Does Epos Now POS Integrate With QuickBooks?
Yes, you can integrate Epos Now with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct and NetSuite using Autymate. Epos Now is a retail and hospitality point of sale that grew from Norwich, UK, with its US head office in Orlando. Autymate builds the connection around how your Epos Now account shares its data and posts each site's business day, every till included, with categories, discounts, tax, tips, service charges and tenders on their own lines.
Connects to
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Sage Intacct
- NetSuite
- and 300+ more systems
Epos Now's own Accounting App, bought location by location in the Epos Now AppStore, posts to QuickBooks Online and Xero, and in its UK AppStore to Sage Business Cloud. It sends either each sale or one summary built from the End of Day, the option Epos Now recommends, and that summary goes till by till: "an end of day will need to be performed on each device to sync through" (checked October 2026). For one site whose tills all close each night, it may be all that site needs.
Epos Now documents two ways into an account's data: its REST API, reached through an API device you create in the Back Office, which "uses one of your device licenses", and the End of Day and sales reports kept for every till. Which one Autymate reads for your sites is agreed at Connect, and each site's day then posts wherever that site's books are kept.
Epos Now's Accounting App, and Where Autymate Fits
Epos Now's Accounting App and Autymate both begin with a closed Epos Now day. The app maps every tender, each tax rate to a tax code, tips, service charges, float differences and petty cash, and can add a QuickBooks Location field. Epos Now's guides send setup and support questions to the app's own support team (checked October 2026). The choice turns on how many sites, tills, companies and accounting systems one day has to reach.
When the Accounting App is enough
- One site, with its books in QuickBooks Online or Xero
- Every till runs its End of Day each night, before midnight
- A daily summary from each till, which Epos Now calls an "Exact replica of the EOD report", is the detail your accountant wants
- Someone on your team compares each posting with that day's End of Day report
When Autymate fits better
- Books in QuickBooks Desktop, Sage Intacct or NetSuite, which the Accounting App's listing and guides don't name (checked October 2026)
- Sites owned by different companies, each posting to its own books
- Several sites on one approved mapping, each as its own location or class
- A till whose End of Day was missed: its sales can be set up to post on the days they were rung
- Venues trading past midnight, whose days can be set up to post by the night they were served
- Autymate's team monitoring your runs, with a new category or tender held for your decision rather than placed in a default account
Posting with the Accounting App today? Autymate agrees a cut-over date with you at Connect, so no Epos Now day reaches the books twice.
Epos Now Lines and the Accounts They Belong In
An Epos Now End of Day sorts a till's takings by payment method, then adds petty cash, float adjustments and customer credits. Each row below uses Epos Now's own wording, the account it usually takes, and what goes wrong in your reports when it lands elsewhere.
What the site sold

- Petty cash payouts
- Customer credits and account sales
| In Epos Now | Where it belongs | What it costs you when it is wrong |
|---|---|---|
| What the site sold | ||
| Categories, parent or deepest level | Sales accounts, with each site as a location or class | Mapped at the parent level for one site and the deepest for another, the same draft beer reads as two lines and no site compares with the next |
| Discounts and promotions | Their own contra-sales account | Netted into sales, a month of happy-hour pricing never shows, and margin looks thinner than the menu says |
| Owed to government and staff | ||
| Tax rates | Sales tax payable, one account for each rate | Folded into sales, tax collected looks like revenue and the return has to be rebuilt from End of Day reports |
| Tips | Tips payable, cleared through payroll | Booked as sales, staff money inflates revenue, then shows up again as a cost when it is paid out |
| Service charges | Service charge income, taxed where your state says so | Booked as tips, money the venue keeps reads as wages owed and income is understated |
| How the money arrived | ||
| Epos Now Payments and other card tenders | Card clearing, until each payout reaches the bank | Posted straight to the bank, the card total arrives in the books before the money does, and the bank match is off until each payout lands |
| Cash and the Counted, Expected and Variance cash-up | Undeposited cash, with the variance in Over/Short | Posted at the Expected figure, a short drawer hides inside cash and the deposit slip never agrees |
| Left in the drawer or still owed | ||
| Petty cash payouts | The expense each payout paid for | Left in cash, a till that bought ice or cleaning supplies looks short instead of spent |
| Customer credits and account sales | Accounts receivable, until the customer pays | Posted as paid, money a regular or an event client still owes drops out of the books |
One Epos Now Saturday, Two Tills to Deposit
Copperline Taproom runs four US sites on Epos Now. Its Eastgate site closed Saturday at 11:00 PM on two tills, the Bar and the Patio, selling $6,626.50 of draft beer, food, cans to go and merchandise before a $188.50 happy-hour discount. A private party paid an 18% service charge, customers left $904.00 in card tips, and the Patio till had not run its End of Day on Friday.
Eastgate's Saturday alone, as one entry
| From Epos Now | Posts to | Amount |
|---|---|---|
| Draft beer, both tills | Sales: Draft beer, Eastgate | $3,958.00 |
| Food, both tills | Sales: Food, Eastgate | $2,012.00 |
| Cans and bottles to go | Sales: Packaged beer | $418.50 |
| Merchandise | Sales: Merchandise | $238.00 |
| Happy-hour discount, Bar till | Discounts | −$188.50 |
| Party service charge, 18% | Service charge income | $153.00 |
| Sales tax at 7% | Sales tax payable | $461.37 |
| Card tips | Tips payable | $904.00 |
| Bar till short at cash-up | Over/Short | −$1.75 |
| Deposit total | Card clearing and undeposited cash | $7,954.62 |
Ties out$7,956.37 paid by customers − $1.75 short at the Bar till = $7,954.62: $7,118.62 on cards and $836.00 cash counted | ||
The Patio till's two-day End of Day
| Patio till sales | Rung on | Amount |
|---|---|---|
| Friday's sales, no End of Day run | Friday | $2,618.44 |
| Saturday's sales | Saturday | $3,222.71 |
| End of Day run Saturday night | One End of Day | $5,841.15 |
$2,618.44 from FridayThe Patio till's float stayed open on Friday, so Saturday's End of Day covered both days, as Epos Now's help says an unclosed till will. Read as one End of Day, Saturday's books carry $2,618.44 of Friday's Patio sales, Friday reads short by the same amount, and Saturday's card total runs $2,618.44 ahead of a card day that Epos Now Payments closed at midnight on Friday | ||
- Friday's Patio sales, before tax
- +$2,144.00
- Friday's sales tax at 7%
- +$150.08
- Friday's card tips
- +$324.36
- Carried into Saturday's End of Day
- $2,618.44
Autymate can be set up to read each till's sales by the day they were rung, so Friday's Patio sales land on Friday and Saturday's books carry Saturday alone.
Until Epos Now Payments funds the day, $7,118.62 waits in card clearing and $836.00 in undeposited cash. Have an End of Day report from one of your sites? See how your Epos Now days would post.
Sample figures. Copperline charges one 7% sales tax on food, drinks, merchandise and the service charge; your rates and what they cover follow your state, county and city. Copperline keeps its private party service charge, so it posts as income and is taxed; card tips are owed to staff and paid through payroll, not out of the drawer. Friday's Patio sales were all on cards, so Saturday night's Patio cash count holds Saturday's cash alone. Eastgate closes at 11:00 PM, so its sales and its card day both fall on Saturday; Epos Now dates any sale after midnight to the next calendar day. Card processing fees are not shown; how Epos Now Payments deposits arrive is confirmed at setup.
Where Epos Now Data Can Go
A group on Epos Now often keeps its sites in more than one company, and each company picks where its books live. One approved mapping covers every site, and each site's day reaches the system holding that site's books.
- QuickBooks Online
- Each Epos Now site's day as a journal entry, with the site as a location or class, so Eastgate's draft sales and another site's read side by side. QuickBooks Online integrations
- QuickBooks Desktop
- Sites whose company files stay on Desktop use the same Epos Now mapping, so a category lands on the same account in either edition. QuickBooks Desktop integrations
- Xero
- Epos Now's own Accounting App also reaches Xero. Autymate fits when Xero is one of several systems in the group, with each site as a tracking category. Accounting integrations
- Sage Intacct
- Each site under the entity that owns it, with sites as locations or departments. Epos Now's own Sage app is for Sage Business Cloud. ERP integrations
- NetSuite
- Sites under their subsidiaries, with card payments posted to a card clearing account rather than straight to the bank, ready for each Epos Now Payments payout or other processor deposit. ERP integrations
How Epos Now Connects
Epos Now documents its own routes into an account, and both start in your Back Office. The one Autymate uses for your sites is chosen with you at Connect.

An API device you create
APIIn the Back Office (Epos Now HQ), under Web Integrations, an API device issues a key and secret for Epos Now's REST API. Epos Now notes it "uses one of your device licenses" and that each account has a request limit (checked October 2026).
The End of Day report for each till
ReportEach till's closed End of Day is the record your managers already cash up against, and the one Epos Now's own app posts from. The API serves the same End of Day report, so either route starts from the same figures.
For your IT or accounting team: the technical detail
- Two API versions
- Epos Now documents V2 and V4 of its REST API on its developer site, with Basic authentication from the key and secret of an API device; the token differs for every device registered in the Back Office (checked October 2026).
- What the API holds
- Resources include Transaction, Tender, Tax Rate, Location and End Of Day, plus End Of Day, Daily Sales and Bookkeeping reports. Webhooks are in beta, and V4 lists an event for a created End of Day.
- The day ends at midnight
- Epos Now's help says "There is no setting to change the point at which the trading day rolls over": sales after midnight belong to the next calendar day, which "most often affects late-night venues such as bars, takeaways and clubs".
- A till left open
- If a till's End of Day is skipped, the next one includes every day since that float opened. Epos Now sends daily reminders from day 3, closes a till itself after 8 days, and offers Auto Close Till at 5am per device.
- The card day
- On Epos Now Payments' standard payout schedule, "the card payments day cuts off at midnight", and its card readers need no separate settlement.
- END OF DAY ID
- Release 3.20 (June 3, 2025) added an END OF DAY ID column to the End of Day report, the ID "used in the data sent to third-party integrations". Each posted day can be set up to carry it.
Epos Now's Accounting App or Autymate?
Without a connector, someone types each till's End of Day report into the books and checks the month against the bank by hand. Below, each option is described in its maker's own terms, followed by what a group of sites tends to need on top.
Epos Now's Accounting App
One site on QuickBooks Online, Xero or Sage Business Cloud
Keying the End of Day report
One site with a bookkeeper who keys each day

What Epos Now documents
- Epos Now's Accounting App: bought per location; each sale or a daily summary; Invoices by Category, Invoices by Products or Journal Entry; tender, tax, tip, service charge, Over/Short and petty cash mapping (October 2026)
- The End of Day report itself, which a bookkeeper can key by hand
When an Epos Now group needs more
- Every site's day posted without anyone opening a report, and a site that sent nothing flagged
- Companies spread across QuickBooks Online and Desktop, Xero, Sage Intacct and NetSuite
- Tills that miss an End of Day, and venues that trade past midnight
- Each run monitored by Autymate's team, with anything it can't place held for review

Talk to us about yoursRunning Epos Now Across Sites and Tills
Epos Now closes the day till by till, and its Accounting App is bought location by location. The books need every site, and every till inside it, to read the same way.
One Mapping for Every Epos Now Site.
Your accountant signs off one mapping template for the group. If one site files its taps under "Craft Draft" and the others use "Draft Beer", an approved location-level adjustment sends both to the same sales account. Each Site as a Location, Class or Company.
Each site can post to its own company's books, or to its own location or class inside one company, so a franchisee's numbers stay in that franchisee's file and a group compares its sites line for line.Every Till Rolled Into Its Site's Day.
Tills are read one by one and posted as one day for their site. When a till skipped its End of Day, its sales can be set up to stay on the days they were rung, instead of riding into the next close.Category Levels Chosen Once.
Epos Now lets a mapping read categories at the parent level or the deepest one. The group picks one level for every site at setup, so a subcategory a manager adds later can't scatter sales across new lines.Epos Now Beside Another POS.
A retail site on Epos Now and a sister venue on another point of sale can share one chart of accounts, each system read on its own, so sales compare whichever till rang them.
More on retail integrations, restaurant and hospitality integrations and franchise and multi-location integrations.
How Epos Now Setup Works
Most of the setup is agreeing where each category, tender and cash-up line belongs. After that, each site's closed day posts through the route agreed for your account, and nobody re-types an End of Day report.
Connect
In your Back Office, an admin agrees the route with us: if it is the REST API, they create an API device for Autymate under Web Integrations, which uses one of your Epos Now device licenses. Then we connect each site's accounting system.
Map
Your bookkeeper and our team place every category at the level you choose, every tender including Epos Now Payments, each tax rate, tips, service charges, Over/Short and petty cash payouts, site by site.
Validate
We post one closed day from a single site first, and your team checks every line against that site's End of Day reports, till by till.
Automate
From then on, each site's day posts after its tills close, at the time of day you set.
Monitor
Autymate's team monitors your runs. A site that traded but sent nothing is flagged, and its day posts once the data arrives. Anything the mapping can't place, such as a new category, a new tender or a petty cash payout with no account, is held for your team's decision with the reason and what to check; support is on hand to help.
Decide this before anything is built
One entry per site or one per till; whether categories post at the parent or the deepest level; for a late-night site, whether its day should be set up to end at your close rather than at midnight, as Epos Now dates it; which tender goes to which clearing account; and, if you use the Accounting App today, the date it stops posting. Change one after go-live and the days already posted can be reposted under the new choice, so settle these before the first day posts.
What we need from you
- An Epos Now Back Office admin to agree the route, and create the API device if the API is used
- A spare Epos Now device license for an API device, or one added through Epos Now
- Access to QuickBooks, Xero, Sage Intacct or NetSuite for each company's books
- Someone to review the first week's postings
What an Epos Now Integration Looks Like in Autymate
Every site's closed day becomes one run. You see what posted and what waits.
Autymate turns each site's closed Epos Now day into one run. Your team sees every site in one list: what posted, what is held and why, and any site that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Epos Now POS Integration FAQs
Yes, you can integrate Epos Now with QuickBooks Online and QuickBooks Desktop using Autymate. Epos Now's own Accounting App, sold per location in its AppStore, also posts to QuickBooks Online. Autymate builds the connection around how your Epos Now account shares its data and posts each site's business day, with categories, discounts, tax, tips, service charges and tenders on their own lines. Xero, Sage Intacct and NetSuite work the same way.
Through Autymate, yes. Epos Now's US QuickBooks listing and its QuickBooks guide name QuickBooks Online only (checked October 2026), so ask Epos Now before counting on its own app to reach a Desktop company file. Autymate posts Epos Now days to QuickBooks Desktop, Sage Intacct and NetSuite as well as QuickBooks Online and Xero, and sites in one group can post to different systems, such as QuickBooks Online and Desktop.
Epos Now calls it "a comprehensive summary of your daily transactions categorised by payment method", plus petty cash, float adjustments and customer credits, with a Counted, Expected and Variance cash-up for each till. The day ends at midnight and can't be moved: Epos Now's help says sales after midnight count toward the next calendar day. A bar that serves until 1:00 AM therefore splits one night across two Epos Now days.
Usually a step upstream was missed. The Accounting App's daily summary waits for each device's End of Day. Epos Now's Xero guide adds that online-channel sales need a Primary Device in the Back Office, and a missing day needs the app to "sync for an old date". With Autymate, a site that sent nothing is flagged and its day posts once the data arrives; a till left open can be set up to be held for review.
For most groups, one daily summary per site. Epos Now's Accounting App offers both, posted as invoices by category, invoices by product or a journal entry, though a journal entry isn't offered per sale and carries "no item details". Epos Now recommends the summary because the bank then shows one deposit to match. Autymate posts a daily entry per site, or per till if your accountant prefers, chosen at setup.
Epos Now publishes V2 and V4 of a REST API, opened with the key and secret of an API device created in the Back Office. It reaches transactions, tenders, tax rates, locations and End of Day records, plus End of Day, Daily Sales and Bookkeeping reports, under a per-account request limit. Each API device takes one of your device licenses. That is how a connection can read a closed day without anyone downloading a report.
For Epos Now's own Accounting App, its guides send setup and support questions to the app's own support team, by chat, a booked call or email (checked October 2026). With Autymate, Autymate's team monitors your runs, and anything it can't place waits for your team's decision with the reason and what to check, while support stays on hand. Either way, keep each site's End of Day reports, because both routes work from them.
Only at setup, through Epos Now's own app. Its QuickBooks guide says historical data "can only be done on initial setup", and its Xero guide says the app will "only sync the data from the day the app was installed" (both checked October 2026). Autymate can be set up to post earlier days from your account's transaction records, with the start date agreed at Connect, which helps a group switching accounting systems partway through a year.
Epos Now sells its Accounting App per location, doesn't publish the price on its own pages, and leaves the accounting software license to you (checked October 2026). An API device also uses one of your Epos Now device licenses. Autymate's work is scoped from your sites, tills and accounting systems and quoted separately. Weigh both against the hours your team spends keying each till's End of Day every week.
Autymate holds a SOC 2 Type II report. Autymate reaches your Epos Now data through the API device or reports you arrange, and you can remove that API device from your Back Office whenever you choose. Each run leaves a log, and every entry Autymate posts points back to the Epos Now day it came from, so a controller can trace any line in the books to its site.
