The School of Bookkeeping is a company that provides QuickBooks solutions to all businesses—providing courses from Core to Enhanced accounting options for accountants.


Including a feasible QuickBooks version for your business, selecting the best payroll services, guiding you through the myriad of best services for your business, and converting your data from any software along with its history and expectations, and guidance along the way. While QuickBooks is proficient in many areas, it cannot be an expert in everything. In addition, as a QuickBooks Solution Provider, we focus on the benefits of accounting automation and often see companies whose systems and processes are not integrated— some applications can talk to each other while many others can't.


Background

The Challenge

As QuickBooks Solution Provider, companies come to them with workflows and processes that aren't compatible with each other. They often have trouble communicating because they use different software applications. The goal of the School of Bookkeeping is to help these companies bridge the communication gap so that their systems can talk to each other.


They were looking for a way to create invoices that our affiliates could track so that they could import them into QuickBooks. Ideally, when their client has the commission to pay an affiliate, the affiliate would have an unpaid invoice in their books, waiting to be paid later.

Our Solution

Autymate aggregated the data to create the mapping for the invoices without editing the information within the CSV files, keeping the files' integrity by giving specific fields within the mapping options to map a specific column to the respective field by selecting Bill-To, Ship-To, and the respective customers and their product/services. Making the interface resemble QuickBooks and adding extra features by giving the product/service field to map with different items according to their specifications.

Column mapping simplicity:

Our solution indicated the specific type of transaction and which columns were mapped to fields according to the specifications. This helped them save time by eradicating invoice editing fatigue.





Advanced field mappings:


We designed this game-changer where they could enter various conditions into the item name of the invoice so that the information provided in the reference number field could be mapped to different items without editing them manually.

Duplicating the process for others:


A simple but efficient process for when any new user came on board, they could leverage the advanced field mapping that was already set up, so the users wouldn’t have to do it themselves.


Dashboard of time savings:


We provided a custom dashboard for the users/affiliates that illustrates how much time was saved by automating the entire functionality, along with the reports in a bar chart for every entity processed through any date range.


Affiliates can log into their payment dashboards, download a CSV file, and upload it to the prepared "Auty-mation" with no changes needed to be made to the CSV file.
