90 or Great Plains, which Future POS's G/L Interfaces name (checked October 2026), post to Sage Intacct by entity, with stores as locations or departments. ERP integrations
NetSuite
Each store under its subsidiary, with the day's card media held in a clearing account until the card deposit reaches the bank. ERP integrations
Xero
Each store as a tracking category, with GC (sold) kept as a liability and paid outs on the expense they paid for. Accounting integrations

How Future POS Connects

Future POS's help describes each store's data on a local server and documents its exports from the Back Office. The route Autymate uses for your stores is agreed with you, and with your dealer where needed, at Connect.

  • A scheduled Auto Report

    Auto Report

The Back Office can run a report on a schedule and save it as CSV, PDF or Excel, emailed after the run. A schedule can run at a set time or "Daily at the Day Divide", which must start at the Day Divide time set in the Back Office (Future POS's help, checked October 2026).

  • The Back Office export

    Export

The QuickBooks G/L Interface and the QuickBooks Export write a store's chosen date to a file, or through the XML Direct Connection, with the values the whole day already holds.

  • A reader on the store's back-office computer

    Server

Tools such as MarginEdge and Avero install their own software on the store's back-office computer and send each day from there. Autymate can be set up the same way where your dealer agrees.

For your IT or accounting team: the technical detail

Future Fusion on the store server
Future POS's help calls Future Fusion "the latest version of FPOS software", and the help describes a store server running Microsoft SQL Server, with the Back Office often reached from a desktop computer (checked October 2026).
Which exports can be scheduled
Only the QuickBooks G/L Interface, with the MenuLink and Peachtree ones, is on Future POS's list of interfaces that support Auto Report. The QuickBooks Export (CSV), Great Plains and MAS90 aren't on that list, so each is run from the Back Office when needed.
The Day Divide
It sets the hour a business day starts and ends, in the Back Office's System Settings, to the hour only. Card batches can close at the Day Divide or at a set time, and a store can choose to close a batch even when Future POS and the card host totals differ.
Licenses and Enterprise
The help lists the G/L Interfaces among the functions a Lite license doesn't include. Enterprise shares items, menus and gift certificates between stores, and each store still exports its own day.
Retention
A store keeps data for its retention window, and the help says "Once data has been purged it cannot be restored", so a missed day is best collected before the purge runs.
Shift4's cloud
Shift4's help says Future POS needs "an additional software component" (its Connection Agent) to reach Customer Hub, Shift4's cloud platform, where Marketplace apps such as 7shifts and Yellow Dog connect.

QuickBooks G/L Interface, CSV Export or Autymate for Future POS?

With no connector at all, a bookkeeper types each store's End Day Report into the books and ties the month to the bank statement line by line. Future POS's Back Office offers two QuickBooks routes of its own. Below, each option in Future POS's own terms, beside what a group of stores tends to need.

Running Future POS Across Several Stores

Every Future POS store has its own Back Office and its own Day Divide, and Enterprise reporting stops short of the books (Future POS's help, checked October 2026). The books need each store's day, read the same way.

  • One Mapping for Every Future POS Store.

Your accountant signs off one mapping template for the group. If one store rings its draft beer under a "Tap Beer" major group and the others use "Beer", an approved location-level adjustment sends both to the same sales account.
  • Each Store as a Location, Class or Company.

A franchisee's stores can post to that franchisee's own company, or several stores can share one company as locations or classes. Either way the group reads its stores side by side on the same lines.
  • Each Store's Day by Its Own Day Divide.

A late bar and a lunch store each post the business day their own Day Divide sets, so the books never split one night's trade across two dates.
  • Lite and Full Licenses in One Group.

A Lite store has no G/L Interface of its own, so its day can be set up to come in by a different route, and it still posts on the group's one mapping.
  • Future POS Beside Shift4 Dine or Another POS.

A sister store on Shift4 Dine or another point of sale posts to the same chart of accounts as the Future POS stores. Each system is read on its own terms, so food sales compare store to store whichever system rang them.

How Future POS Setup Works

Most of the setup is agreeing where each major group, coupon, media and drawer line belongs. After that, each store's closed day posts through the route agreed for your stores.

  1. Connect

We agree the route with you and, where it touches the store server or a scheduled report, with your Future POS dealer or Shift4 support. Then we connect each store's accounting system.

  2. Map

Your bookkeeper and our team place every major group, discount, coupon, card media and its grats, any auto-gratuity, paid-out account and GC (sold), store by store.

  3. Validate

We post one closed day from a single store first, and your team checks every line against that store's End Day Report and Batch Archive.

  4. Automate

From then on, each store's day posts after its Day Divide, at the time of day you set.

  5. Monitor

Autymate's team monitors your runs. A store that traded but sent nothing is flagged, and its day posts once the data arrives. A new major group, a new coupon or a paid out with no account waits for your team's decision, with the reason and what to check; support is on hand to help.

Decide this before anything is built

One entry per store or one per company; whether major groups post gross, with discounts and coupons on their own lines, or net, the choice Future POS's own G/L Interface makes with one switch (checked October 2026); which card media goes to which clearing account; each store's Day Divide, confirmed before go-live; and, if you export from the Back Office today, the date that stops. Days already posted can be reposted if one of these changes after go-live, but deciding them first keeps the first month clean.

What we need from you

  • A Future POS Back Office admin for each store, or one person with access to all of them
  • Your Future POS dealer or Shift4 support contact, for anything that runs on the store server
  • Access to QuickBooks, Sage Intacct, NetSuite or Xero for each company's books
  • The Future POS version each store runs, so the route agreed at Connect suits every store
  • Someone to review the first week's postings

What a Future POS Integration Looks Like in Autymate

Every store's closed day becomes one run. You see what posted and what waits.

Autymate turns each store's closed Future POS day into one run. Your team sees every store in one list: what posted, what is held and why, and any store that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Future POS Integration FAQs

Yes, you can integrate Future POS with QuickBooks Online and QuickBooks Desktop using Autymate. Future POS's own Back Office also has two QuickBooks interfaces, a G/L export with an optional XML Direct Connection and a CSV export, each run store by store. Autymate posts each store's business day with major groups, discounts, coupons, tax, tips and card tenders on their own lines, and Sage Intacct, NetSuite and Xero work the same way.

Plan Your Future POS Connection

You tell us

  1. How many stores run Future POS
  2. Which license each one holds
  3. Where each store's books are kept

We show you

  • How the connection would read your Back Office
  • How one store's Thursday would post

Bring one closed Future POS day, as a report or export, and the call starts from your own numbers.
