ClickUp QuickBooks Integration

Turn approved ClickUp tasks and billable time into QuickBooks invoices, with your rates and clients mapped.

If month-end means exporting approved time from ClickUp and typing it into QuickBooks invoices one client at a time, that copy paste can stop. A ClickUp QuickBooks Online integration from Autymate reads approved tasks and time through ClickUp's API and webhooks and turns them into invoices at your own rates: each known client is matched to its QuickBooks customer, and a task with no rate or client match is held for review instead of being invoiced. Autymate also works alongside ClickUp's QuickBooks beta, with each record type assigned to one system, so nothing posts twice.

Does ClickUp Integrate with QuickBooks Online?

Yes, you can integrate ClickUp with QuickBooks Online using Autymate. ClickUp's own QuickBooks Online Sync is a beta you apply for on Business Plus or Enterprise. It brings one QuickBooks company's customers, products and invoices into ClickUp as tasks, and it does not sync time entries. To connect ClickUp to QuickBooks in the other direction, a ClickUp QuickBooks integration from Autymate turns approved tasks and billable time into invoices under your rates, routed to the right company.

  • QuickBooks to ClickUp

    • Customers, products, services and invoices as tasks in a Space named Quickbooks Online
    • Invoice number as the task name; invoice ID, customer and total in Custom Fields
    • Sync errors as comments on the failed task
  • ClickUp to QuickBooks

    • Customer names and notes, kept in step by the ClickUp QBO sync beta
    • Nothing from tasks, rates or approvals

What Can a ClickUp QuickBooks Integration Use?

ClickUp holds the work and the approvals. QuickBooks needs a customer, an item and an amount.

  • Tasks and Statuses

Each piece of client work is a task in a Space, Folder and List, with assignees, dates, tags and a status your team uses for billing, such as Complete or Ready to invoice. A status says the work is done. Who pays, at what rate and into which company come from your mapping.

  • Approved Time Entries

Time entries carry the task, the person, tags and a billable flag. Entries are non-billable unless an owner or admin makes billable the default, so a missed checkbox is an hour nobody bills. Submitted timesheets lock, and an approved one can no longer be edited.

  • Custom Fields

Money, number, dropdown and label fields can carry the service, a project code, a PO number, a retainer flag or the entity that should be billed, and each can drive its own invoice line.

  • Custom Task IDs

On the Business plan and above, a Space can number its tasks with its own prefix, such as CU-482. Left unedited once billed, that ID traces each invoice back to the work.

  • Webhooks and Events

ClickUp sends an update when a task is created, changes status or has time tracked, so Autymate picks up approved work as it happens, without waiting for someone to run an export at the end of the month.

  • QuickBooks IDs Already in ClickUp

Where the native beta runs, each QuickBooks customer and item arrives in ClickUp with its QuickBooks ID in a Custom Field. A QuickBooks ClickUp integration from Autymate matches clients and services on those IDs, not on names.

Standardize ClickUp Accounting Across Multiple QuickBooks Companies

Agencies that run several brands or entities keep one way of billing, wherever each one books.

  • Reusable Mapping Template

One set of rules for services, rates, retainers and pass-through costs serves every brand and entity in the Workspace, even when they sit in different QuickBooks companies.

  • Controlled Local Exceptions

An entity can keep an approved difference, such as a media arm that books ad spend as its own revenue, without forking the whole template.

  • Entity-Aware Routing

For a ClickUp QuickBooks multi-company setup, each Space or client lands where it belongs, as a class or location inside a shared QuickBooks company, or a separate company when the brand keeps its own books.

  • New Brands on the Same Template

A newly acquired studio or a new client practice is set up on its own and posts on the shared template from its first invoice.

Billable Time, Retainers and Status Changes in QuickBooks

Client work rarely lands as one clean invoice. These are the cases a ClickUp accounting integration handles.

  • Approved Time That Never Reaches an Invoice

The native sync does not send time to QuickBooks, and on ClickUp's own feedback board a user wrote that without time entries the integration "adds little value for accounting or billing workflows." Another asked to push tracked time "for payroll and invoicing". Hours approved on the 28th and forgotten by the 5th are revenue nobody bills.

  • A Task That Comes Back for Billing Twice

A status automation can run again each time a task changes, so a task moved back to Complete after a client asks for edits can request a second invoice for work already billed. The client then sees two bills for one piece of work, and the second has to be voided after it is sent.

  • Retainers Paid in Advance

A retainer billed on the 1st is work still owed, not income earned. Mapped to a retainer item that points at an Unearned Revenue liability, it stays off the profit and loss until it is drawn down, the way your accountant would book it by hand.

  • Rates That Live Outside ClickUp

One user described "certain tags/projects/clients" charged "at different rates", and another asked for chargeable time that differs from hours worked. Autymate builds your rate table into the mapping, dated by when the work was done, so an April rate change does not reprice hours approved in March.

  • Ad Spend and Other Pass-Through Costs

Media bought for a client can count as agency revenue or as a pass-through, depending on the contract, and the difference changes reported margin. On its own item, paid media stays apart from fee revenue, so profitability by client still reads true.

  • Merged Tasks and Renamed Clients

When two ClickUp tasks merge, only the surviving task keeps its ID, and a client renamed in one system no longer matches by name. Autymate matches clients on their QuickBooks customer ID, so a rename changes nothing, and a change to an already-invoiced task follows your own rule instead of billing again.

Turn ClickUp Clients, Services and Hours into QuickBooks Invoice Lines

These rules turn ClickUp time into invoice lines, the core of ClickUp invoice QuickBooks automation.

Choose How ClickUp Work Becomes QuickBooks Invoices

Autymate sets each client's invoice grouping to match how that client pays.

  • One Invoice per Client per Month

Every approved hour for a client in the month goes on one invoice, with a line per service. It suits hourly and retainer clients who want one statement and one payment.

  • One Invoice per Task or Milestone

Each billable task or milestone gets its own invoice, carrying its Custom Task ID. It suits project work billed on delivery, where the client approves each piece.

  • Monthly Time Invoice, Milestones on Their Own

Hourly work is grouped by client and service each month, while fixed-fee milestones are invoiced separately. Time and fixed fees never blur, so you can see how many hours worked were actually billed.

Go Beyond a Basic ClickUp QuickBooks Sync

Autymate checks approved work for a client, a rate and a billing period before any invoice posts.

  • Completeness

Before close, Autymate lists every approved billable hour and completed task that no QuickBooks invoice has picked up yet.

  • Mapping Validation

A new client, service or rate without a signed-off rule is held for review, never priced at a fallback rate or posted to a catch-all item.

  • Duplicate Prevention

Each invoice carries a reference back to its ClickUp task, and Autymate's duplicate checks hold any repeat request for time already billed, so no hour is billed twice.

  • Held for Review

An hour with no rate, or a task with no client, is held for your team's decision with the reason and what to check, and posts as soon as it is resolved.

  • Monitoring

Autymate's team monitors your runs, and a scheduled catch-up through ClickUp's API picks up any update a webhook did not deliver.

Reconcile ClickUp Time and Tasks with QuickBooks Invoices

Autymate runs the month-end checks an agency bookkeeper relies on, client by client.

  1. Approved Hours against Invoiced Hours

For each client, Autymate compares the hours on approved timesheets with the hours on QuickBooks invoices and lists any difference by task.

  2. Fixed Fees against Milestones Delivered

Autymate confirms every milestone marked complete in ClickUp is invoiced once, and none ahead of the work.

  3. Retainer Balances against Work Delivered

Autymate checks each retainer client's Unearned Revenue balance against the work delivered that month before it is drawn down.

  4. Payments against Open Invoices

Autymate matches each payment received in QuickBooks to its invoice and writes the paid status back to the ClickUp task your team follows up from.

  5. Unbilled Time Before Close

Autymate flags approved billable time with no invoice, so each hour is billed, written down on purpose or carried to next month.

Native ClickUp QuickBooks Sync, Zapier or a Managed Integration?

Use the native ClickUp QuickBooks sync when the goal is seeing QuickBooks customers and invoices inside ClickUp for one company. Use Zapier or Make for a few simple triggers you are happy to maintain. Choose a managed ClickUp QBO integration when approved time, retainers or several QuickBooks companies have to become correct invoices every month, with duplicates and exceptions handled before close.

How a ClickUp QuickBooks Online Integration Goes Live

Five steps: prove the rules on one client's closed month, then put every client on the same template.

  1. Review the ClickUp Workspace

List Spaces, statuses, Custom Fields, timesheet approvals, any native sync, Zaps or time tracker, and who invoices today.

  2. Agree the Accounting Outcome

Settle QuickBooks companies, classes, items, the rate table, retainer and pass-through treatment, and the invoice grouping per client.

  3. Map One Client First

Build the template on one client: customer match, service items, rates and the IDs that keep each invoice unique.

  4. Test a Real Month

Run a closed month of approved time and milestones, then compare hours, fixed fees and retainers with QuickBooks before go-live.

  5. Extend and Support

Move each remaining client and company onto the template, keeping any approved exceptions, with Autymate support on hand after go-live.

Built for Teams That Bill from ClickUp

Shaped around how agencies already approve, price and bill client work.

  • Native Sync Reviewed First

We start from what ClickUp's beta already shows and assign each record type, including new QuickBooks customers, to one system, so nothing is created twice.

  • Your Rate Table, Applied Consistently

Rates by client, service or person, applied the same way on every invoice.

  • Mappings Agreed Before Go-Live

Your accountant agrees each rate, item and retainer rule before go-live.

  • QuickBooks and 300+ Other Tools

QuickBooks is one of 300+ tools Autymate connects, so Autymate brings a time tracker beside ClickUp onto the same billing rules.

ClickUp QuickBooks Integration FAQs

Yes, in beta.

ClickUp's QuickBooks Online Sync is listed for Business Plus and Enterprise, and a Workspace owner or admin applies through a Contact Us beta form in the App Center before setup. It connects one QuickBooks company, brings its customers, products, services and invoices in as tasks, and keeps customer names and notes in step both ways. The first sync can take several hours.

Not on its own.

ClickUp has no client invoicing of its own; its staff said in January 2026 that invoicing is not in near-term plans, and the native beta carries invoices from QuickBooks into ClickUp. Zapier or Make can create an invoice from a task trigger. For ClickUp invoice QuickBooks automation without Zaps to maintain, Autymate reads approved work through ClickUp's API and posts the invoices to QuickBooks at your rates and under your rules.

No.

ClickUp's pinned reply on its QuickBooks feature request says it still needs "to fill the gap with time tracking" and has it marked as future work. Because ClickUp records hours without a rate, an Autymate integration built for your business prices approved billable time from your rate table and posts it as invoice lines by client and service, with the person on each line where the client wants it.

Not through the native beta, which connects one QuickBooks company at a time.

Autymate routes each brand, entity or client practice to its own QuickBooks company, or to a class or location in a shared one, on one mapping template. QuickBooks Online Plus allows 40 classes and locations combined, so an agency with many Spaces may route by client group rather than one class per Space.

Key the invoice to the work, not to the status change.

A task moved back to Complete can set off its automation again, and ClickUp's developer docs tell the receiving system to use an idempotency key, so removing duplicates is the receiver's job. Autymate keys its duplicate checks to the work, so a repeat request is held for review instead of billed twice.

As a liability until the work is delivered.

A retainer invoiced in advance belongs in an Unearned Revenue account, reached through a retainer item. A QuickBooks recurring invoice can bill it on schedule, but it still posts wherever the item points. Autymate posts the monthly drawdown to income by rule, or leaves it with your bookkeeper if you prefer, and bills overage hours the way your contract sets out.

In the native beta, as comments on the failed task from the admin who set up the integration.

One user on ClickUp's feedback board wrote that a change "stays in failed tasks"; another could not start the sync because it "says email is not found in quickbooks". With Autymate, an exception is held for your team's decision with the reason and what to check, and support is on hand.

ClickUp retries an undelivered update up to five times and does not resend it after that.

A webhook is suspended after 100 unsuccessful deliveries, stops if the user who created it is disabled, and ClickUp sends no notice when its health changes. With Autymate, a scheduled catch-up through ClickUp's API picks up any missed update before invoices go out.

An admin can pause ClickUp's native beta with Stop Sync and resume it with Start Sync.

ClickUp's help article does not say what happens to the Quickbooks Online Space and its tasks after a disconnect, so treat them as a view of QuickBooks rather than the record. An Autymate integration runs on its own connection to ClickUp and QuickBooks, so pausing the beta does not pause it.

Not natively.

ClickUp's sync is built for QuickBooks Online, and its help article lists no Desktop option. Entities in one group can post to different systems, such as QuickBooks Online and Desktop, so an entity still on Desktop follows the same billing rules as the rest. Autymate builds each company's connection for the edition it runs.

No.

ClickUp tracks the work, the time and the approvals, but it keeps no books, and an invoice in ClickUp is a status or a Doc. QuickBooks keeps the customers, items, invoices, payments and reports. The two work best side by side, joined by a QuickBooks ClickUp integration that turns approved work into invoices under your own rules.

To connect ClickUp to QuickBooks with Autymate, book a blueprint call and bring your Workspace layout and one month of approved time.

Autymate connects your ClickUp Workspace and each of your QuickBooks companies, and your team keeps working in both apps as it does today. The first client goes live only after a closed month of its approved time has been checked against QuickBooks.
