AccuLynx QuickBooks Integration

Bring AccuLynx jobs, invoices and payments into QuickBooks with the deposit, insurance and location rules your books need.

Roofing companies sell, build and bill in AccuLynx and close the books in QuickBooks. An AccuLynx QuickBooks Online integration from Autymate carries the rules a roofing QuickBooks integration needs for customer deposits, insurance claims paid in pieces, supplements and several locations, and holds anything unclear for review before it reaches the books. Autymate works alongside AccuLynx's own QuickBooks connector: each record type is assigned to one system, so nothing posts twice.

Does AccuLynx Integrate with QuickBooks?

Yes, you can integrate AccuLynx with QuickBooks Online using Autymate. AccuLynx also ships its own two-way connector for QuickBooks Online and Desktop, which sends jobs, contacts, invoices and contracts to QuickBooks and brings payments recorded in QuickBooks back to the job file. An AccuLynx QuickBooks integration from Autymate applies the roofing rules: deposits held as a liability, insurance and supplement lines kept apart from retail work, and each location routed to the right QuickBooks company.

  • AccuLynx to QuickBooks

    • Jobs and contact information created or updated in AccuLynx.
    • Invoices and contracts from the job file.
    • Job payments taken through AccuPay.
  • QuickBooks to AccuLynx

    • Payments recorded in QuickBooks, pulled into the job file.
    • QuickBooks Online, which AccuLynx describes as updating in real time.
    • The AccuLynx QuickBooks Desktop integration, through the Web Connector on a schedule.

What Can an AccuLynx QuickBooks Integration Use?

Most of what the books need already lives in the AccuLynx job. Autymate puts each piece in the right place in QuickBooks.

  • Job File and Milestone

Every job carries its customer, location, sales rep and milestone, from Lead through Approved, Completed, Invoiced and Closed. It is the anchor that keeps one roof's invoices, payments and costs together once they reach QuickBooks.

  • Financial Worksheet Totals

AccuLynx holds the approved job value and balance due, with separate totals for change orders, supplements, upgrades, discounts and the insurance claim. Those are the numbers QuickBooks should agree with when the job closes and the cap out sheet is signed.

  • Invoices by Section

Invoice lines are grouped by section, such as the contract, a supplement, a change order or the insurance claim, and each line carries an account assignment. A supplement can land on its own revenue line instead of hiding inside the original contract.

  • Payments Received

Check, card, ACH and wire, with any surcharge or convenience fee, and a note of whether the payment came through AccuPay or was recorded in QuickBooks. That source is what tells a bookkeeper where each payment should be entered.

  • Job Costs Paid Out

Payments to suppliers and subcontractors and additional expenses sit on the job. AccuLynx's public QuickBooks material does not describe them posting to QuickBooks, so Autymate carries them across through AccuLynx's API as job costs in the books.

  • Locations and Access

One AccuLynx account can run several locations. API access comes with the AppConnections add-on, and each location needs its own key, created by an administrator. Autymate reads each location's jobs, invoices and payments through that key.

Standardize AccuLynx Accounting Across Roofing Locations

One mapping template serves every roofing location, whether locations share a QuickBooks company or each keep their own.

  • Reusable Mapping Template

One set of rules for deposits, insurance revenue, trades and payments serves every location, even when locations sit in different QuickBooks companies.

  • Controlled Local Exceptions

A location can keep an approved difference, such as its own tax treatment in a state with different contractor rules, without forking the whole template.

  • Branch-Aware Routing

Each location lands where it belongs: its own QuickBooks location or class in a shared company, or a QuickBooks company of its own for an acquired brand.

  • One Setup per Location

Autymate sets up each location on its own, the way AccuLynx itself keys access by location, and a new storm market joins on the shared template.

Insurance Claims, Customer Deposits and Supplements in QuickBooks

A roof is rarely one invoice and one payment, so an AccuLynx accounting integration needs these rules.

  • Insurance Claims Paid in Pieces

An insured roof can bring the ACV check, the homeowner's deductible, recoverable depreciation after completion and approved supplements, months apart, often as a two-party check waiting on the mortgage company's endorsement. AccuLynx keeps the claim total rather than RCV, ACV and depreciation, so the holdback is not in QuickBooks until someone records it.

  • Customer Deposits

A deposit collected before the crew arrives may be owed back if the job cancels. In a roofing QuickBooks integration from Autymate, deposit lines map to a Customer Deposits liability instead of income, so a busy month of collected deposits does not read as profit and a slow month of installs as a loss.

  • Supplements and Change Orders

When an adjuster approves a supplement or the homeowner adds gutters, the job value moves after the first invoice is already in QuickBooks. Autymate posts supplement and change order lines to their own revenue lines, so the extra scope shows separately and the original contract stays as signed.

  • Payments Recorded Twice

When a homeowner pays an AccuLynx invoice through a QuickBooks payment link, QuickBooks can create a sales receipt beside the synced invoice and count the income twice. In a December 2023 QuickBooks Community thread, one roofing office said hundreds of customers would need fixing. Autymate gives each payment method one place of record and matches every payment to its invoice, so income is counted once.

  • Card and Lender Fees in the Bank Deposit

AccuPay deducts its fees from each payment, and consumer financing can fund net of a dealer fee, so the bank deposit is often smaller than the invoices it pays. Autymate splits out the fees and matches each bank deposit to the gross payments it covers, so every invoice closes in full and the fees land in their own expense account.

Translate Roofing Operations into Finance-Approved QuickBooks Rules

Every rule is built around your business, starting with the ones roofing finance teams ask for first.

Go Beyond a Standard AccuLynx QuickBooks Sync

Each connection carries validation, duplicate checks and a review queue, so unclear records wait for a person.

  • Completeness

Autymate's period check lists any approved job or invoice that has not reached QuickBooks before close.

  • Mapping Validation

A new trade, item, class or location with no approved rule is held for review instead of landing in a default account.

  • Duplicate Prevention

Each record carries its AccuLynx job and invoice identifiers, so a retry reaches QuickBooks once.

  • Reconciliation

Autymate reconciles AccuLynx job totals with what QuickBooks holds for each job at every close, with checks built around your accountant's rules.

  • Held for Review

A record Autymate is unsure about waits in a review queue with its reason attached. Nothing is guessed into the books.

  • Monitoring

Autymate's team monitors your runs, open review items stay visible by location until cleared, and a late-records check flags gaps before close.

Reconcile AccuLynx Jobs with QuickBooks, Payments and the Bank

Autymate runs the monthly close checks a roofing bookkeeper needs, each built around your accountant's rules.

  1. Job Value against Invoices

Compare AccuLynx's approved job value, change orders and supplements included, with what has been invoiced in QuickBooks for that job.

  2. Deposits against the Work

Confirm customer deposits still sit in the liability account until the matching work is invoiced, then apply them as your rule says.

  3. Claim Balances against the Carrier

Keep the depreciation holdback, the deductible and any two-party check waiting on a mortgage endorsement visible on the claim until each is collected.

  4. Payments against Open Invoices

Match each check, card and ACH payment to the right job and invoice, wherever it was recorded, so none is entered twice.

  5. Job Costs against the Cap Out Sheet

Compare supplier, sub crew and expense totals with the bills in QuickBooks for that job before the cap out sheet is signed. It makes AccuLynx job costing QuickBooks-ready before the sales rep's commission is paid.

Native AccuLynx QuickBooks Sync or a Managed Integration?

Use the native AccuLynx QuickBooks sync alone when jobs are mostly retail, payments are recorded in QuickBooks and one structure fits every location. Add Autymate when customer deposits, insurance holdbacks, supplements or several QuickBooks companies need rules the native connector does not set. With Autymate, each record type and payment method has one system of record, so nothing posts twice.

How an AccuLynx QuickBooks Online Integration Goes Live

Five steps take one location from review to a tested month, then every location onto the template.

  1. Review the AccuLynx Setup

List locations, QuickBooks Online or Desktop, what the native connector already sends, AccuPay and financing, and who records payments where.

  2. Agree the Accounting Outcome

Settle QuickBooks companies, classes and locations, deposit and insurance treatment, trade income lines and tax by contract type.

  3. Map One Location First

Build the template on one location: jobs, invoices, payments and the identifiers that keep each record unique.

  4. Test a Real Month

Run closed retail and insurance jobs and compare deposits, claim balances and payments with QuickBooks before go-live.

  5. Extend and Support

Roll the template to every location with its approved differences, then Autymate keeps the review queue and support running.

Built for the Way Roofing Money Comes In

Autymate keeps the native AccuLynx connector where it fits and owns the accounting rules around it.

  • Native Connector Reviewed First

We start from what AccuLynx's own QuickBooks connector already sends, and keep it where it fits.

  • Roofing-First Mapping

Deposits, insurance claims, supplements, trades and surcharges each get a rule.

  • Your Accountant Approves Every Rule

Each mapping is signed off before it posts, and a record without one waits in the review queue.

  • One Template, Every Location

Shared rules across locations and QuickBooks companies, with approved local differences.

  • QuickBooks and 300+ Other Tools

QuickBooks is one of 300+ tools Autymate connects, so payroll or a second accounting system can join the same workflow.

AccuLynx QuickBooks Integration FAQs

AccuLynx sends jobs, contact information, invoices and contracts created or updated in AccuLynx, plus job payments taken through AccuPay.

QuickBooks sends back payments recorded there, so the job file shows what has been collected. Autymate reads the full job record through AccuLynx's API, so fields beyond the native sync reach QuickBooks too.

AccuLynx describes QuickBooks Online as updating in real time.

The AccuLynx QuickBooks Desktop integration runs through Intuit's Web Connector on a schedule, and AccuLynx recommends an interval of no less than 10 minutes, so the computer hosting QuickBooks has to be on. QuickBooks for Mac cannot connect, because Intuit does not allow outside integrations with it. Autymate connects both QuickBooks Online and Desktop, so locations on either edition post under the same rules.

As a liability until the work is done.

A deposit invoice sent from AccuLynx posts like any other invoice unless its line is mapped elsewhere, which books money you may have to return as income. With Autymate, deposit lines map to a Customer Deposits account and move to income when the work they pay for is invoiced, under a rule built around your accountant's treatment.

Each piece of a claim gets its own place in QuickBooks.

Insurance and supplement invoice lines post to their own revenue lines, apart from retail work, and Autymate carries the depreciation holdback your team records from the carrier's paperwork as a receivable by claim until the carrier releases it. AccuLynx itself keeps the claim total, so those amounts come from the claim file.

Usually because one payment was entered in two systems, most often a QuickBooks payment link used on an invoice AccuLynx had already sent.

QuickBooks then records a sales receipt as well as the invoice payment. Autymate names one place of record for each payment method, its identifiers stop any record it posts from reaching QuickBooks twice, and payment matching surfaces a repeat before close.

AccuLynx sends the invoice to QuickBooks again.

One QuickBooks Online user found that changing an AccuLynx invoice amount or adding work cleared a Sales Rep entered by hand in QuickBooks, so commission fields kept only in QuickBooks were lost. When a job's value moves after posting, such as an approved supplement, Autymate posts the change on its own line instead of rewriting the original, and holds anything unclear for review.

Yes, with Autymate.

AccuLynx tracks revenue and costs by job, including payments to suppliers and subcontractors and additional expenses, but its public QuickBooks material does not describe those costs posting to QuickBooks as bills or expenses. Autymate reads them through AccuLynx's API and posts them against the job, or checks them against the supplier and crew bills your team enters, so every roof's margin shows in QuickBooks.

Both.

AccuLynx lets locations feed a single QuickBooks account or separate ones, and charges once for the integration either way. Autymate applies one mapping template to every location, routes each to its own QuickBooks location, class or company, and keeps approved local differences. On QuickBooks Online Plus, classes and locations share a cap of 40, and Autymate designs the structure to fit it.

It depends on the contract and the state.

In many states a roofer pays tax on materials and charges the homeowner none, while a separated contract can carry tax, and Texas taxes nonresidential repair on the full charge. Autymate maps tax treatment by the job types you define, built around your accountant's rules, so each contract posts to the right tax line in QuickBooks.

An AccuLynx accounting integration covers job money only.

AccuLynx does not use salaries, overhead or other expenses that are not tied to a job, so payroll and general costs keep their own route into QuickBooks. On the job side, Autymate reads job financials, invoices and payments through AccuLynx's API, with one key per location.

For QuickBooks Desktop, first check that the computer hosting QuickBooks is on and the Web Connector is running on its schedule.

For QuickBooks Online, AccuLynx publishes a page to reconnect QuickBooks when the integration is disconnected. With Autymate, open review items stay visible by location, a late-records check surfaces any gap before month-end close, and Autymate's team monitors your runs.

To connect AccuLynx to QuickBooks with Autymate, start with a blueprint call: we review your locations, QuickBooks edition, what the native connector already sends and how deposits, insurance and payments are recorded.

We map one location, test a real month of closed jobs against QuickBooks, then roll the template to every location with the review queue in place.
