Does CAKE POS Integrate With QuickBooks?
Yes, you can integrate CAKE POS with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct and NetSuite using Autymate. CAKE POS is the restaurant point of sale from Mad Mobile. Autymate posts each location's day once Close Cash has run, with CAKE's Gross Sales split into net sales and sales tax, service charges taken out of Tips, and gift cards to their liability account.
Connects to
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Sage Intacct
- NetSuite
- Payroll and reporting
- and 300+ more systems
As of October 2026, CAKE lists QuickBooks and Xero integrations that it says are powered by a third-party accounting partner. CAKE also lists Restaurant365, a separate accounting system that takes CAKE sales into its own books. Mad Mobile bought CAKE from Sysco in 2020.
A CAKE day ends when someone runs Close Cash: it zeroes the drawer, prints the Z report and batches the cards. The deposit for that batch lands days later with CAKE's processing fees already taken out. Autymate builds the connection around how your CAKE account reports, so nobody re-keys a Close Cash receipt.
CAKE POS Reports, Line by Line in Your Books
Everything a CAKE day needs is on its Close Cash receipt and its Sales and Payments reports, but under CAKE's report names rather than your chart of accounts. Here is each line as CAKE prints it, and where your accountant will want it.
What the location earned
- Sales by sales category
- Discounts & comps
- Refunds
- Service charges (auto-gratuity)
- CAKE's Fee line (Extra Fee, Card Fee, online ordering fee)
Owed to the state and staff
- Sales tax
- Card tips
Owed until it is spent
- Gift cards sold
- Gift cards redeemed
How the money arrived
- Card batch at Close Cash
- CAKE processing fees

| In CAKE POS | Where it belongs | What it costs you when it is wrong |
|---|---|---|
| What the location earned | ||
| Sales by sales category | Food, beverage and bar sales on your own chart of accounts | Food, beverage and bar land as one sales number, so food cost and pour cost have no sales line to be measured against |
| Discounts & comps | Against the sales they reduce | Netted straight into sales, comps leave no line of their own, so a night of heavy comping reads as a slow night |
| Refunds | Against sales, dated to the day CAKE records the refund | Left inside CAKE's Net Sales, a refund on last week's check quietly lowers today's sales with no line to explain it |
| Service charges (auto-gratuity) | Service charge income or a payable, kept apart from tips | CAKE counts them inside Tips, so a service charge gets paid out and taxed as if it were a tip |
| CAKE's Fee line (Extra Fee, Card Fee, online ordering fee) | Its own account, as your accountant directs | CAKE counts it in Total Sales, so posted with menu sales it inflates them, and netted against processing fees it makes card processing look cheaper than it is |
| Owed to the state and staff | ||
| Sales tax | Sales tax payable | Left inside CAKE's Gross Sales, tax collected for the state reads as your revenue |
| Card tips | Tips payable until staff are paid | Booked as income, tips swell the night's revenue, then appear again as labor expense when payroll pays them out |
| Owed until it is spent | ||
| Gift cards sold | Gift card liability, owed to the cardholder | A card sold at one location reads as that location's sales, even when the meal is eaten at a sister site in the cluster |
| Gift cards redeemed | Taken off gift card liability | Gift card liability keeps climbing in the books while guests spend cards down, so it never agrees with CAKE's Gift Card Balances report |
| How the money arrived | ||
| Card batch at Close Cash | Card clearing, until CAKE's deposit lands | The deposit that arrives days later can't be matched to the day it belongs to |
| CAKE processing fees | Card processing fees | Booked from the bank deposit alone, the fees never appear as an expense and card sales look short |
| Cash | Undeposited cash, then the bank | Close Cash zeroes the drawer every night, so without undeposited cash in between, a deposit made days later can't be traced to the nights it covers |
One CAKE POS Wednesday, Close Cash to Deposit
Bayside, a CAKE location with a bar, ran Close Cash on Wednesday with $5,578.00 in net sales after discounts and comps. Add tax, card tips, a $96.00 service charge and $175.00 in gift cards sold, and guests paid $7,079.35 across all tenders, $72.00 of it on gift cards bought earlier. After CAKE deducted $168.24 in processing fees, the net card deposit and cash came to $6,839.11.
Mapped properly
| From CAKE POS | Posts to | Amount |
|---|---|---|
| Food | Sales: Food | $3,846.00 |
| Beverages | Sales: Beverages | $702.00 |
| Beer and wine | Sales: Beer and wine | $1,193.00 |
| Discounts & comps | Discounts and comps | −$163.00 |
| Sales tax at 7.5% | Sales tax payable | $418.35 |
| Card tips | Tips payable, cleared through payroll | $812.00 |
| Service charge | The service charge account your accountant chose | $96.00 |
| Gift cards sold | Gift card liability | $175.00 |
| Gift cards redeemed | Gift card liability | −$72.00 |
| CAKE processing fees | Card processing fees | −$168.24 |
| Net card deposit and cash | Card clearing and undeposited cash | $6,839.11 |
Ties out$7,079.35 paid by guests − $72.00 in gift cards − $168.24 in processing fees = $6,839.11 in the net card deposit and cash | ||
CAKE's totals posted as they are
| What gets posted | Posts to | Amount |
|---|---|---|
| Gross Sales, from CAKE's Sales report | Sales | $5,996.35 |
| Tips, service charge included | Tips payable | $908.00 |
| Gift cards sold | Gift card liability | $175.00 |
Sales overstatedSales read $5,996.35, $418.35 above what the menu earned, because CAKE's Gross Sales already includes sales tax, and the $418.35 owed to the state never reaches sales tax payable | ||
- Sales tax inside CAKE's Gross Sales
- +$418.35
- Wednesday's sales overstated by
- $418.35
Posted as CAKE reports them, Wednesday's sales carry the tax: a sales tax return prepared from that sales line would compute $449.73, $31.38 more than the $418.35 actually collected. The same report's Tips line also holds the $96.00 service charge. Payroll and sales tax rules usually treat a service charge differently from a tip, so it posts to its own account, as income or a payable, on your accountant's call.
Until CAKE funds the batch, typically within two business days, $5,751.51 sits in card clearing and $1,087.60 in undeposited cash. Have a Close Cash receipt from one of your locations? See how your CAKE days would post.
Sample figures. Bayside's three sales categories stand in for whatever your CAKE setup uses, and one 7.5% rate on net sales stands in for each location's own tax settings, including any separate rate on beer and wine. Gift cards are untaxed when sold and kept apart from item sales in this sample; CAKE doesn't say whether its Net Sales includes them, so setup checks each location's Sales report. The service charge is untaxed here; whether a mandatory service charge is taxable varies by state. No cash tips were declared and no online orders were taken that Wednesday; a day with online orders carries a second card batch, closed at 9:00 PM EST. The processing fees are a sample figure, not a CAKE rate.
Where CAKE POS Data Can Go
CAKE POS integrations aren't tied to one accounting system. Each location's closed day is mapped once, then posted wherever that location keeps its books, even when two locations in a group use different systems.
- QuickBooks Online
- Each Close Cash day as a journal entry or sales receipt, with CAKE's sales categories on your income accounts and each location tracked as a location or class. QuickBooks Online integrations
- QuickBooks Desktop
- Desktop company files get the same CAKE mapping as Online, for groups that still close their books in Desktop. QuickBooks Desktop integrations
- Xero
- Each CAKE location as a tracking category, so Xero reports split sales, tips and gift card liability by site. Accounting integrations
- Sage Intacct
- Each CAKE site on its own location dimension, so food, bar and comps compare across sites; a site owned by its own LLC posts as its own entity. ERP integrations
- NetSuite
- Each CAKE location mapped to its subsidiary and location, with the card batch held in clearing per subsidiary until CAKE's deposit lands. ERP integrations
- Payroll and reporting
- Card tips and service charges, kept apart, passed toward payroll; each location's sales sent to the reporting tool your group uses. Payroll integrations
How CAKE POS Connects
Everything a CAKE location did in a day is in reports CAKE already produces, exported to Excel or sent by email. The connection starts from whichever route your locations can use. The careful part is timing: the day ends when Close Cash runs, and the deposit follows days later.

For your IT or accounting team: the technical detail
- Tips entered late
- CAKE University says tips must be entered before Close Cash, and any left unentered are lost once cash is closed (October 2026), so the tips posted are the tips CAKE recorded that night.
- Online orders
- CAKE batches them daily at 9:00 PM EST when online revenue reaches $50, apart from Close Cash, so Autymate can be set up to clear their card batch and deposit on their own.
- Chargebacks
- CAKE's Payments report lists a chargeback and its CAKE fee apart from the day's batch, so Autymate can be set up to post each one on its own instead of reopening a closed day.
- Delivery apps
- CAKE's Sales report puts third-party delivery orders, such as DoorDash and Uber Eats, under Credit Card (Card Not-Present), so setup confirms which payout each one arrives in before it is mapped.
- Another processor in store
- CAKE rings card payments taken on an outside processor as a "3rd Party" tender, so Autymate can be set up to clear that location's card sales against the other processor's records.

- Connecting QuickBooks Desktop or Online through that partner's QuickBooks integration, per CAKE University (2021)
- Restaurant365 pulling CAKE sales detail and labor into its own accounting system
When a group needs more
- Every location's Close Cash day posted, and a location that never closed cash flagged
- Locations held in separate companies, or on different accounting systems
- Someone watching every run, with anything uncertain held for your team
- Gift cards spent across clustered locations that sit in separate companies

A single location whose CAKE sales categories already match your chart of accounts can stay on the integration CAKE lists. Restaurant365 pulls CAKE sales and labor into its own books, so it suits a group ready to change accounting systems; MarginEdge reads CAKE sales for its own reports, beside whichever books you keep.
Groups keeping QuickBooks, Xero, Sage Intacct or NetSuite, with every CAKE location posted? That is the setup Autymate builds and runs.
Talk to us about yoursRunning CAKE POS Across Several Locations
A CAKE group has two things a single site doesn't: locations that close cash at different hours, and gift cards that can be spent at a sister site. Both have to land on one standard in the books.
One Mapping, Approved Once.
Your accountant approves one mapping for the group, built from the sales categories already set up in CAKE. A location that opens later uses it too, and one that sells something the others don't gets an approved adjustment rather than a mapping of its own. Each Location in Its Own Company, or Its Own Class.
A location held by its own LLC posts to its own QuickBooks company file. Locations that share a company post into it, each as its own location or class, so the group reads them side by side.CAKE POS Gift Cards Across a Cluster.
CAKE can group locations into a cluster where "customers can use gift cards at any of the clustered locations" (CAKE University). Where clustered locations are separate companies and CAKE's gift card reports show where each card was sold, Autymate can be set up to post the due-to and due-from between them. Each Location's Day Ends at Its Own Close Cash.
CAKE has no fixed close time unless a location sets one, so one site may close at 11 PM and another after 1 AM. Each location's day is taken from its own Close Cash, so a late close never splits one night across two days. When a Location Never Runs Close Cash.
Autymate expects a closed day from every location that traded. A location that sent nothing is flagged, and its day posts as soon as the data arrives.
A group that also runs a café or shop on another POS can bring those sites onto the same chart of accounts, so owners and lenders read one set of books. More on restaurant integrations and franchise and multi-location integrations.
How CAKE POS Setup Works
The decisions come first: where CAKE's categories, service charges, gift cards and processing fees land in your books. Once they're approved, every location's closed day posts through the route agreed at Connect, with nothing re-keyed.
Connect
Together we pick the route your CAKE account supports: for example, your team adds us as a recipient in CAKE's Close Cash Settings, or sets up a CAKE login for us that can read reports. Then we connect your accounting system.
Map
Your bookkeeper and our team place each sales category, discount and comp, tax, card tip, service charge, gift card and the card batch, and agree how CAKE's processing fees are booked.
Validate
We post one real closed day from one location and tie it, line by line, to that night's Close Cash receipt and to the CAKE deposit that followed.
Automate
Each location's day is set up to post on your schedule once its Close Cash has run.
Monitor
Autymate's team watches every run. A location with no data for a day it traded is flagged; a record your accounting system refuses, a sales category with no account, or access that stops working is held for your team with the reason and what to check, and support is on hand.
Decide this before anything is built
Journal entry or sales receipt, one summary per location or per sales category, and where service charges and CAKE's processing fees go. Every CAKE day posts on these choices, so changing one later means going back over days already in the books.
What we need from you
- A CAKE Dashboard login with report access, or Close Cash receipts emailed to us, for each location
- Access to QuickBooks, Xero, Sage Intacct or NetSuite
- Your tip and service charge policy
- Someone to review the first week's postings
What a CAKE POS Integration Looks Like in Autymate
Every location's closed day becomes one run. You see what posted and what waits.
Autymate turns each location's closed CAKE POS day into one run. Your team sees every location in one list: what posted, what is held and why, and any location that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Proof From a Network on One Chart of Accounts
A CAKE group can compare locations only if every one posts to the same lines. Autymate does that for a 900-location franchise network, working from monthly file drops rather than a POS.

CAKE POS Integration FAQs
Yes, you can integrate CAKE POS with QuickBooks Online and QuickBooks Desktop using Autymate. CAKE POS is the restaurant point of sale from Mad Mobile. Autymate posts each location's day once Close Cash has run, with CAKE's Gross Sales split into net sales and sales tax, service charges taken out of Tips, and gift cards on their liability account. Xero, Sage Intacct and NetSuite work the same way.
Yes, CAKE POS works with QuickBooks Desktop using Autymate, which posts each location's day into its Desktop company file, and one group can mix Desktop and QuickBooks Online locations. CAKE's own route is a third-party accounting partner: CAKE University says connecting to Desktop or Online requires that partner's QuickBooks integration (2021).
Yes, you can integrate CAKE POS with Xero using Autymate. As of October 2026, CAKE University presents a Xero integration built by a third-party partner. Autymate can post each location's closed day to Xero with the location as a tracking category and the card batch held in clearing until CAKE's deposit appears in the bank feed, while other locations in the group post to QuickBooks, Sage Intacct or NetSuite.
Usually because Close Cash never ran, since CAKE ends each day at Close Cash. Without a manual close or a set close time, CAKE's backup Auto Close Cash runs 48 to 72 hours after the first card transaction, so one receipt can cover more than one night. Autymate flags a location that sent nothing and posts the missing day once its data arrives.
Because CAKE takes its processing fees out first. CAKE's Payments report shows the captured batch, the fees and "the total amount deposited into the bank account after CAKE fees have been deducted", typically funded within two business days, and may take one business day more when Close Cash runs after 9:00 PM ET (CAKE University, September 2026). Autymate can be set up to post the fees as their own expense line and clear the deposit against its day.
From whatever your CAKE account can share, agreed with you before anything is built. That can be the Close Cash receipt CAKE emails to a recipient you add, Sales and Payments reports exported to Excel, or a CAKE user your team creates with report access, the route MarginEdge documents for its own CAKE connection. Your menu, tenders and Close Cash routine stay as they are.
No. Where the connector you use today suits a location, keep it. Autymate can post the locations that need more, such as separate companies, a second accounting system or gift cards shared across a cluster, and it works alongside your current connector so no CAKE day posts twice. Which locations stay where they are is decided with you during scoping, before anything is built.
It depends on how many CAKE locations and companies you run, which route the connection uses and where the books live; setup time depends on the same things, so both come out of scoping. Weigh it against the manual close: re-keying sales took one 15-store Jimmy John's franchisee 40 hours a week before Autymate. Send one location's Close Cash receipt and we price from your own setup.
Autymate holds a SOC 2 Type II report. Access to CAKE is the access you grant, through reports your team shares or a CAKE user your team controls, and every run is logged, with each posted entry tied back to its CAKE day, so you can see what moved, when, and where it came from.
