Trello QuickBooks Integration

Our Trello QuickBooks integration turns cards moved to Ready to Invoice into QuickBooks Online invoices on rules your accountant approves.

Autymate builds a Trello QuickBooks Online integration around the board your team already runs: the client on each card, the hours and fees in its Custom Fields, and the list that means ready to bill. When a card lands there, Autymate creates the invoice for the right customer, income accounts and company, ready to send from QuickBooks, and Autymate's team monitors your runs.

Does Trello Integrate with QuickBooks?

Yes, you can integrate Trello with QuickBooks Online using Autymate. Trello ships no QuickBooks connection, so many teams first connect Trello to QuickBooks with a Trello QuickBooks Zapier workflow or a time-tracking Power-Up. With a Trello QuickBooks integration from Autymate, a card dragged into Ready to Invoice becomes one QuickBooks invoice, with hours, fees and extras on separate lines by rules your accountant approves, routed to the right company file and monitored by Autymate's team.

  • What Zapier and Similar Automations Do

    • Invoice, bill or customer from a label or list move
    • Card moved when QuickBooks records a payment
    • Paid Zapier plan, since QuickBooks Online is Premium
    • Every move or label fires again
    • Custom Fields and customer matching built by you
  • What Autymate Adds

    • Invoices from your Ready to Invoice list
    • Custom Fields checked against the card's Total
    • A duplicate check on every card's ID
    • Class or company routing
    • A card reference on every invoice
    • Books shared with 300+ other tools

What Can a Trello QuickBooks Integration Use?

In a Trello API QuickBooks workflow, the source is the lists, labels and Custom Fields your board already has.

  • Lists That Mean Ready to Bill

Many billing boards add a column for finished work nobody has billed yet: Ready to Invoice, To Invoice, or Done, not invoiced. Moving a card into it is the billable moment, and Autymate starts an invoice only from the list your accountant names. A card that lands in Done or Paid posts nothing, so work still waiting for the client's sign-off stays off the bill.

  • Custom Fields for Hours, Fees and Rates

Trello has no amount or rate of its own, so the numbers live in Custom Fields such as Design Hours, Rate and Print & Install. Custom Fields need a Standard plan or above, and Trello's API returns every value as text, number fields included, so Autymate reads each value as a number before it reaches an invoice line.

  • The Client Dropdown

A Client dropdown stores the ID of the chosen option, not its wording, and QuickBooks needs display names that are unique across customers, vendors and employees. So Autymate links each option once to its QuickBooks customer ID, and the invoice follows that link rather than whatever the option happens to say this month.

  • Labels for Services and Extras

Labels such as Rush, Install or Taxable can mark the extras on a card. Autymate points each label your accountant approves at one QuickBooks Product/Service and its income account, so a Rush label adds its own line at the agreed fee rather than someone raising the main line by hand.

  • Card IDs and Copied Cards

Every card has a permanent ID, while the short card number in its link is unique only to that board and can change when the card moves. Autymate puts the permanent ID on each invoice, and archiving a billed card keeps it, so the invoice still traces to the card. A copied card gets a new ID and can keep its fields, labels and client.

  • Checklists, Dates and Attachments

A checklist can track milestones, a Completed date field can date the invoice, and attachments hold the signed quote or purchase order. Autymate dates each invoice from the field your accountant picks, so a job finished on October 31 and moved on November 2 lands in October's revenue, not November's.

Standardize Trello Accounting Across Multiple Teams and Companies

With Autymate, each team or company on your Trello boards posts to its own QuickBooks company or class.

  • Company-Aware Routing

Brightline runs its design studio and its print shop as one company, and Brightline Events, which plans launch events for its own clients, as its own LLC that files separately. The studio, the print shop and Events all share one Trello Workspace. Autymate reads a required Company field on each billing card, not the board it sits on, to decide which QuickBooks company the invoice reaches, and holds a Company value the mapping does not recognise after a card moves boards for review.

  • Fees Mapped Once

Design Hours, Print & Install and the Install label mean the same thing on every board, so each maps to the same QuickBooks Product/Service in both company files. The day Brightline's new signage team creates its first board, its first invoice lands on income accounts that were signed off before that board existed.

  • One Approved Difference

The print shop bills install labour through the Install label and wants it on its own Installation Income account instead of Print Production Income. That is its one approved change, and design hours and printing post the same way for every team.

  • Boards, Workspaces and Classes

Boards are how a team arranges its work, and they get added, archived and renamed all year, so they make a poor accounting key. A team under the same legal entity becomes a class in that entity's QuickBooks company, and a business with its own tax return gets its own company file. Plus caps classes and locations at 40 between them, with no cap on Advanced, which is why a class per client board runs out fast.

Map Trello Cards, Fields and Labels to QuickBooks Records

With Trello invoice QuickBooks automation, Autymate maps each field your team fills in to one QuickBooks field.

How Should Trello Cards Appear on a QuickBooks Invoice?

Card-based billing suits three invoice layouts, and your accountant chooses one before go-live.

  • One Invoice per Card

Each card moved to Ready to Invoice becomes one QuickBooks invoice. Jobs, print runs and fixed-price projects fit best, because one card already describes one bill, and it is how Zapier's Trello templates work too.

  • One Invoice per Client per Month

Autymate collects all of a client's cards that reach Ready to Invoice during the month on a single invoice, a line for each card, with each card's name on its line. Extras a monthly client asks for outside the usual scope go on as their own cards, so they reach the same invoice instead of slipping through.

  • Milestones from a Checklist

Autymate bills a share of the agreed fee as each checklist milestone is ticked, such as 40% at concept approval and the rest at install, on the split your accountant approves. The unticked items on the checklist show what is still to come.

Reconcile One Trello Card from Ready to Invoice to Bank

One design and print job, followed from its card to the payment in the bank.

  1. Read the Spring Menu Boards Card

Brightline designs and installs menu boards for Kestrel Coffee Co. On October 31 the card Spring Menu Boards moves to Ready to Invoice. Its Custom Fields read Client: Kestrel Coffee, Design Hours: 12, Print & Install: $680.00 and Total: $1,820.00. Autymate keeps Kestrel's agreed design rate, $95.00 an hour, on file for the client, so nobody types it on the card.

  2. Post One Invoice with Two Lines

Autymate dates the invoice October 31, the card's Completed date. It credits Design Income $1,140.00 for 12 hours at $95.00 under Class: Studio and Print Production Income $680.00 under Class: Print Shop, the team that ran the job, and debits Accounts Receivable. The two lines match the card's $1,820.00 Total, QuickBooks adds sales tax where your settings apply it, and the memo carries the card's ID.

  3. Move the Card Back for a Fix

On November 2 Kestrel spots a typo in the price list. The designer drags the card back to Doing, fixes the file and moves it to Ready to Invoice again. A Zap watching that list would fire a second time. The card's ID is already on a posted invoice, so Autymate's duplicate check stops a second invoice.

  4. Hold the Copied Card

On November 6 an account manager copies the card to start Summer Menu Boards. The copy keeps Kestrel Coffee, 12 hours, $680.00 and $1,820.00, and the account manager drags it to Ready to Invoice before anyone changes the numbers. Same client, same $1,820.00 as a posted invoice, so Autymate holds the copy in review with that reason rather than posting it.

  5. Match the Payment to the Bank

On November 20 Kestrel's bank transfer arrives for the invoice total: $1,820.00, plus any sales tax QuickBooks added. The bookkeeper applies it to the one open invoice and pairs it with the matching deposit in the bank feed. Kestrel Coffee now owes nothing, and the spring job, moved twice and copied once, sits on one invoice.

How Trello Card Moves, Copies and Field Changes Reach QuickBooks

Autymate handles moved-back cards, copies, renamed options and closed months by one rule each.

How Trello Card Moves, Copies and Field Changes Reach QuickBooks
SituationResult with no rule in placeWhat QuickBooks receives
A card moves back to Doing, then into Ready to Invoice againA list-move Zap fires on each move, so the client gets a second invoiceAutymate finds the card's ID on a posted invoice, so no second invoice posts
A billed card is copied to start the next jobThe copy carries the client, fields and labels under a new card ID, so when it moves into Ready to Invoice a Zap bills it as new workAutymate holds a copy that matches a posted invoice for review, with the reason
Someone removes the Billable label and adds it backA label-added Zap treats it as a new label and builds another invoiceAutymate starts an invoice only from the list or label your accountant named
A Client dropdown option is renamed, or a new one is addedA Zap that searches by the dropdown text spawns a duplicate customer, or QuickBooks rejects it since no two customers can share a display nameAutymate keeps a renamed option linked to its QuickBooks customer, and holds a new one until your team links it
The Design Hours field is blank, or hours sit in a text field as "12 hrs"A Zap can post a $0 line or halt, with the step flagged in Zap historyAutymate holds the card for review with the field named
An admin deletes a Custom Field mid-monthTrello removes it from every card on the board and it cannot be undone, so unbilled cards lose their numbersAutymate holds a card that arrives without a mapped field for review with the field named, and changes the mapping once your team approves it
A card for work in a month you have closed reaches Ready to InvoiceThe invoice lands in a month your accountant has already closed, and the closed books changeAutymate holds a card dated in a closed month for your team's decision, with the reason
Trello cannot deliver a webhook during an outageTrello retries delivery three times over about three and a half minutes, then stops retrying that eventAutymate reads your board through Trello's REST API and webhooks, and a scheduled catch-up through the API picks up a card whose webhook never arrived

Go Beyond a Simple Card Trigger

Autymate's Trello QuickBooks automation checks each card, its fields and its client by your rules before posting.

  • Map

Autymate points each billing list, Custom Field, label and client option at one QuickBooks field, item, account or customer, and each team or company at a class or company file. Your accountant signs off that map before launch, and Autymate holds a card with a label or option added later in review until it has a home in QuickBooks.

  • Validate

Before a card posts, Autymate runs your rules. Does every number field read as a number, do the lines add up to the card's Total, is the client linked to a QuickBooks customer, and is the Company field filled where routing needs it? A miss holds that card, and your team sees which field to fix.

  • Prevent Duplicates

Your accountant approves the duplicate rule before launch: the card's ID catches a card moved back into Ready to Invoice, and client and amount catch a copy of a billed card. Autymate holds anything that looks like a repeat in review with the reason.

  • Reconcile

Autymate puts the Trello card's ID on every invoice. When a client queries a line at month end, the ID opens the card that billed it, with its hours, fees, labels and attached files, so the answer sits in one place.

  • Monitor

Autymate's team monitors your runs. A card held for a missing Company value, or for a label nobody has mapped yet, shows your team the reason and what to check.

Zapier, a Power-Up, the Trello API or a Managed Integration?

Any of these routes gets card data into QuickBooks. The difference is who writes the billing rules.

Is a Zap Enough for Your Trello Billing?

A few flat-fee jobs can run on a Zap; hourly and multi-team billing needs more.

  • A Zap Is Usually Enough When

Your board serves a few clients at flat fees, every card becomes a one-line invoice, and finished cards never travel back across lists. All billing runs through a single QuickBooks Online company, and a person reviews each invoice there before sending it.

  • Autymate Is Worth Adding When

Invoices are built from hours, rates and extras in Custom Fields, cards move back and forth or get copied for the next job, or several teams and a separate company share one Workspace. A Trello accounting integration also pays off when payroll and other systems write to the same books.

Where Autymate Fits: keep the Zaps that already work for you. Autymate takes over the invoices, with each record type assigned to one system, so nothing posts twice.

From Trello Cards to a Monitored QuickBooks Workflow

Five steps take your billing board from its first review to its first monitored invoice.

  1. Review Your Boards and QuickBooks Setup

Autymate reviews the boards billing depends on, the list that means ready to bill, the Custom Fields that hold hours and fees, the labels for extras and any Zaps or Power-Ups already running. In QuickBooks it reviews your item list, invoice numbering, any closing date, classes and how many company files the Workspace bills into.

  2. Agree on the Accounting Outcome

Your accountant chooses the invoice layout, which date dates each invoice, where rush fees and reimbursable costs post, who sends each invoice and which QuickBooks company each team belongs to. Autymate builds every one of those choices into the rules.

  3. Map from Jobs You Have Billed

We build the mapping from cards you have already invoiced, so the client options, Custom Fields and labels on them are mapped before a live invoice posts.

  4. Test a Full Month

We replay one billed month in full, including a card moved back and forward, a copied card, a blank hours field and a client named differently in Trello and QuickBooks. Then we compare QuickBooks with the board, client by client.

  5. Go Live on the Next Card

On go-live day, your Trello QuickBooks Online integration turns the first card anyone drags into Ready to Invoice into a live QuickBooks invoice under the rules you approved. Autymate holds a card the rules cannot place, say one whose Company field was left blank, for your team's decision with the reason, and Autymate support is on hand to help.

What Changes in QuickBooks When a Trello Card Starts the Invoice

Here is how a month of finished cards reads in QuickBooks once a QuickBooks Trello integration posts it.

  • No Column Where Money Waits

A card moved to Ready to Invoice either posts under the rules you approved or waits in review with its reason, so finished work no longer sits in a column nobody bills from.

  • Customers Matched Once

Autymate links each client option to one QuickBooks customer, so the twentieth job for Kestrel Coffee bills the same customer as the first.

  • Fees on Their Own Accounts

Design hours, print and install, rush fees and reimbursable costs post to the accounts your accountant chose, on every card.

  • Your Other Systems in the Same Books

Autymate connects QuickBooks with 300+ other tools, so your payroll, payments and other systems land in the same classes and accounts as the invoices your board starts.

Trello QuickBooks Integration FAQs

Yes, you can integrate Trello with QuickBooks Online using Autymate, though not through a Trello Power-Up.

None of Trello's own Power-Ups connects an accounting system, and the QuickBooks Power-Up in its directory, from a third party, lists viewing QuickBooks data on cards, not creating anything in QuickBooks. A Trello QuickBooks integration from Autymate posts invoices on rules your accountant approves.

Yes.

A Trello QuickBooks Zapier workflow can create a QuickBooks invoice when a label is added to a card, a bill when a card moves to a list, or a customer from a new card, and it can move a card when QuickBooks records a payment. QuickBooks Online is a Premium app on Zapier, so it needs a paid plan. Reading Custom Fields, matching customers and stopping a second invoice are yours to build.

Yes.

With Autymate's Trello invoice QuickBooks automation, a card moved into the list your accountant names, such as Ready to Invoice, posts one QuickBooks invoice, with hours, fees and extras from its Custom Fields and labels on their own lines and the card's ID on the invoice. Autymate follows your QuickBooks invoice numbering, and the invoice reaches the customer linked to the card's Client option.

With a list-move Zap it can, because each move into the list is a new trigger.

With Autymate, no. Autymate checks every card by its ID against invoices already posted, so a second trip into Ready to Invoice posts nothing new, and holds a copied card that matches a posted invoice in review with the reason shown.

Yes.

Autymate maps number, text, dropdown and date fields to invoice fields: hours to quantity, a fee to its own line, a client dropdown to a customer, a PO field to the memo and a date to the invoice date. A new field stays off the invoice until your accountant maps it, and Autymate holds a card missing a field the mapping needs for review.

Usually, yes.

Custom Fields, where a billing board keeps its hours and fees, are available on Standard and above. Trello's own Automation is capped at 250 runs a month on Free and 1,000 on Standard, shared across the whole Workspace, so a billing chain built on Automation rules can run short of runs near month end. Autymate checks your current fields and plan in the board review.

Yes.

Autymate writes the QuickBooks invoice number and a link to the invoice back to the card through Trello's REST API, and moves the card to your Paid list when QuickBooks records the payment. Payments are still received and matched in QuickBooks, where the receivable lives, and a Zap that already moves the card can keep running instead. Every invoice carries the card's ID, so each bill traces to its card.

To connect Trello to QuickBooks with a Zap, connect both accounts in the automation tool, pick the board and list to watch, then map card fields to invoice fields.

Autymate connects your boards, builds the mapping and tests it on a month you have already billed, so the first live invoice posts on rules your accountant has already seen work.

Yes.

A Trello API QuickBooks integration reads cards and Custom Fields through Trello's REST API and posts through the QuickBooks Online API. Plan for Trello's limits: 100 requests every 10 seconds per token, webhooks retried only three times over about three and a half minutes, and Custom Field values returned as text, with dropdowns returned as option IDs.

Yes, with Autymate.

A Company value on each billing card picks the QuickBooks company file, teams inside one company post as classes instead, and Autymate holds a value the mapping does not recognise for review. Every QuickBooks Online company is billed as a separate subscription, and a Zapier setup connects each one separately, with the routing between them yours to build.

Yes, with Autymate.

It posts invoices from Trello into QuickBooks and writes the invoice number and paid status back to the card through Trello's REST API. Automation tools can also run in each direction: Zaps create QuickBooks records from cards, and create or move cards when QuickBooks records a payment, a paid invoice, an estimate or a bill.

With a QuickBooks Trello integration from Autymate, the duplicate check on the card's ID still applies when its hours or fees change after invoicing, so no second invoice posts, and Autymate holds the change for your bookkeeper.

Your bookkeeper then corrects the posted invoice in QuickBooks, where the receivable lives, with an edited line or a credit memo.
