HubSpot QuickBooks Integration

Put each HubSpot invoice on the right QuickBooks customer, with fees, refunds and payouts accounted for.

HubSpot builds its own QuickBooks Online app, and for a single QuickBooks company where each customer has one billing contact, it does the job. When customers are companies with several contacts, payouts land net of fees, or brands keep separate books, a HubSpot QuickBooks Online integration from Autymate is built around your accountant's rules, and anything it cannot match is held for review.

Does HubSpot Integrate with QuickBooks Online?

Yes, you can integrate HubSpot with QuickBooks Online using Autymate. HubSpot also builds its own app, a HubSpot QuickBooks data sync that pairs contacts with customers and moves products, invoices, credit memos and payments, but posts nothing for processing fees or refunds. To connect HubSpot to QuickBooks with customers kept by company, several QuickBooks companies, or month-end checks against each payout, Autymate builds the HubSpot QuickBooks integration for your business and holds anything unmatched for review.

  • HubSpot to QuickBooks

    • Contacts as QuickBooks customers, named after their company
    • Invoices with line items, matched to products by SKU
    • Credit memos, applied to one invoice per payment
    • Not posted: processing fees, refunds or deletions
  • QuickBooks to HubSpot

    • Products and services, the direction HubSpot recommends
    • Invoices, plus payments created after the app connects
    • Changes picked up every 30 minutes, or on Sync now
    • Not carried: one payment split across several invoices

What Can a HubSpot QuickBooks Integration Use?

HubSpot holds the deal, the invoice and the payment, and each must land in the right account.

  • Contacts and Companies

HubSpot keeps people as contacts and businesses as companies, with one primary company per contact. Its QuickBooks app pairs contacts, not companies, with QuickBooks customers, so a B2B account with five contacts is five candidates for one customer.

  • Products, SKUs and Line Items

Line items on a deal or invoice come from the product library, each with a price and, ideally, a SKU. The HubSpot QuickBooks product sync matches on that SKU, which is why a clean catalog in QuickBooks Online comes first.

  • Invoices and Their Status

A HubSpot invoice carries its number, billing contact, line items, any order-level discount and a status of draft, open, paid or voided. Invoices built from a quote or a deal keep that association, which finance can use to trace revenue back to the sale.

  • Payments and Payouts

Card and ACH payments taken through HubSpot Payments in Revenue Hub, or through Stripe, are recorded against the invoice, gross. Through HubSpot Payments the money reaches the bank as a daily payout, net of fees, refunds and chargebacks; with Stripe, payout detail lives in Stripe, not HubSpot.

  • Credit Memos and Refunds

Credit memos carry line items and can be voided. A refund taken through HubSpot Payments is recorded on the payment in HubSpot, while the matching entry in QuickBooks is a credit memo or refund receipt that someone has to create.

  • Custom Properties and Pipelines

With Autymate, properties such as a PO number, billing entity or region, plus the deal's pipeline, decide each invoice's custom fields, class, location or QuickBooks company.

Standardize HubSpot Accounting Across Multiple QuickBooks Companies

One HubSpot portal, several QuickBooks companies, one set of billing rules for all of them.

  • Reusable Mapping Template

Every brand and franchised unit selling through the portal shares one rule set for customers, products, fees and refunds, whichever QuickBooks company it books to.

  • Controlled Local Exceptions

A unit can keep an approved difference, such as its own income account or a product sold only in its territory, while every other unit stays on the shared rules.

  • Entity-Aware Routing

A deal's pipeline or billing-entity property decides where its invoice lands: a class or location inside a shared QuickBooks company, or a separate company when the unit is its own legal entity. When one HubSpot Payments payout covers several companies, Autymate splits it so each company's books carry its own share of the deposit.

  • New Locations on the Same Template

A newly signed franchisee or an acquired brand is added to the shared template with its own QuickBooks connection, so its HubSpot invoices follow the group's rules.

Shared Billing Emails, Net Payouts and Edited Invoices

These are the month-end cases a HubSpot accounting integration has to handle before QuickBooks is right.

  • Franchise Locations That Share One Billing Email

On HubSpot's community, an agency described a client whose franchise locations use "the same email address for multiple different clients". Because the app matches invoices to customers by email, invoices landed "under what seems like a totally random QB client", and the partner concluded "there's no way to ensure the invoices get created on the correct client record in QB".

  • A Second Contact at the Same Company

Customers created from HubSpot take their company's name as the Display Name, and QuickBooks requires every Display Name to be unique, so the second contact at Northwind Co. is refused as a duplicate. HubSpot's advice is one billing contact per company. Autymate matches on the HubSpot company or location instead, so all of Northwind Co.'s contacts bill to one customer.

  • A Payout That Lands Net

For example, INV-1044 for $1,000.00 and INV-1045 for $500.00 are paid by card on the same day. With $45.00 of fees and a $100.00 refund on an earlier invoice taken out, the bank receives $1,355.00. The app posts the $1,500.00 of payments but no fee expense and no refund, so the $1,355.00 line in the bank feed matches nothing in QuickBooks until someone finds the missing $145.00 by hand.

  • One Payment Across Several Invoices

A customer who settles three milestone invoices with one bank transfer is routine in QuickBooks, but HubSpot cannot show it: payments applied to multiple invoices do not come back to HubSpot. HubSpot keeps all three invoices open, so a rep can follow up on money finance already has.

  • An Invoice Changed in QuickBooks After It Posts

HubSpot-created invoices cannot be changed in QuickBooks for "adding or removing line items, updating pricing, removing a payment, or adding tax information". An edit made there anyway comes back as an error until it is reverted in QuickBooks and made in HubSpot. Autymate assigns each kind of change to one system before go-live, so neither team ends up correcting the same invoice.

  • Products with No SKU

A line the app cannot match by SKU goes to a QuickBooks item called Custom Line Item, posting to the one income account picked at setup. Consulting, software and hardware can end up in the same income line on the profit and loss, and splitting them again is a journal entry at month-end.

When HubSpot's QuickBooks App Is Enough, and When to Add Autymate

Plenty of teams run HubSpot's own app without trouble. The difference shows up at month-end.

  • HubSpot's App Is Enough When...

Each customer is billed through one contact, every product carries a SKU, invoices are paid one at a time, and one U.S. QuickBooks company keeps the books.

  • Add Autymate When...

Customers are companies with several contacts, locations share a billing email, fees and refunds on each payout need their own treatment, brands or entities keep different QuickBooks companies, or a closed deal should become a QuickBooks invoice without anyone re-keying it.

Where Autymate fits: your team keeps working in HubSpot as today. Autymate works alongside HubSpot's own QuickBooks app, with each record type assigned to one system, so nothing posts twice.

HubSpot QuickBooks Automation with a Check Before Every Post

Each invoice, payment and customer is checked against your rules before it reaches QuickBooks.

  • Customer Matching

Autymate matches each invoice to its QuickBooks customer on the HubSpot company, franchise location or contact, as agreed with your accountant, rather than on whichever customer shares an email.

  • Mapping Validation

A new product, pipeline or custom property without a signed-off rule is held for review until your accountant approves where it should post.

  • Duplicate Prevention

Every QuickBooks invoice keeps the HubSpot invoice number it came from, so Autymate's duplicate checks hold a retried or re-triggered request for an invoice already posted.

  • Held for Review

When an invoice could belong to two customers, or a line has no item, it is held for review with a note on what to check, and it posts as soon as your team decides.

  • Monitoring

Autymate's team monitors your runs, and held items reach your team with the reason and what to check, with support on hand.

Reconcile HubSpot Invoices and Payouts with QuickBooks Deposits

Autymate runs the month-end checks behind a HubSpot invoice QuickBooks sync, payout by payout.

  1. Invoices Issued against Invoices Posted

Autymate compares the month's HubSpot invoices with QuickBooks invoices by number, customer and total, and lists any that never arrived.

  2. Payments against Open Invoices

Autymate matches each payment to the invoices it settles, so finance knows what is still owed.

  3. Payouts against Bank Deposits

Autymate ties each daily payout to its bank deposit, so HubSpot QuickBooks payments, less fees and refunds, agree with what the bank received.

  4. Fees, Refunds and Disputes

Autymate confirms every fee, refund and chargeback in the period has its QuickBooks entry, so the clearing account holds only money still in transit.

  5. Held Records Before Close

Autymate lists anything held for review, such as an unmatched customer or an unmapped product, so your team can clear it before the period is closed.

Native HubSpot QuickBooks Sync, Workflows, Zapier or a Managed Integration?

Use the native HubSpot QuickBooks sync when one U.S. company bills one contact per customer, and add HubSpot's QuickBooks workflow actions to create records from payments. Zapier or Make suit a handful of triggers someone on your team will look after. A managed HubSpot QuickBooks Online integration fits when customers, payouts and several QuickBooks companies must reconcile every month and nothing is left open at close.

How a HubSpot QuickBooks Online Integration Goes Live

Prove the customer and fee rules on one brand's closed month, then roll them out.

  1. Review the HubSpot Portal

List pipelines, Brands, products and SKUs, the payment processor, the QuickBooks app's sync settings and filters, any workflows, and the records listed as Failing in sync health today.

  2. Decide Who Owns Each Record

Settle the customer rule, items, fee and refund treatment, classes, QuickBooks companies, and which system owns an invoice once it is sent.

  3. Build on One Brand

Set up one brand or entity first: customers, items, custom fields and the references that keep each invoice unique.

  4. Replay a Closed Month

Replay a closed month of invoices, payments and payouts and check the totals against QuickBooks and the bank statement before go-live.

  5. Roll Out to Every Brand

Bring every other brand and QuickBooks company onto the proven rules, each keeping the local differences you approved. After go-live, Autymate's team monitors your runs.

Built for Finance Teams Behind a HubSpot Sales Process

HubSpot QuickBooks automation designed for B2B teams that quote, invoice and collect in HubSpot.

  • Sales Keeps Working in HubSpot

Reps keep quoting, invoicing and taking payments where they do today; the accounting rules sit behind them.

  • Accounts Agreed Before Go-Live

Items, accounts and fee treatment are agreed with your accountant before go-live.

  • QuickBooks and 300+ Other Tools

HubSpot is rarely the only system feeding the books. QuickBooks is one of 300+ tools Autymate connects, so other systems you run beside HubSpot can be connected too.

HubSpot QuickBooks Integration FAQs

Yes.

HubSpot builds and certifies a QuickBooks Online app, its knowledge base lists the data sync for all HubSpot products and plans, and its Marketplace listing requires QuickBooks Online Simple Start, Essentials, Plus or Advanced. Some features need more: custom field mappings need Data Hub Starter or above, and the QuickBooks workflow actions need a Professional or Enterprise account based in the U.S.

For most objects, yes.

Contacts and credit memos can run one way or both ways, and invoices run both ways, with filters and a rule for which system wins a conflict, while payment settings are fixed. HubSpot says changes made in HubSpot reach QuickBooks within a few minutes and changes in QuickBooks are picked up every 30 minutes. Only payments created after you connect come across.

Not through the data sync, which does not turn deals into invoices.

On U.S. Professional or Enterprise accounts, HubSpot's QuickBooks workflow actions can create invoices, estimates and sales receipts, and QuickBooks Online Advanced has a HubSpot app that brings deals in as draft invoices. Invoices that start in QuickBooks are not linked back to a deal. With Autymate, a closed deal becomes a QuickBooks invoice automatically, with the customer, items and class your rules call for.

HubSpot's troubleshooting guide names a short list of causes: the invoice's contact email does not match a QuickBooks customer, a second contact at the same company creates a duplicate Display Name, custom transaction numbers produce a duplicate document number, or a HubSpot invoice was edited in QuickBooks.

Each record that did not sync shows its reason in the app's sync health view, where you can correct it and choose Sync now.

To contacts.

The native app pairs a HubSpot contact with a QuickBooks customer and uses the associated company's name as the Display Name, which QuickBooks requires to be unique. That is why HubSpot recommends one billing contact per company. Autymate matches on whatever your books are kept by, whether the HubSpot company, a franchise location property or the contact, so five contacts at one company post to one QuickBooks customer.

QuickBooks records it normally, but HubSpot's knowledge base says payments associated with multiple invoices do not sync to HubSpot, and a credit memo can be applied to only one invoice per payment.

HubSpot can then show invoices as open after finance has the money. Autymate matches each payment to every invoice it settles at month-end, so finance knows exactly what is still owed.

HubSpot Payments pays out daily, net of fees, refunds and chargebacks, and the QuickBooks app creates no expense for processing or platform fees.

HubSpot suggests totalling them from a report and entering them by hand, and a HubSpot workflow action can create a fee expense. Autymate posts each payout's fees and refunds with it, so every deposit in QuickBooks matches the bank.

Yes, with Autymate.

Autymate routes each invoice by the deal's billing-entity property or pipeline, to its own QuickBooks company or to a class or location inside a shared one, all on one mapping template. HubSpot's knowledge base does not document connecting several QuickBooks companies to one data sync; the usual community workaround is a separate HubSpot account per entity.

With Data Hub Starter or above, you can add mappings beyond HubSpot's defaults, such as a PO number.

On the QuickBooks side, its API exposes only three custom fields on invoices, and each must meet HubSpot's type and sales-form rules. Class and location are not among the fields HubSpot documents for the native app. Autymate sets both on every invoice from the deal's pipeline or a HubSpot property.

Often not.

Most non-U.S. QuickBooks Online versions require tax on synced invoices, and HubSpot invoices cannot carry invoice-level tax, so those files cannot use invoice sync. HubSpot line items also have no Service Date, and HubSpot's advice is to turn off QuickBooks revenue recognition. Autymate handles both by rule, applying the tax your QuickBooks file requires and recognizing revenue on the schedule your accountant sets.

Not natively.

HubSpot's app is built for QuickBooks Online, and Desktop users rely on third-party connectors. With Autymate, a group with one brand still on Desktop and the rest on QuickBooks Online runs every company on the same customer, product and fee rules. Name the edition behind each QuickBooks company when you book, and the blueprint covers both.

To connect HubSpot to QuickBooks with Autymate, start with a blueprint call, with a month of HubSpot invoices and the payouts that settled them to hand.

Autymate sets up the HubSpot accounting integration between your portal and each QuickBooks company for your business, while sales keeps quoting and invoicing in HubSpot as before. The first brand goes live after a test month checks out.
