Monday.com QuickBooks Integration

Turn won deals, finished phases and logged hours in monday.com into QuickBooks Online invoices, posted by rules your accountant approves.

Autymate builds a monday.com QuickBooks Online integration around the way your boards already work, alongside or instead of monday.com's own connection, so nothing posts twice. When a board says an item is ready to bill, Autymate posts the invoice to the right income accounts and the right company, and Autymate's team monitors your runs.

Does Monday.com Integrate with QuickBooks?

Yes, you can integrate monday.com with QuickBooks Online using Autymate. monday.com's own integration, on the Ultimate plan, sends customers to QuickBooks and brings invoice and product fields back. A monday.com QuickBooks integration from Autymate turns the billable moment on a board, such as a won deal or a finished phase, into a QuickBooks invoice. It posts by rules your accountant approves, reaches the right QuickBooks company and is monitored by Autymate's team.

  • What Monday.com's Own Integration Does

    • Sends customers from monday to QuickBooks, with only the name required
    • Brings QuickBooks invoice fields into monday columns, including balance and total
    • Brings the QuickBooks product and service list into a monday board
    • Reads text, date, email, numbers, status, long text and item ID columns
    • Works as a monday CRM QuickBooks integration and on other monday products, on the Ultimate plan
  • What Autymate Adds

    • An invoice from the status change your team already makes
    • Subitems posted as invoice lines on the income accounts your accountant chose
    • Repeat status changes on an invoiced item held for review, with the reason
    • Class, location or company routing for every team
    • A reference back to the monday item on every entry
    • One way to connect monday.com to QuickBooks alongside 300+ other tools in the same books

What Data Moves in a Monday.com QuickBooks Integration?

Six kinds of monday.com records carry accounting weight, and the native monday QuickBooks sync reaches only part of them.

  • Customers, from Monday to QuickBooks

The monday QuickBooks customer sync is the one direction monday.com documents from monday to QuickBooks, with only the name required. Each field has to come from a supported column, and the phone column is not one, so a phone number has to sit in a text column to reach QuickBooks. QuickBooks treats "Ridgeline Co" and "Ridgeline Co." as different names, so a match on names alone creates two customers. Autymate matches on the QuickBooks customer ID it keeps in the mapping, so one client stays one customer.

  • Invoices and Products, Back into Monday

From QuickBooks, monday.com brings back invoice header fields and the product and service list, so a project manager can see a client's open balance on the board without a QuickBooks login. The documented invoice fields are header fields, with no line items, and nothing documented sends an invoice the other way.

  • Items and Status Columns

The billable moment in monday.com is a status change. A deal moves to Won, a project phase moves to Ready to bill, a retainer month opens on the 1st and is billed in advance. Each of those is a label in a status column, and nothing documented in the native integration turns it into a QuickBooks invoice. That handoff is where finance teams often wait for an email or a weekly meeting before anyone opens QuickBooks, and it is the handoff Autymate takes over.

  • Subitems and the Products Board

Agencies and service firms list each deliverable as a subitem: a logo system, a brand guidelines document, a site build. Autymate matches each subitem's service to its QuickBooks Product/Service, and that item's income account decides where the line lands on the profit and loss. The native integration can fill a monday products board from QuickBooks, so the names start out identical.

  • Quotes & Invoices in Monday CRM

monday CRM's built-in Quotes & Invoices makes numbered PDF quotes and invoices with discounts, taxes and fees, on every CRM plan, with a monthly document allowance set by plan. Its serial number format is set on the template, separate from QuickBooks numbering, and its payment button only links to an outside payment platform. Some teams send the proposal as a QuickBooks estimate instead, and Autymate matches the won deal to that estimate and copies its lines to the invoice, so nobody re-keys them.

  • Hours and Formula Columns

The time tracking column, on Pro and higher plans, records hours per item and can roll subitems up to their parent. monday.com documents no approval step for it, so a team that wants one adds a status such as Approved, and monday.com's own guide prices hours with a formula column. Formula columns are on monday.com's list of column types that cannot feed its QuickBooks integration, along with dropdown, connect boards, tags, timeline, location, link and files. Autymate reads the tracked hours and prices them at your agreed rates, so billable hours reach the invoice without a formula column.

Standardize Monday.com Accounting Across Teams and Companies

With Autymate, studios, teams and companies sharing one monday.com account post to their own books.

  • Company-Aware Routing

A design studio and its events company may share one monday.com account, one sales pipeline and one resourcing board, while each files its own taxes. Autymate's multi-company monday QuickBooks setup routes each item by its workspace or a required Entity column. The events company's invoices post to its own QuickBooks company and never borrow the studio's customer list.

  • Reusable Mapping Template

Strategy, design, development and retainers mean the same thing on every team's board. One mapping template points each subitem service at its QuickBooks Product/Service in every company file you run, so a team that joins next year bills on services your accountant has already approved.

  • Controlled Local Exceptions

A studio that sells mostly monthly retainers may want them on a Retainer Income account so recurring revenue reads on its own line. That team gets one approved change to the template while every other team keeps posting by the shared rules.

  • Workspaces, Boards and Classes

Most agencies run one company, with a class for each team, such as Portland and Seattle. monday.com allows any number of workspaces, and groups with more than one business often keep one per team or company. Teams that share a legal entity become classes in one QuickBooks company, while a separate legal entity gets its own. Plus caps classes and locations at 40 combined and Advanced removes the cap, so one class per client project is rarely the right design.

Reconcile a Monday.com Project from Won Deal to Final Invoice

One rebrand project, followed from the won deal to the last invoice and the bank.

  1. Bill Discovery When the Deal Is Won

Alder & Pine, a Portland design studio, wins an $18,000.00 rebrand for Ridgeline Outfitters in three phases: Discovery $4,500.00, Design $7,200.00 and Launch $6,300.00. Oregon has no sales tax, so no invoice carries a tax line. When the deal moves to Won, the automation the studio already uses creates the project item. Autymate bills Discovery up front under the signed agreement, 25% of the fee: a $4,500.00 invoice, debit Accounts Receivable, credit Strategy Income.

  2. Invoice the Design Phase Once, Not Twice

Autymate posts Design's two subitems, a $4,800.00 logo system and a $2,400.00 brand guidelines document, as two lines on Design Income. The phase was set to Ready to bill on October 6, moved back to In review after a client comment, and set to Ready to bill again on October 9. Autymate had already posted an invoice that references this item, so it holds the second status change as already invoiced, and one $7,200.00 invoice stands.

  3. Match the Discovery Payment to the Bank

Ridgeline pays the $4,500.00 Discovery invoice by check, recorded in QuickBooks against that invoice. It sits in Payments to deposit until the bookkeeper groups it with another client's $1,850.00 check into one $6,350.00 bank deposit, which is the single line the bank feed shows. Autymate writes the paid status back to the Discovery item, so the project manager sees it on the board. If the studio also runs monday.com's own integration, its invoice Balance column can show what is still open.

  4. Put the Change Order on Its Own Line

After Design is invoiced, the client approves a $900.00 change order for a social template pack, added as a new subitem under Design. Under the studio's rule, Autymate puts late subitems on the next open invoice as their own line. The Launch invoice reads Launch $6,300.00 and Change order: social templates $900.00 on Design Income, $7,200.00 in total, rather than a surprise second Design invoice.

  5. Tie the Project Out

When Launch is set to Ready to bill, Autymate posts its $7,200.00 invoice to Launch Income and Design Income. The project is now worth $18,900.00, and Autymate ties it to three invoices that total $18,900.00: $4,500.00, $7,200.00 and $7,200.00. Of that, $4,500.00 is paid and $14,400.00 is open in Accounts Receivable, and each invoice carries a reference back to the monday item it billed, so every line traces to the board.

How Monday.com Status Changes, Edits and Names Reach QuickBooks

Autymate handles flipped statuses, late subitems, near-match names and deleted items by one rule each.

How Monday.com Status Changes, Edits and Names Reach QuickBooks
SituationWhat happens without a ruleHow it lands in QuickBooks
A deal is set to Won, moved back to Negotiation, then set to Won againA status automation fires each time the label is set, so a Zap or script can create a second invoiceAutymate has already posted an invoice that references the item, so it holds the second change as already invoiced
The same client is typed "Ridgeline Co" in monday and "Ridgeline Co." in QuickBooksA name-only match creates a second customer, and the balance splits across two recordsAutymate holds the near-match for review, so your team matches it to the client already in QuickBooks
A subitem is added after the phase is invoicedIt is a new event with no invoice to joinAutymate puts it on the next open invoice as its own line, or holds it for your team's decision, whichever your accountant chooses
A price changes on an item after its invoice has postedmonday.com documents no invoice change flowing from monday to QuickBooksAutymate holds the change so your accountant can choose a credit memo or a corrected invoice
Quotes & Invoices numbers a document Q-104 while QuickBooks numbers invoice 1047Two number series describe one bill, and monday.com itself advises turning QuickBooks custom transaction numbers off to avoid conflicting invoice numbersAutymate keeps invoice numbers in one system, and the QuickBooks number is the one your client pays against

A column is deleted and rebuilt with the same nameAutomations that point at the old column stop finding itAutymate checks the mapping against the board, and Autymate's team monitors your runs and catches exceptions like this early
A late change is dated in a month you have closedIf QuickBooks close-the-books is set to warn only, the change still posts into the closed monthAutymate holds it for your accountant to choose the open month it belongs in

Go Beyond the Native Monday.com QuickBooks Integration

Autymate checks every billable item, subitem and logged hour before it reaches the books.

  • Map

Each status label, subitem service and retainer item points at one QuickBooks item or account, and each team or company at a class or company file. When the Design service becomes Brand Design next quarter, Autymate keeps the old mapping on file with the date it stopped, so last quarter's entries still read correctly.

  • Validate

Before an item posts, Autymate checks three things on the board. Is every subitem service mapped, do the subitems add up to the item's total, and is the Entity column filled where your routing needs it? A miss holds that item only, and your team sees which column to fix.

  • Prevent Duplicates

Autymate checks every invoice against the references already posted and holds a near-match customer name for review before it becomes a second record.

  • Reconcile

Every entry Autymate posts carries a reference back to its monday item. At month end Autymate ties each project's invoices in QuickBooks to the phases, subitems and hours that billed them, so a question about a line starts and ends with one item.

  • Monitor

Autymate's team monitors your runs and catches exceptions early, so a retainer item waiting on approval or a phase missing its Entity value is cleared before invoices go out.

Native Integration, Zapier, an App or a Custom Build?

Each route suits a different team; the difference is who owns the accounting rules.

Is Monday.com's Own QuickBooks Integration Enough for Your Billing?

One company that invoices from QuickBooks can run on the native integration; billing from boards needs more.

  • The Native Integration Is Usually Enough When

You are on the Ultimate plan, you run one company in QuickBooks Online, and your bookkeeper raises every invoice in QuickBooks by hand. You mainly want new clients created in QuickBooks from monday and invoice balances visible on the board, and your customer details already live in supported columns.

  • Autymate Is Worth Adding When

The moment to bill is a status on a board and you want the invoice to follow it. Projects carry subitems that should become invoice lines, retainers and hours bill every month, or your studios and an events company share one monday.com account but file separately. Or payroll and a second sales system write to the same books.

Where Autymate fits: alongside monday.com's own QuickBooks integration, with each record type, including new customers, assigned to one system, so nothing posts twice.

From Monday.com Boards to a Monitored QuickBooks Workflow

Five steps from a review of your boards to the first monitored invoice.

  1. Review Your Boards and QuickBooks Setup

Autymate reviews the boards where billing happens, the status labels that mean billable, how subitems name services, and which columns hold amounts and hours. We also note whether you use Quotes & Invoices or QuickBooks estimates. On the QuickBooks side we check the Products/Services list, custom transaction numbers, closed-period settings, classes and how many companies you run.

  2. Agree the Accounting Outcome

Your accountant decides which system numbers invoices and which status triggers one. They also choose where fees billed on signature and retainers post, how pass-through costs are shown, what each class means and which QuickBooks company each team belongs to. Autymate builds every one of those choices into the rules.

  3. Map from Projects You Have Billed

We build the mapping from projects you have already invoiced, so every service, retainer, hour type and client on them is covered before the first live invoice posts.

  4. Test a Full Project

We run real projects end to end: a won deal, a status set twice, a late change order and a near-match client name. Then we check that QuickBooks agrees with the board, phase by phase.

  5. Go Live on the Next Billable Item

Once your monday.com QuickBooks Online integration is live, a new project picks up the same rules the moment its board item is created. Your monday QuickBooks automation then posts an invoice when a phase reads Ready to bill. Autymate holds an item with no Entity value or an unmapped service for your team's decision, with the reason attached, and Autymate support works through it with you.

What Changes in QuickBooks When Billing Follows the Board

A month of projects, retainers and hours, as they read in QuickBooks once Autymate posts them.

  • No More Last-Invoice Number on a Notepad

Each invoice follows a status your team already sets and carries a reference back to its monday item. Nobody keeps a separate list of what was billed and where you left off.

  • One Treatment for Retainers and Change Orders

Fees billed on signature, retainers, change orders and pass-through costs post the way your accountant chose on every project, so a retainer billed in October reads like one billed in May.

  • Studio Next to Studio

Every team shares one service map and one class scheme, so comparing one studio's design and retainer revenue with another's is a report you run, not an export from two boards.

  • One Set of Books for Every Source

Autymate books payroll, a second sales system and the other tools you run to the same classes and income accounts as your monday.com invoices, because it connects QuickBooks with 300+ other tools.

Monday.com QuickBooks Integration FAQs

Yes.

monday.com documents its own QuickBooks integration for monday CRM, the monday AI work platform, monday service and monday dev on the Ultimate plan. It sends customers to QuickBooks and brings invoice and product fields into monday. For billing that follows board status, a monday.com QuickBooks integration from Autymate posts the invoices by rules your accountant approves.

monday.com's support article lists its QuickBooks integration on the Ultimate plan.

Ultimate is the new name for the top monday CRM tier, while other monday products still call their top tier Enterprise, so check your account's eligibility with monday.com. Marketplace apps such as Stackfully and Virtenia say no special monday plan is needed.

The monday QuickBooks customer sync sends a customer's display name, title, billing email, phone, company name, open balance and billing address.

Only the name is required, and each field must come from a supported column: text, date, email, numbers, status, long text or item ID. A phone column is not supported, so phone numbers need a text column.

In monday.com's own integration, the monday QuickBooks invoice sync runs from QuickBooks to monday.

It brings an invoice's balance, currency, customer name, discount, document number, shareable link, private note, total and total tax into columns you choose. monday.com does not say how often those fields refresh, or that edits made in monday travel back to QuickBooks.

The native monday QuickBooks sync is one-way per object: customers go from monday to QuickBooks and invoice fields come back, with no invoice created from monday.

Teams create them from monday with Zapier, Make, a marketplace app or a custom build. With Autymate, the status your team sets, such as Ready to bill, posts the invoice by rules your accountant approves, with subitems as lines.

To connect monday.com to QuickBooks with the native integration, open a board's Integrate menu, search QuickBooks, choose an integration template, sign in to Intuit and accept the permissions, then map fields to columns.

monday.com advises importing your QuickBooks data first, turning off custom transaction numbers so invoice numbers do not conflict, and turning on closed-period locking.

Choose one system to issue the invoice your client pays.

In a monday CRM QuickBooks integration, Quotes & Invoices numbers documents by its own template format and only links to an outside payment platform, while QuickBooks holds the receivable, the payment and the tax. A common split is to quote in monday and invoice in QuickBooks.

QuickBooks Online automated sales tax calculates tax by the customer's address and can override a tax code another app sends.

That means a tax amount typed on a monday item may not be the tax QuickBooks charges. Your accountant chooses which figure stands before the first taxable invoice posts, and Autymate builds that choice into every run.

Yes.

A monday QuickBooks Zapier workflow can update a monday item when QuickBooks records a new paid invoice or a new payment, or create a QuickBooks record from a board event. Each Zap is a recipe your team builds and maintains, so matching existing customers, combining line items into one invoice and stopping a second invoice for the same item are yours to build.

Yes.

A monday API QuickBooks integration uses monday's GraphQL API and webhooks on one side and the QuickBooks Online API on the other. monday releases a new API version every quarter, with at least six months' notice before one is retired. It retries a failed webhook once a minute for 30 minutes, so plan for upgrades and duplicate handling.

Yes, with Autymate.

Autymate routes each item to its QuickBooks company by workspace or a required Entity column on the board, so teams keep one shared monday.com account while each company closes its own books. monday.com's support article does not describe more than one QuickBooks company for its own integration.

monday.com's support article describes its QuickBooks integration through an Intuit online sign-in and does not mention QuickBooks Desktop, so plan on QuickBooks Online for the native route.

Zapier, Make and marketplace apps list their own supported editions. If your books are in QuickBooks Desktop, Autymate builds the connection for that edition, and companies in one group can post to QuickBooks Online and Desktop side by side.
