Does Squirrel POS Integrate With QuickBooks?
Yes, you can integrate Squirrel POS with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct and NetSuite using Autymate. Squirrel POS is the restaurant and hospitality point of sale from Squirrel Systems of Burnaby, British Columbia, sold as Squirrel 11 and Squirrel Cloud. Autymate builds the connection around the Squirrel your stores run and posts each store's business day with sales, GST, PST or sales tax, and charged tips on their own lines.
Connects to
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Sage Intacct
- NetSuite
- Payroll and reporting
- and 300+ more systems
Squirrel's own route is a file. Squirrel Cloud's back office page Data Export, called Accounting until September 2025, downloads check or employee data as a .txt file "that can be imported into Quickbooks or Sage" (Squirrel help, December 2022). Squirrel doesn't name the QuickBooks edition or the Sage product, and the scheduled Export button is "a placeholder for future development". Squirrel publishes no accounting export for Squirrel 11, and its partner list names no QuickBooks, Xero, Sage or NetSuite connector (checked October 31, 2026).
A Squirrel day is balanced at the cashout: Squirrel takes the tips owed to each server, card tips included, out of the cash they owe the house, and gift cards and deposits sit apart from sales. Autymate carries those lines into the books for every store, so nobody re-keys a Daily Summary.
Squirrel 11 or Squirrel Cloud: Which Squirrel POS Do You Run?
Squirrel sells two lines today. Squirrel 11 is self-hosted, on a server in the restaurant or a virtual machine, and Squirrel Cloud runs on Microsoft Azure. Squirrel says Squirrel Cloud has "a REST API for cloud integrations" while Squirrel 11 "provides access via an SDK, gateway API, or SQL interface". Which one a store runs decides where its day is picked up.
| Squirrel 11 | Squirrel Cloud | |
|---|---|---|
| Where it runs | On premises, or on a virtual machine your team hosts | Built on Microsoft Azure |
| Squirrel's own accounting route | None published; Squirrel 11 help sits behind a customer login | Data Export: a .txt file for QuickBooks or Sage, downloaded by hand |
| How partners read it | Read-only database access (Yellow Dog) or software on the back-office PC (MarginEdge) | Squirrel's universal data API for third-party tools (Squirrel, March 2024); 7shifts says "Squirrel Cloud POS is not supported" |
| How Autymate can read it | Read-only database access your IT team grants, or Squirrel's SDK or gateway API where Squirrel provides it | Report exports and the Data Export file, or the API where Squirrel grants access |
| Watch out for | Access is granted on servers your team hosts, so your IT team is part of setup | Reports run on Power BI, and a second report user needs its own licence |
Not sure which you run? Ask whoever builds your menus: on Squirrel Cloud they are set up in the online Back Office Management Console, and on Squirrel 11 they are not.
Squirrel POS Reports, Line by Line in Your Books
A Squirrel store's day is on its Daily Summary, its Transaction Summary and each server's cashout. Here is each line under the name Squirrel prints, the report it comes from, and where your accountant will want it.
What the store earned
- Sales by department or category (Daily Summary)
- Promos and QSAs (Daily Summary Discounts)
- Voids (Voids report)
Owed to government and staff
- GST, PST, HST or sales tax (Daily Summary Tax)
- Charged Tips (Daily Summary)
- Mandatory Charges (Daily Summary)
Owed until redeemed
- Gift cards sold and deposits (Transaction Summary Non-Revenue Sales)
How the money arrived
- Card payments (Daily Summary Payments)
- Cash payments and Net Cash (Daily Summary)
- Pay Ins and Pay Outs (Pay In or Payout)
- House accounts, room charges and hotel accounts (Payments)
| In Squirrel POS | Where it belongs | What it costs you when it is wrong |
|---|---|---|
| What the store earned | ||
| Sales by department or category (Daily Summary) | Food, beverage and liquor sales on your own chart of accounts | Liquor lands inside one sales number, so pour cost has nothing to be measured against and PST on liquor can't be traced to its sales |
| Promos and QSAs (Daily Summary Discounts) | Against the sales they reduce, on their own line | Netted away, a night of items pulled for Quality, Service or Atmosphere looks like a slow night, and the kitchen problem behind it never shows in the books |
| Voids (Voids report) | Not posted to sales; Squirrel keeps each void on its Voids report with its reason | Posted as discounts, voided items inflate the night's markdowns and hide who deleted what |
| Owed to government and staff | ||
| GST, PST, HST or sales tax (Daily Summary Tax) | Each tax on its own payable account, as Squirrel collected it | One combined tax line can't be split again when the GST/HST return and the provincial or state return are filed |
| Charged Tips (Daily Summary) | Tips payable, cleared as servers are paid | Booked as income, card tips swell the night's revenue, then show up again as an expense when they are handed out |
| Mandatory Charges (Daily Summary) | The account your accountant chooses for service charges, with their GST or sales tax on the tax lines | Where a department has "Tips Include Service Charges" on, Squirrel counts the service charge inside Charged Tips, so it can be handed out as if it were a tip |
| Owed until redeemed | ||
| Gift cards sold and deposits (Transaction Summary Non-Revenue Sales) | Gift card liability and customer deposits | Read as sales, an event deposit taken in June shows as June revenue for a party held in August |
| How the money arrived | ||
| Card payments (Daily Summary Payments) | Card clearing, until the processor's deposit lands | Booked straight to the bank, the card total never matches the deposit, which arrives on the processor's schedule with its fees taken out |
| Cash payments and Net Cash (Daily Summary) | Undeposited cash at Net Cash, then the bank | Booked at cash payments, every night looks short by the card tips the servers took home in cash |
| Pay Ins and Pay Outs (Pay In or Payout) | The account each Pay Out reason belongs to | A Pay Out for limes, left in the drawer count, reads as a cash shortage instead of a food cost |
| House accounts, room charges and hotel accounts (Payments) | Accounts receivable for house accounts; a due-from-hotel account for room charges | Posted as cash, a banquet billed to a house account looks paid the night it was eaten |
One Squirrel POS Friday, Cashout to Deposit
Harbourview, a Squirrel store in British Columbia with a bar, closed Friday with $6,258.00 in net sales after promos and QSAs. Add GST, PST on liquor, $1,036.00 in Charged Tips, $160.00 in gift cards sold and a $500.00 deposit for a booked event, and guests paid $8,456.40 across all tenders, $85.00 of it on gift cards bought earlier. Servers kept their card tips out of the cash at cashout, so Squirrel's Net Cash came to $606.55.

- Charged Tips handed to servers at cashout
- +$1,036.00
- Friday's cash short in the books by
- $1,036.00
Nothing went missing from that drawer. Squirrel's cashout report defines what each server owes the house as the cash collected "less all tips owed to the employee, including tips charged to cards", so the tips leave in cash and the card total brings them back. Posted by tender, the same $1,036.00 is counted twice: once as a shortage, once as a debt to staff.
Until the processor funds the batch, $6,728.85 sits in card clearing and $606.55 in undeposited cash. Have a Daily Summary from one of your stores? See how your Squirrel days would post.
Sample figures, in Canadian dollars. Harbourview's three categories stand in for whatever departments your Squirrel setup uses. GST is 5% on everything sold and BC PST is 10% on liquor; the non-alcoholic drinks are coffee, tea and juice, because BC also charges 7% PST on sweetened carbonated drinks. A US store would carry one sales tax line for its state and locality instead. Card tips are handed to servers at cashout in this sample. No mandatory charge was added and no processing fees are shown, because they depend on each store's processor.
Where Squirrel POS Data Can Go
Squirrel POS integrations aren't tied to one accounting system. Each store's business day is mapped once, then posted wherever that store keeps its books, even when a Canadian store and a US store in one group use different systems.
- QuickBooks Online
- Each Squirrel business day as a journal entry, with departments on your income accounts, each store as a location or class, and each tax mapped to the tax account or tax code your accountant chooses. QuickBooks Online integrations
- QuickBooks Desktop
- Desktop company files get the same Squirrel mapping as Online, for groups that still close their books in Desktop. QuickBooks Desktop integrations
- Xero
- Each Squirrel store as an option in a Location tracking category, so Xero splits sales, tips payable and gift card liability by site. Accounting integrations
- Sage Intacct
- Each store as its own location and a Canadian company as its own entity, so liquor sales and QSAs compare across provinces and states. ERP integrations
- NetSuite
- Each Squirrel store mapped to its subsidiary and location, with card payments held in clearing per subsidiary until the processor's deposit lands. ERP integrations
- Payroll and reporting
- Charged and declared tips can be set up to reach payroll; Squirrel says its Tip Posting details view is "the calculation required for US IRS Form 8027". Payroll integrations
How Squirrel POS Connects
Every line of a Squirrel day is already in reports Squirrel produces. The connection starts from whichever route your Squirrel can share, agreed with you and, where it needs access, with Squirrel. The careful part is the business day: each store starts its own.

Report exports and the Data Export file

Read access your IT team grants
Read accessRead-only access to each store's Squirrel 11 database, granted by your IT team, or the developer routes Squirrel documents for Squirrel 11.
Squirrel's API, where Squirrel grants access
APISquirrel describes a REST API for Squirrel Cloud. Squirrel says its technical services contracts for developers are "typically reserved for third-party business partners", so this route is arranged with Squirrel for your account.
For your IT or accounting team: the technical detail
- Out of Balance
- Squirrel's Transaction Summary ends on "Out of Balance", the difference between sales and payments; a value other than zero means the period does not balance, so Autymate can be set up to hold that store's day for your team rather than post it.
- Tax changes
- Squirrel applies a new tax rate after "a normal nightly Shutdown and Start of a new business day" (as it did for the December 2024 GST/HST holiday), so the day's tax lines are carried as Squirrel collected them, never recalculated.
- Pay Out reasons
- Each Pay In or Pay Out carries a reason set up in Squirrel. A reason added later has no account until the mapping gives it one, so Autymate can be set up to hold it for your team.
- Cash rounding
- Squirrel can round cash tenders to $0.05 where pennies are gone, as in Canada, and Autymate can be set up to post the rounding difference to its own account and keep cash tied to Net Cash.
- Voids and returns
- Squirrel keeps voids on their own report, with reasons. Yellow Dog notes that returns and voids aren't in the transaction data Squirrel provides to Yellow Dog's two-way connection, so setup confirms where each store's returns appear before they are mapped.
Data Export, Restaurant365 or Autymate for Squirrel POS?
For one Squirrel Cloud store whose bookkeeper imports a file each week, Squirrel's own Data Export can be enough. Below, each route in its vendor's own words, then the point where a Squirrel group outgrows it.

What Squirrel and its partners document
- A .txt download from Squirrel Cloud's Data Export page, for QuickBooks or Sage (Squirrel help, December 2022)
- Check or employee data for a chosen date range, downloaded by hand; the scheduled Export button is "a placeholder for future development"
- Squirrel Professional Services, which "may be able to build" a custom integration module or work with a third party to do so, under its EasyCare Preferred plan (Product Offerings Guide, 2025)
- Restaurant365, a Squirrel partner, pulling Squirrel sales detail and labor into its own accounting system
When a group needs more
- Every store's business day posted, and a store that sent nothing flagged
- Stores held in separate companies, or Canadian and US stores on different accounting systems
- GST, PST or sales tax, Charged Tips, gift cards and deposits each on their own lines
- Someone watching every run, with anything uncertain held for your team

| Who watches each run | Your team | Not described on Restaurant365's POS list | Your team | Autymate's team, with anything uncertain held for your decision |
A single store whose bookkeeper is happy importing Squirrel's file can stay on it, and Squirrel's Professional Services can be asked about a custom module. Restaurant365 pulls Squirrel sales and labor into its own books, so it suits a group ready to change accounting systems.
Groups keeping QuickBooks, Xero, Sage Intacct or NetSuite, with every Squirrel store posted? That is the setup Autymate builds and runs.
Talk to us about yoursRunning Squirrel POS Across Several Stores
A Squirrel chain has things a single store doesn't: departments set up store by store, business days that start at different hours, and often stores on both sides of the border. All of it has to land on one standard in the books.
One Mapping, Approved Once.
Your accountant approves one mapping for the group. A store that opens later uses it too, and one that sells something the others don't gets an approved adjustment rather than a mapping of its own.Departments Per Store, Revenue Centers Shared.
Squirrel says revenue centers are "usually shared across stores, while departments are unique to each store". Each store's departments are mapped to the group's sales accounts, so "Spirits" at one store and "Bar Liquor" at another both land on liquor sales. Each Store in Its Own Company, or Its Own Class.
A store held by its own company posts to its own company file or entity. Stores that share a company post into it, each as its own location or class, so the group reads them side by side. Each Store's Day Starts at Its Own Time.
Squirrel gives each store a Start Business Day Time, so a bar open past midnight keeps its late checks on the night they belong to. Each store's day is taken from its own business day, never from the calendar date.Canadian and US Stores in One Group.
A Canadian store carries GST, PST, HST or QST lines and a US store carries state and local sales tax. Each posts its own taxes to its own tax accounts, on the same chart of accounts. When a Store Sends Nothing.
Autymate expects a business day from every store that traded. A store that sent nothing is flagged, and its day posts once the data arrives.
| Store | Mon | Tue | Wed | Thu | Fri | Status |
|---|---|---|---|---|---|---|
| Store A | Posted | Posted | Posted | Posted | Posted | |
| Store B | Posted | Posted | Posted | Posted | Posted | |
| Store C | Posted | Posted | Posted | Nothing arrived | Posted | Flagged the same day |
| Store D | Posted | Posted | Posted | Posted | Posted |
A group that also runs a café or retail outlet on another POS can bring those sites onto the same chart of accounts, so owners and lenders read one set of books. More on restaurant integrations and franchise and multi-location integrations.
How Squirrel POS Setup Works
The decisions come first: where Squirrel's departments, taxes, Charged Tips, gift cards, deposits and Pay Out reasons land in your books. Once they're approved, every store's day posts through the route agreed at Connect, with nothing re-keyed.
Connect
Together we pick the route your Squirrel supports: report exports from Squirrel Cloud, read access your IT team grants to Squirrel 11, or the API where Squirrel grants it. Then we connect your accounting system.
Map
Your bookkeeper and our team place each department, promo and QSA, tax, Charged Tip, mandatory charge, gift card, deposit, tender and Pay Out reason, and agree how each store's tip policy and tip-outs are booked.
Validate
We post one real business day from one store and tie it, line by line, to that day's Daily Summary and to the processor's deposit that followed.
Automate
Each store's day is set up to post on your schedule once its business day has closed.
Monitor
Autymate's team watches every run. A store with no data for a day it traded is flagged; a record your accounting system refuses, a Pay Out reason with no account, or access that stops working is held for your team with the reason and what to check, and support is on hand.
Decide this before anything is built
One entry per store or per department, where mandatory charges and Pay Outs go, and how each tax reaches your returns. Every Squirrel day posts on these choices, so changing one later means going back over days already in the books.
What we need from you
- For Squirrel Cloud, a back-office user who can run and export reports (one Power BI licence is included; each further report user needs its own)
- For Squirrel 11, an IT contact who can grant read access at each store
- Access to QuickBooks, Xero, Sage Intacct or NetSuite
- Your tip policy: card tips handed out at cashout or paid through payroll
- Someone to review the first week's postings
What a Squirrel POS Integration Looks Like in Autymate
Every store's closed day becomes one run. You see what posted and what waits.
Autymate turns each store's closed Squirrel POS day into one run. Your team sees every store in one list: what posted, what is held and why, and any store that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Squirrel POS Integration FAQs
Yes, you can integrate Squirrel POS with QuickBooks Online and QuickBooks Desktop using Autymate. Squirrel POS is the restaurant point of sale from Squirrel Systems, sold as Squirrel 11 and Squirrel Cloud. Autymate builds the connection around the Squirrel your stores run and posts each store's business day with sales, GST, PST or sales tax, and Charged Tips on their own lines. Xero, Sage Intacct and NetSuite work the same way.
Yes. Squirrel Systems says Squirrel Cloud "features a REST API for cloud integrations" and Squirrel 11 "provides access via an SDK, gateway API, or SQL interface" (October 2026). There is no public developer portal: Squirrel's 2025 Product Offerings Guide says its technical services contracts for developers are "typically reserved for third-party business partners". Autymate can be set up to use the API where Squirrel grants access for your account, and report exports or read access where it doesn't.
Squirrel Cloud's Data Export downloads a .txt file that Squirrel says "can be imported into Quickbooks or Sage" (Squirrel help, December 2022), without naming which Sage product or publishing the file layout. Autymate posts each Squirrel store's business day to Sage Intacct, with each store as its own location, as well as to QuickBooks, Xero and NetSuite, so nobody downloads and imports a file by hand.
As Squirrel collected them. Squirrel configures taxes by province or state, and its Daily Summary reports the tax collected. Squirrel gives each tax a regular and an alternate rate, and both reach the books on the lines your accountant maps, carried as Squirrel collected them. Each tax goes to the tax account or tax code your accountant chooses, so GST, PST, HST or QST stay apart, and how those lines reach your GST/HST return is agreed at the mapping step.
Because Squirrel's Daily Summary defines Net Cash as "the total cash payments minus charged tips". In a store that hands card tips out at cashout, Net Cash is the cash that should reach the bank, so Autymate can be set up to post that store's cash at Net Cash, the amount its deposit should carry, store by store.
Then the card tips stay owed until payday instead of leaving the drawer at cashout. The tip policy is set per store during mapping, so Autymate can be set up to leave a payroll store's Charged Tips in tips payable until payroll clears them, and to expect that store's full cash payments in the deposit. Stores in one group can follow different policies.
It is the difference between the sales total and the payment total on Squirrel's Transaction Summary, and Squirrel says "a value other than zero indicates the period does not balance", for example when a check is still open at the end of the day. A held day shows the out-of-balance amount, so a manager can close the open check in Squirrel and the day posts once it ties.
It depends on how many Squirrel stores and companies you run, whether they are on Squirrel 11 or Squirrel Cloud, and where the books live; setup time depends on the same things, so both come out of scoping. Weigh it against the manual close: re-keying sales took one 15-store Jimmy John's franchisee 40 hours a week before Autymate. Send one store's Daily Summary and we price from your own setup.
Autymate holds a SOC 2 Type II report. Access to Squirrel is the access you grant, through reports your team exports or read access your IT team controls, and every run is logged, with each posted entry tied back to its Squirrel business day, so you can see what moved, when, and where it came from.
