Focus POS Integration for QuickBooks and More

Autymate posts each Focus store's day to QuickBooks, Xero, Sage Intacct or NetSuite, with sales tax, card tips and Paid Outs on their own lines.

Does Focus POS Integrate With QuickBooks?

Yes, you can integrate Focus POS with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct and NetSuite using Autymate. Focus POS is the restaurant point of sale from Focus POS Systems, a Shift4 company since April 2023, sold through local dealers. Autymate builds the connection around how your Focus stores share their data and posts each store's business day with sales by Report Group, sales tax, card tips and Paid Outs on their own lines.

Connects to

Focus's own route is a file. A store's Accounting Interface maps each Sales Type to an account and writes a QuickBooks-compatible .iif file, which is saved or emailed to the accounting team to import; it "will not automatically export" (Focus POS California's help centre, 2018). Anything new and unmapped, such as a discount, payment type or Paid Out, causes what that help centre calls "out of balance import problems". IIF is the import format QuickBooks Desktop reads, and Focus POS Systems' current help centre had no QuickBooks article on October 31, 2026.

A Focus day is balanced on its Daily Sales Report: Report Groups net of item discounts, each tax beside the sales it was charged on, Retained Tips and Paid Outs next to the sales, and Net Cash, the figure Focus checks the cash deposit against. Autymate takes those same lines into the books store by store, so no one re-types a Daily Sales Report or totals an .iif file in Excel hunting for the gap.

Focus POS or Focus Cloud: Which Focus POS Do You Run?

Focus POS runs as Windows software on a server in the restaurant, sold and supported by a local dealer, with myFocus for reports in the cloud. MarginEdge also documents a separate Focus Cloud, supported by Shift4, whose API keys cover every location on an account. Shift4 said its 2023 purchase added more than 10,000 Focus POS restaurant clients (Shift4 shareholder letter, 2023). The answer decides which routes can carry a store's day to the books.

Focus POS Daily Sales Report Lines, One by One in Your Books

A Focus store closes its day on the Daily Sales Report. Below, each line keeps the name Focus prints on that report, beside the account your accountant is likely to choose.

One Focus POS day splits into 5 groups: What the store earned, Owed to government and staff, Owed until redeemed, How the money arrived, Paid out, or still owed to you.

What the store earned
Report Groups (Daily Sales Report)Food, beer, wine, liquor and other sales on your own chart of accountsWith liquor buried in one sales total, pour cost has no figure to divide by, and food cost reads off by whatever the bar sold
Item discounts and subtotal discountsOn their own discount lines, against the sales they reducePosted net, as Focus reports Report Groups, a night of comps disappears into lower sales and nobody sees what was given away
Order Type ChargesThe account your accountant chooses for delivery or service chargesLeft inside food sales, a delivery charge reads as menu revenue and lifts the average check
Owed to government and staff
Sales tax (each tax beside its sales)Each tax on its own payable account, carried as Focus collected itA single tax total has to be pulled apart by hand when the state and local returns come due
Card tips (Retained Tips: "the total Tip Amount for all Non-Cash Payments")Tips payable, cleared as staff are paidBooked as sales, card tips swell the night's revenue and return later as an expense; booked nowhere, the day won't balance
CC Tip FeeAgainst tips payable, with the amount kept by the house on the account your accountant picksFocus POS California's help centre notes it is "not advised" in California; where a store uses it, payroll and the books disagree unless the fee has its own line
Non-Sales (NS-) Report Groups, such as a round-up donationA liability held for whoever it is owed toCounted as sales, a round-up for charity becomes income the store never earned
Owed until redeemed

One Focus POS Friday, Daily Sales Report to Deposit

Riverbend, a Focus POS store with a bar, closed Friday with $5,544.00 in Net Sales after a $74.00 comp. Add 8% sales tax, $786.00 in card tips and $150.00 in gift cards sold, and guests paid $6,923.52 across all tenders, $60.00 of it on gift cards bought earlier. A $45.00 Paid Out left the drawer for window cleaning.

Focus POS California's help centre lists new discounts, Report Groups, payment types and Paid Ins or Outs as the usual causes of an out-of-balance file; card tips do the same thing whenever the mapping has no account for them. The other lines were right, and one missing account still stopped the whole day.

Until the processor funds the batch, $5,835.27 sits in card clearing and $983.25 in undeposited cash. Have a Daily Sales Report from one of your stores? See how your Focus POS days would post.

Sample figures. Riverbend pays card tips through payroll, so no tips leave the drawer and the $983.25 cash deposit is Friday's cash payments less the one Paid Out. Riverbend rang no item discounts on Friday, so each Report Group is its full sales; the $74.00 Goodwill comp is a subtotal discount. Sales tax is 8% on everything sold. Card processing fees are left out of the sample: they vary by processor and arrive on each processor's own terms.

Where Focus POS Data Can Go

A Focus group rarely keeps every store in one accounting system. The mapping is approved once, and each store's day goes to whichever system holds that store's books.

QuickBooks Online
Each Focus business day as a journal entry, with Report Groups on your income accounts and each store as a location or class, and no .iif file to convert. QuickBooks Online integrations
QuickBooks Desktop
Desktop company files get the same Focus mapping as Online, posted for each store without anyone importing a file by hand. QuickBooks Desktop integrations
Xero
Each Focus store as an option under a Location tracking category, so sales, tips payable and gift card balances read site by site in Xero's reports. Accounting integrations
Sage Intacct
Each store as its own location, and each company that owns stores as its own entity, so food and liquor sales compare across the group. ERP integrations
NetSuite
Each Focus store under its own subsidiary and location in NetSuite, with card payments kept in a clearing account until that store's processor deposit arrives. ERP integrations
Payroll and reporting
Retained Tips can be set up to reach payroll, so tips payable clears when staff are paid. Focus lists ADP and Paychex among its payroll partners. Payroll integrations

How Focus POS Connects

Each part of a Focus day already appears on a report or file Focus produces. Which one Autymate reads is agreed with you, and with your dealer when it needs access on the Focus server. Every store's day is read by its own Business Date.

One closed day, step by step

Riverbend's closed Friday moving through the six steps listed below, ending in the $6,818.52 deposit.

  • The daily Accounting Interface file

    .iif file

The .iif file a store's Accounting Interface already writes each day, sent to Autymate instead of a person, so its lines post without anyone importing it.

  • Daily Sales Report exports

    CSV export

Focus can save or email the Daily Sales Report as a comma-delimited file on a schedule, store by store, with Report Groups, taxes, Paid Outs and payments.

  • Focus's API, if Focus licenses it for your account

    API

Focus POS Systems issues API keys to licensed integrators, and its newer API service (2026) is enabled per myFocus Restaurant Group, so this route is arranged with Focus for your account.

For your IT or accounting team: the technical detail

Out of Balance
The 2018 article on an .iif file that won't import offers one remedy: open it in Excel and total the amounts column until the unmapped line shows. Autymate can be set up to check each store's entry before it posts, so a mismatch is caught at that store rather than discovered at import.
Net and gross
Focus reports Net Sales on the Daily Sales Report and the accounting export; the same help centre says gross sales reach the books only if item discounts are set to credit the matching sales accounts. The mapping decides which view your books carry.
Exact account names
Focus's Accounting Interface takes an account name "exactly the same as listed in the accounting application" or the account number, and that number "is case-sensitive". A renamed account in the books changes nothing in Focus until someone updates it there.
Several batches a day
InnPoss, a Focus dealer, notes that each EMV reader submits its own batch (December 2025), so one store's card total can arrive as several deposits. Card clearing holds the store's day until they have all landed.
Retain Tips
With Retain Tips on, card tips appear on the Daily Sales Report as Retained Tips; tips handed to staff from the drawer appear as Tips Paid Out and lower Net Cash, which Focus POS California's help centre calls the "magic number". Each store's setting is read before its tips are mapped.

Accounting Interface, Restaurant365 or Autymate for Focus POS?

A single Focus store on QuickBooks Desktop whose menu and payment types rarely change can stay on Focus's own file. Here is what each option documents for itself, and where a growing Focus group starts to need more.

Best fit
  1. Focus's Accounting Interface (.iif)

One store on QuickBooks Desktop whose mapping rarely changes

  2. Restaurant365

Groups that make Restaurant365 their accounting system

  3. Keying the Daily Sales Report

A single store whose bookkeeper keys each day

  4. Autymate managed integration

Groups keeping QuickBooks, Xero, Sage Intacct or NetSuite, with every Focus store posted

What Focus and its partners document

  • A daily .iif file per store, saved or emailed and imported by hand (Focus POS California's help centre, 2018)
  • More than one accounting interface set up in a store's Focus, each mapped Sales Type by Sales Type
  • Restaurant365 pulling Focus sales detail and labor into its own accounting
  • Shift4's QuickBooks Online app, documented for Shift4 Dine locations (September 2026)

When a group needs more

  • Every store's business day posted, and a store that sent nothing flagged
  • Stores in separate companies, or on different accounting systems
  • Sales tax, Retained Tips, gift cards and Paid Outs each on their own lines
  • Someone watching every run, with anything uncertain held for your team

Running Focus POS Across Several Stores

A Focus group has things a single store doesn't: Report Groups and Paid Out reasons set up store by store, stores added since the Shift4 purchase on different processing, and often stores owned by different companies. All of it has to land on one standard in the books.

  • One Mapping, Approved Once.

Your accountant approves one mapping for the group. A store that opens later uses it too, and one that sells something the others don't gets an approved adjustment rather than a mapping of its own.
  • Each Store's Report Groups on One Chart.

Each Focus store keeps its own Report Groups, discounts and Paid Out reasons. Each is mapped to the group's accounts, so "Draft Beer" at one store and "Beer" at another both land on beer sales.
  • Each Store in Its Own Company, or Its Own Class.

A store held by its own company posts to its own company file or entity. Stores that share a company post into it, each as its own location or class, so the group reads them side by side.
  • Each Store's Day by Its Focus Business Date.

Focus dates every sale by its Business Date, the day the store traded, so a late bar check stays on the night it belongs to. Each store's day is taken from that Business Date, never from the calendar date or the card batch date.
  • Stores on Shift4 and on an Older Processor.

A store added since the Shift4 purchase may process with Shift4 while older stores keep another processor. Each store's card payments sit in clearing for its own processor until that deposit lands. The route for a store not on Shift4 processing is agreed at Connect, because Focus's own 7shifts and DAVO integration articles require Shift4 processing (Focus help, 2026).
  • When a Store Sends Nothing.

Autymate expects a business day from every store that traded. A store that sent nothing is flagged, and its day posts once the data arrives.

A group that moves some stores off Focus, to SkyTab or another POS, can keep those stores on the same chart of accounts, so the books read the same before and after. More on restaurant integrations and franchise and multi-location integrations.

How Focus POS Setup Works

The decisions come first: where Focus's Report Groups, discounts, taxes, Retained Tips, gift cards and Paid Out reasons land in your books. Once they're approved, every store's day posts through the route agreed at Connect, with nothing re-keyed.

  1. Connect

Together we pick the route your stores support: the daily Accounting Interface file, Daily Sales Report exports, or Focus's API if Focus licenses it for your account. Then we connect your accounting system.

  2. Map

Your bookkeeper and our team place each Report Group, discount, Order Type Charge, tax, tip line, gift card, payment type, house account and Paid Out reason, and agree each store's tip policy.

  3. Validate

We post one real business day from one store and tie it, line by line, to that day's Daily Sales Report and to the deposit that followed.

  4. Automate

Each store's day is set up to post on your schedule once its business day has closed.

  5. Monitor

Autymate's team watches every run. A store with no data for a day it traded is flagged; a day that doesn't balance, a new Paid Out reason with no account, or access that stops working is held for your team with the reason and what to check, and support is on hand.

Decide this before anything is built

One entry per store or per Report Group, whether sales post gross with discounts apart or net as Focus reports them, and where Paid Outs and Over/Short go. Every Focus day posts on these choices, so changing one later means going back over days already in the books.

What we need from you

  • A manager who can schedule Focus reports or files for each store
  • Your Focus dealer's contact, only if the agreed route needs access on the Focus server
  • Access to QuickBooks, Xero, Sage Intacct or NetSuite
  • Each store's tip policy: card tips kept and paid through payroll, or card tips paid out of the drawer
  • Someone to review the first week's postings

What a Focus POS Integration Looks Like in Autymate

Every store's closed day becomes one run. You see what posted and what waits.

Autymate turns each store's closed Focus POS day into one run. Your team sees every store in one list: what posted, what is held and why, and any store that sent nothing, which is flagged and posts once its data arrives. Held items wait for your decision while the rest of the day posts. Every run keeps its mapping version and a log of each step, and Autymate's team monitors the runs.

Focus POS Integrations FAQs

Yes, you can integrate Focus POS with QuickBooks Online and QuickBooks Desktop using Autymate. Focus POS is the restaurant point of sale from Focus POS Systems, a Shift4 company. Autymate builds the connection around how your Focus stores share their data and posts each store's business day with sales by Report Group, sales tax, card tips and Paid Outs on their own lines. Xero, Sage Intacct and NetSuite work the same way.

Every Focus POS Business Day, Posted to Your Books

You tell us

  1. How many stores run Focus
  2. Whether each one is on Focus POS or Focus Cloud
  3. Which accounting system each one uses

We show you

  • What moves from Focus POS and where each part lands
  • How it connects for you: the daily Accounting Interface file, exports of the Daily Sales Report or the integrator API, where Focus grants access
  • How one closed day would post

Bring one closed Focus POS day, as a report or export, and the call starts from your own numbers.
