Mindbody Integration: Connect Mindbody to QuickBooks, Xero, Payroll and Your CRM

Every studio's memberships, class packs, drop-ins, retail and payouts, landing in the right books, with prepaid revenue released as members actually attend. Instructor pay reaches payroll by location. Autymate builds it, runs it and watches it, so nobody re-keys a sales report again.

Does Mindbody integrate with QuickBooks, Xero and ERP systems?

Yes, you can integrate Mindbody with QuickBooks Online, QuickBooks Desktop, Xero, Sage Intacct, NetSuite and 300+ other accounting, ERP, payroll and CRM systems using Autymate. Each studio's day posts to its own books, with memberships, class packs, drop-ins, retail, gift cards and sales tax on separate lines, prepaid revenue released as members attend, and every payout matched to the day. Every record is checked before it posts, and Autymate builds, runs and monitors the connection.

Connects to

Mindbody is one of the most widely used platforms for gyms, boutique studios, salons and spas. Since June 2025 it has sat under Playlist, the parent company of Mindbody, ClassPass and Booker.

Mindbody and QuickBooks do not connect directly out of the box. Intuit's own support team says QuickBooks Online has no direct Mindbody integration and points owners to third-party apps. Meanwhile your books need to know what each Mindbody sale actually is: membership dues earned this month, class packs nobody has used yet, gift cards, tax on retail, tips owed to staff, and a payout that arrives smaller than the day's sales. This page explains how a Mindbody integration keeps those apart. For the QuickBooks Online detail, see our Mindbody QuickBooks Online integration page.

What Mindbody Data Moves, and Where It Lands

A studio sells many kinds of things through Mindbody, and most of them are not revenue on the day they are sold. Each belongs somewhere different in your books. Get the routing right once and every studio posts the same way.

Mindbody records, where they usually land, and what it costs you when they land in the wrong place. Your accountant approves the final mapping.

One Studio's Day, Posted Properly

Here is a single Monday at one studio. Members paid $6,374.24 by card and ACH. The payout that reached the bank was $6,072.71. Revenue actually earned that day was $4,638.00. All three numbers are right. They answer different questions, and an integration has to keep the bridge between them.

OverstatedMonday reads $1,434.71 above the $4,638.00 actually earned

The gap is $1,434.71: $1,440.00 of class packs nobody has used yet, $150.00 of gift cards and $26.24 of tax you owe are all counted as revenue, while $181.53 in fees disappear. A strong month of pack sales then looks like a record month, and the following month looks like a collapse. The fix is the mapping on the way in, not a correction at year-end.

Illustrative figures for one studio's day. Cash is counted at close and deposited separately.

Memberships, Class Packs and Deferred Revenue

This is the part most studio books get wrong. Money collected for classes that have not happened yet is not revenue. It becomes revenue as members attend, and whatever is left when a pack expires is handled the way your accountant decides. Here is what happens to the six 10-class packs sold on Monday, at $240 each.

How $1,440.00 moves from prepaid to revenue Released so far Still prepaid
  1. Day of sale$0.00 released$1,440.00 prepaid
  2. First month$528.00 released$912.00 prepaid
  3. Second month$1,152.00 released$288.00 prepaid
  4. Third month, packs expire$1,440.00 released$0.00 prepaid
Six 10-class packs sold for $1,440.00, worth $24.00 a class. Released to revenue as members attend. Illustrative.
PeriodClasses attendedReleased to revenueStill prepaid
Day of sale0$0.00$1,440.00
First month22$528.00$912.00
Second month26$624.00$288.00
Third month, packs expire7 used, 5 unused$168.00 + $120.00$0.00
Total60$1,440.00$0.00

The $120.00 for unused classes is treated under your accountant's policy for expired packs. Memberships follow the same logic: a monthly membership is earned in its month, while an annual membership paid up front is released month by month. Autymate applies these rules automatically for every studio, so revenue follows attendance instead of the payment calendar.

Where Mindbody Data Can Go

Collect each studio once, then shape the data for whichever system needs it. Adding a destination later is cheap. Changing how much detail you post is not, so that is the decision to make first.

How Mindbody Connects

Mindbody has a public API and webhooks, so connecting it is well-trodden ground. What takes care is the access process each studio owner has to approve, keeping API usage lean, and catching the changes a webhook can miss.

For your IT or accounting team: the technical detail

The owner approves access
Live API access is reviewed by Mindbody, then each studio's site is activated with a code that the owner approves in Manager Tools, under Mindbody Add Ons and API Integrations. We walk you through it, and it takes a few minutes.
One site per request
Every API call is made for a single Mindbody site ID. A site can hold several locations, and franchise brands often run one site per franchisee, so each site is activated and mapped on its own.
Usage is metered
Mindbody meters API calls, and a site with several locations counts each location it covers. Daily runs pull only what changed, and webhooks, which are not metered, carry the changes in between.
Webhooks can drop events
Mindbody webhooks are delivered at least once, in no guaranteed order, and are retried for a few hours before being dropped. Repeated failures switch a subscription off. Scheduled checks catch anything missed, and records are matched by ID so a repeat never posts twice.
Rate limits
Mindbody recommends staying under 2,000 requests a minute. Large history loads are paced well below that.
Payouts
The Payments tab in Mindbody Analytics replaced the old Payouts Report and shows payments, fees and deposits together, filterable by location. That is the source we match deposits against.

Mindbody Accounting App or a Managed Integration?

Start with the smallest thing that controls your risk. Several third-party apps connect Mindbody to QuickBooks. Bookkeep, for example, posts daily sales summaries with deferred revenue handling and supports multiple locations, and tools such as Cazoomi's SyncApps and FlexBooks also connect Mindbody to QuickBooks. For a single studio with simple books, an app may be all you need.

Best fit
  1. Export and re-key

Very low volume or a stopgap

  2. Mindbody accounting app

  3. Autymate managed integration

Mindbody Across Several Studios

At one studio the question is whether the total is right. Across a group you also need to prove every dollar reached the right studio and the right company, and that no studio went quiet. Mindbody's Analytics gives you a corporate view across locations. Autymate makes the books match it.

  • Route each studio to its own books.

Studios under one company post to one file with a class or location for each. Franchisees post to their own company file, on the same mapping.
  • Write the mapping once.

Your accountant approves one mapping, including how prepaid revenue is released. A new studio copies it on day one instead of becoming a new project.
  • Keep what varies separate.

Pricing, tax, instructor pay rates, bank accounts and expiry rules stay per studio, because they really do differ from studio to studio.
  • Watch for silence.

A studio that sends nothing raises no error. We compare each studio's open days with what arrived and flag a missing day the same day.
  • Compare studios on the same terms.

Because every studio recognizes revenue the same way, membership revenue, revenue per visit and instructor cost finally compare across the group.

How Setup Works

Most of the work happens before anything runs on its own. Five steps, and only one of them needs real time from your team.

  1. Connect

You approve Autymate's Mindbody API access for each site in a few minutes, and your accounting and payroll systems are connected.

  2. Map

One or two sessions with whoever owns your books to agree where each kind of sale lands, and how and when prepaid revenue is released.

  3. Validate

We post one real closed day and check it inside your books: revenue matches Mindbody by category, prepaid revenue is held back, and the payout ties out.

  4. Automate

Every studio posts on the schedule you choose, prepaid revenue is released as members attend, and pay lines go to payroll each pay period.

  5. Monitor

Missing days, rejected records, duplicates and missed webhooks come to our team, not to a help article.

Decide this before anything is built

How prepaid revenue is released and how expired packs are treated. Both change your monthly revenue figures, and changing them later means restating history, so they are worth an extra hour with your accountant now.

What we need from you

  • The studio owner's approval of API access in Mindbody
  • Access to your accounting system and payroll
  • An hour or two from whoever owns the chart of accounts
  • A quick review of the first week's postings

Mindbody Integration FAQs

Yes. Autymate posts Mindbody data to Xero, Sage Intacct and NetSuite on the same mapping it uses for QuickBooks. In Xero, each studio's day lands as invoices or manual journals by tracking category, with the payout matched to the bank feed. In Sage Intacct and NetSuite, every entry carries entity and location dimensions for franchise groups and multi-entity studios. For QuickBooks Online detail, see Mindbody to QuickBooks Online.

“The thing that was most surprising was that the Autymate programmers really wanted to understand how the business ran. They asked a lot of good questions upfront to understand what we're trying to accomplish and make our business better.” They really tried to understand and make recommendations on things they had seen in the past that worked. They wanted to make sure it was done right and correct upfront. I thought that was a refreshing approach that I hadn't really seen a lot before.
