JobTread QuickBooks Integration

Get JobTread draws, bills, deposits, retainage and approved hours into QuickBooks Online the way your accountant set them up.

JobTread already pushes sent invoices and bills to QuickBooks Online. A JobTread QuickBooks Online integration from Autymate works alongside that sync, so nothing posts twice. Deposits and retainage reach the accounts your accountant chose, each job lands in the right division or company, and Autymate's team monitors your runs.

Does JobTread Integrate With QuickBooks?

Yes, you can integrate JobTread with QuickBooks Online using Autymate. JobTread includes its own QuickBooks Online integration that pushes invoices, bills and approved hours and passes payments, paid status and pulled expenses between the two. A JobTread QuickBooks integration from Autymate works alongside that sync, so nothing posts twice, with approved rules for deposits and retainage, routing to more than one QuickBooks company, records held for review and runs monitored by Autymate's team.

  • What JobTread's Own Sync Does

    • Pushes invoices and bills once sent or pending
    • Creates customers, job sub-customers and vendors by exact name
    • Maps every line by cost code, and optionally cost type
    • Sends approved hours for mapped employees
    • Passes payments, paid status and invoice voids both ways
    • Pulls QuickBooks expenses into job budgets
    • Syncs credits and files once switched on
  • What Autymate Adds

    • Versioned mapping rules your accountant approves
    • Class, location or company routing
    • A line on an unmapped cost code held, with the reason
    • A reference back to the JobTread record on every entry
    • 300+ other tools in the same books
    • Runs monitored by Autymate's team

What Data Syncs in a JobTread QuickBooks Integration?

A JobTread QuickBooks integration works from six kinds of record: customers and jobs, cost codes, draws with deposits and retainage, vendor bills and pulled expenses, approved time, and payments with credits and files. Invoices and bills push once sent or pending, payments pass both ways, and, as of October 2026, JobTread's help desk shows an edit to a synced invoice or bill traveling neither way.

  • Customers, Job Sites and Jobs

The first time a job has a pending document or an approved time entry, JobTread looks for the customer by exact name and otherwise builds a tree. The customer sits at the top, a sub-customer for the job location under it, and the job beneath that. A JobTread location is a job site, not a QuickBooks Location.

  • Cost Codes and Products/Services

Each cost code, and optionally each cost type under it, points to a QuickBooks Product/Service, and that item's income and expense accounts decide where the line lands on the profit and loss. A common setup points every item's income at one Contract Income account and splits cost by type: labor, materials, subcontractors and equipment. Because each cost code keeps its own item, QuickBooks can still show which trade phase is running over, which a single Job Costs account cannot. A code nobody mapped falls to the default item.

  • Draws, Deposits and Retainage

Payment schedules turn the contract into progress invoices, and change orders can carry a schedule of their own. JobTread offers two deposit methods: a payment held on the customer account as unapplied funds, or a deposit invoice whose Deposit line points to an unearned-revenue account. Retainage withheld on a draw or a sub bill is tracked on its own retainage cost item and released later on a Retainage Release invoice or bill.

  • Vendor Bills and Pulled Expenses

Bills push once created or marked pending, with the vendor matched by exact name or created, and the payment account chosen decides whether QuickBooks records a bill or an expense. With Pull Expenses on, a card purchase entered in QuickBooks against a synced job comes back as a paid bill named Expense, placed on a matching budget item or under Uncategorized.

  • Time Entries and Payroll

JobTread QuickBooks time entries push once approved, for employees who have been mapped, as hours on the QuickBooks weekly timesheet rather than QuickBooks Time, with the item set by cost code. Labor cost reaches the job in QuickBooks only when payroll runs, and payroll taxes and workers' comp reach the job only if your payroll setup or your accountant allocates them.

  • Payments, Credits and Files

Payments applied to an invoice or bill post to the Deposit To or Withdraw From account you choose, and payments logged in QuickBooks come back. Card and ACH payments taken in JobTread run through Stripe, or customers can pay through QuickBooks Payments. Credit memos, refund receipts, vendor credits and attachments sync once their toggles are on.

Standardize JobTread Accounting Across Divisions and Companies

With Autymate, remodeling, roofing and cabinet work in one JobTread account posts to separate divisions or companies.

  • Company-Aware Routing

A remodeling company and a cabinet shop may share one office, one estimator and one JobTread account, while each files its own taxes. Autymate routes by job type or division, so each job's invoices, bills and time reach the QuickBooks company that owns the work. Where a crew or the estimator works for both, your accountant decides how that cost is charged between the companies.

  • Reusable Mapping Template

Demolition, framing, cabinets, electrical and finish carpentry mean the same thing in every division. One mapping template carries them from cost code to Product/Service everywhere, even across different company files, and a new branch starts on codes your accountant has already approved.

  • Controlled Local Exceptions

A roofing division that buys shingles by the truckload may keep materials in its own cost of goods sold account. That division gets one approved change to the template while every other division goes on posting by the shared rules.

  • Divisions as Classes, Job Sites as Sub-Customers

JobTread already keeps each job under its customer and job site, so job profit comes from customer reports and no class is spent on a single job. A class then marks the division or trade. QuickBooks Online Plus allows 40 classes and locations combined, and Advanced has no cap.

Reconcile a JobTread Job From Deposit to Retainage

One kitchen remodel, followed from its deposit invoice to the money in your bank.

  1. Hold the Deposit as a Liability

The Delgado kitchen is a $96,000.00 contract. A $9,600.00 deposit invoice carries a Deposit line whose cost code points to Customer Deposits, so the payment sits there as work you still owe the client, not as construction income.

  2. Bill Draw 1 With a Punch-List Hold Back

Draw 1 bills 40% of the contract, $38,400.00, to Contract Income. The contract holds back 5% until the punch list is signed off, and your accountant's mapping sends that $1,920.00 to Retainage Receivable. In JobTread the deposit is applied by voiding the deposit invoice and applying the $9,600.00 to this draw. A void keeps the deposit invoice's original date in QuickBooks, which can change a month you have already closed, so Autymate takes the $9,600.00 out of Customer Deposits in the month your accountant chooses. The client owes $26,880.00.

  3. Add the Change Order and the Cabinet Sub

A $4,000.00 change order for a pantry wall raises the contract to $100,000.00. Draw 2 bills the next 40% of the original contract plus the change order, $42,400.00, less $2,120.00 retainage, leaving $40,280.00 in receivables. The cabinet sub bills $24,000.00 and you hold back 10%: $24,000.00 goes to Subcontract Costs, $21,600.00 to Accounts Payable and $2,400.00 to Retainage Payable until a Retainage Release bill pays it out.

  4. Read Over and Under Billing From the WIP Report

Costs to date are $51,400.00: the $24,000.00 cabinet sub, $16,600.00 of materials and $10,800.00 of labor, against a revised projected cost of $70,000.00. The job is 73.43% complete, so $73,428.57 of the $100,000.00 contract is earned. Billed to date, retainage included, is $80,800.00, and JobTread's WIP report shows $7,371.43 over invoiced. No entry reaches QuickBooks for it, so your accountant posts it at month end to Billings in Excess of Costs and Estimated Earnings, a liability.

  5. Match Draw 1's Payment to the Bank

Back on Draw 1, the client pays $26,880.00 by ACH through JobTread's Stripe payments, and the fee caps at $15.00. With processing accounts set, JobTread records a $26,865.00 transfer to the bank and a $15.00 fee to Merchant Fees, and your bookkeeper matches the bank-feed line to that transfer rather than adding it as an expense. The job ties out: $9,600.00 of deposit, $26,880.00 paid, $40,280.00 open on Draw 2 and $4,040.00 retained equal the $80,800.00 billed.

How JobTread Edits, Payments and Credits Reach QuickBooks

With Autymate, edits, new cost codes, near-duplicate names, pulled expenses and refunds each land by one approved rule.

How JobTread Edits, Payments and Credits Reach QuickBooks
SituationWhat JobTread's sync doesHow it lands in QuickBooks
A sent invoice gets an extra line or a new amount in JobTreadAs of October 2026, updates to a synced invoice do not travel in either directionAutymate flags the difference between the two systems, so the change is made once and a correction to a filed period becomes a credit or a new invoice
A bookkeeper moves a bill to a different job in QuickBooksThe new job is not picked up unless the expense and payment are deleted in JobTreadAutymate flags the mismatch, so the job is fixed at the source and job cost in both systems names the same job
An estimator adds a cost code nobody has mappedThe line posts to the default Product/Service so the data still movesAutymate holds the line for review with the reason until the code is mapped, so it does not stay on a catch-all item
A cost code is renamed or split after jobs have syncedLines already in QuickBooks are not changed by the renameAutymate records the new mapping as a new version with a date, so last year's reports still read the old way
A customer or vendor is typed with a slightly different nameNo exact match, so a second customer or vendor is createdAutymate holds the near-match for review, so your team links it to the existing customer or vendor and the books keep one
A card purchase in QuickBooks is pulled into a job with no matching budget itemIt becomes a paid bill named Expense under the Uncategorized groupAutymate flags it for your team to code to the job's cost code before month end, so budget versus actual stays readable
A payment is logged in QuickBooks and again in JobTreadPayments applied in either system are copied to the otherAutymate flags a second payment on the same invoice for review, so the bank-feed deposit has one record to match
Payments arrive in two bank accounts, but JobTread has one Deposit To accountEvery applied payment posts to the default Deposit To account set in JobTreadAutymate sends each kind of payment, such as Stripe payouts or checks, to the account your rule names, so the bank reconciliation agrees
A credit memo is issued in QuickBooksJobTread's own advice is a matching negative invoice in JobTreadAutymate follows one approved route for credits, so the job's billed total agrees in both systems
A supplier refunds a return to your bank accountSince an August 2026 update, the refund syncs as a vendor credit to apply to the bank depositAutymate checks the credit against that vendor and job, so your bookkeeper applies it to the bank deposit once
A new hire's approved time is not yet mapped to a QuickBooks employeeThe hours stay in JobTreadAutymate flags the hours as waiting until the employee is mapped, so they are not missed at payroll

Go Beyond the Native JobTread QuickBooks Sync

A JobTread accounting integration from Autymate checks every draw, sub bill and approved hour against your accountant's rules.

  • Map

Autymate maps cost codes, cost types, deposit and retainage lines, divisions and companies once each to a QuickBooks item, account, class or company. Mapping versions are kept. Splitting one cost code into three next spring is recorded as a change with a date.

  • Validate

Autymate tests each draw, sub bill and approved timesheet against your rules. Is every cost code on it mapped to an item, rather than falling to the default item? Does the job carry the division or class your routing rule needs? A record that misses a check is held for review, and your team sees the document and what to fix.

  • Prevent Duplicates

Doubles often start with a customer typed as Delgado in one place and Delgado Family in another, or a payment logged in JobTread and again in QuickBooks. Autymate checks every record against what is already in QuickBooks, including what JobTread's own sync has pushed, and holds a name that nearly matches an existing customer or vendor for review, so the same draw or payment is not posted twice.

  • Reconcile

Every entry Autymate posts carries a reference back to its JobTread source record. At month end Autymate ties out a job's deposit, draws, sub bills and payroll hours, and ties Retainage Receivable and Payable to the retainage columns in JobTread's Income Report and Cost by Vendor report, job by job.

  • Monitor

Autymate's team monitors your runs and catches exceptions early. A draw, bill or time entry waiting on a decision can be settled before payroll or the close.

Is the Native JobTread QuickBooks Sync Enough for Your Jobs?

One company on settled cost codes can close on the native sync; growth is where Autymate helps.

  • The Native Sync Is Usually Enough When

You run a single company in QuickBooks Online and your cost codes have not changed in months. Invoices are final before they are sent, your bookkeeper clears the Unsynced Records tab and uses Push to QuickBooks without help, deposits and retainage land where their cost codes point, and JobTread is the only system writing to those books.

  • Autymate Is Worth Adding When

Your remodeling company and cabinet shop share one JobTread account but file separate returns, or each division needs its own class or location. Payroll, company cards and a second sales system write to the same books. Or your accountant wants deposits, retainage and any job missing a division handled on one approved method month after month, and Autymate builds those rules for you.

Where Autymate fits: your draws do not post from both. Autymate works alongside the JobTread QuickBooks integration you already have: JobTread's sync pushes each invoice and bill once it is sent or pending, Autymate checks what is already in QuickBooks before it posts anything, and nothing posts twice.

From JobTread Jobs to a Monitored QuickBooks Workflow

Five steps from a review of your cost codes to the first monitored draw.

  1. Review Your JobTread and QuickBooks Setup

Autymate reviews your cost codes and cost types, the Products/Services they map to, the default item, the Deposit To and Withdraw From accounts, which toggles are on, how jobs appear in QuickBooks, and what is waiting in Unsynced Records. It also checks which subs are set to track 1099 payments and which bank account each kind of payment really lands in.

  2. Agree the Accounting Outcome

Your accountant decides where deposits sit until earned, which accounts hold retainage, how cost types split cost of goods sold, what each class means, and which QuickBooks company each division belongs to. Autymate builds those decisions into your rules.

  3. Map From Jobs You Have Closed

Autymate builds the mapping from jobs you have already closed, so every cost code, cost type, change order, sub bill and crew member on them is covered before the first live draw posts.

  4. Test a Full Draw Cycle

Autymate runs real jobs end to end, from a deposit and two draws with retainage to a change order, a sub bill with retainage held, approved hours and an ACH payment, and checks that QuickBooks agrees with JobTread's job reports.

  5. Go Live on the Next Draw

Runs from JobTread to QuickBooks Online follow your schedule, and your JobTread QuickBooks automation keeps posting on approved rules as new jobs open. When a retainage release comes in short or a supplier refund has no matching bill, Autymate holds it for review with the reason, and support is on hand to help.

Contractors Who Outgrow the Native JobTread QuickBooks Sync

Builders and trades who estimate and bill in JobTread and file from QuickBooks Online.

  • Remodelers and Home Builders

Your jobs run on deposits, draws and change orders. A JobTread accounting integration from Autymate keeps deposits in the liability account your accountant chose and every change order on the draw that bills it, so the profit in JobTread's budget is the profit in your books.

  • Roofing and Specialty Contractors

Material bills arrive in bulk, the general contractor holds back retainage on your invoices while you hold it back from your own subs, and crews log hours to several jobs a day. Each bill, retainage hold and hour reaches the right job and cost account, and the job report and the profit and loss agree.

  • Contractors With More Than One Company

A remodeling company, a roofing company and a cabinet shop can share one JobTread account, one estimator and one schedule. Each job's draws, sub bills and hours still reach the QuickBooks company that did the work, so each business closes and files on its own.

  • Bookkeepers and Construction Accountants

With a JobTread QuickBooks Online integration from Autymate, you start month end with draws, sub bills and weekly timesheets already coded to your chart of accounts. The work left is the handful held for review, with any near-match vendor already flagged.

What Changes in QuickBooks When Every Draw Posts by Rule

A month of draws, sub bills and timesheets, as QuickBooks shows them with Autymate in place.

  • Held for Review, Not Dropped on the Default Item

A draw line whose cost code has no item, or a job with no division, waits for your team's decision. Your team gets the JobTread document and the reason, fixes it once, and every other job's draws keep posting.

  • One Treatment for Deposits and Retainage

Deposits, retainage and change orders post the way your accountant chose on every job, so a draw billed in October reads in QuickBooks like one billed in May.

  • Roofing and Remodeling, Side by Side

Every division shares one class scheme and one cost code map, so putting roofing margin next to remodeling margin is a report you run, not a weekend of exports.

  • One Set of Books for Every Source

Payroll runs, company card spend and a second sales system book to the same divisions and cost accounts as your JobTread draws and sub bills, because Autymate connects QuickBooks with 300+ other tools.

JobTread QuickBooks Integration FAQs

A connected JobTread QuickBooks sync shows that the link is live, not that records land correctly.

Work JobTread's Unsynced Records tab, use Push to QuickBooks for any document that has not gone over, review what landed on the default Product/Service and under Uncategorized each month, and compare JobTread's job reports with QuickBooks. With a JobTread QuickBooks integration from Autymate, a record that misses a rule is held with the reason, and Autymate's team monitors your runs.

The JobTread QuickBooks sync is partly two-way.

Payments, paid status and invoice voids pass both ways, while bill voids go from JobTread to QuickBooks only. Customer credits tied to a job come back once Sync Credits is on, and QuickBooks expenses can be pulled into job budgets. Edits are the exception: as of October 2026, JobTread's help desk shows that an update to a synced invoice, bill or payment does not sync in either direction.

To connect JobTread to QuickBooks, open Settings, then Integrations, choose QuickBooks Online and sign in to the company you want.

Map your cost codes to Products/Services, pick a default item for invoices and bills, and set the Deposit To and Withdraw From accounts. JobTread recommends QuickBooks Online Plus or higher with Payroll Core.

JobTread QuickBooks cost codes are the middle link of a three-step chain: each cost item in a JobTread budget carries a cost code, each cost code maps to a QuickBooks Product/Service, and that item's income and expense accounts decide where the line lands on the profit and loss.

Add cost types when labor, materials and subcontractors on one code need separate cost accounts, and point the default item at a clearly named holding account you check monthly.

By default, JobTread creates the customer, a sub-customer for the job location and a sub-customer for the job, matching names exactly.

You can link a job to a QuickBooks project instead, which is worth settling with your accountant before the first job syncs, because switching later leaves old jobs in the old structure. Classes can be set per job or per document, which suits divisions better than one class per job.

JobTread QuickBooks time entries reach payroll through the QuickBooks weekly timesheet once they are approved and the employee is mapped; hours for an unmapped employee wait in JobTread.

A February 2026 JobTread update maps time-entry rates to QuickBooks Payroll compensations. Labor cost reaches the job in QuickBooks only when payroll runs, so it can trail JobTread's job report.

A JobTread deposit invoice books to the account its Deposit cost code points to, usually an unearned-revenue liability, and applying it later means voiding the deposit invoice; a deposit can also be held as unapplied funds on the customer.

Retainage is tracked on its own cost item and cost code. JobTread's help does not describe the QuickBooks entry, so Autymate maps that code to Retainage Receivable and Retainage Payable and tests one draw and one sub bill before go-live.

Six common causes of JobTread and QuickBooks differences are an invoice or bill edited after it synced, a cost code falling to the default item, a duplicate customer or vendor created by a near-match name, a payment entered in both systems, pulled expenses sitting under Uncategorized, and labor costed at JobTread's rates before payroll has run in QuickBooks.

Check those first.

No.

JobTread's WIP report calculates earned revenue and the amount over or under invoiced for each job, but the QuickBooks integration posts no entry for it. Your accountant uses that figure for the month-end over and under billing adjustment, so the balance sheet carries the same over or under billing the WIP report shows.

Yes.

Autymate routes records from one JobTread account to more than one QuickBooks company, by job type or division. JobTread keeps one list of customers, jobs and cost codes, while each job's draws, sub bills and approved hours reach the company that owns the work, and estimators and project managers keep sharing one JobTread account.

JobTread offers an Open API with webhooks and a partner program, and a Zapier app whose triggers, as of October 2026, include customers, jobs, vendors, documents, files and tasks, with no trigger dedicated to invoices, bills, payments or time entries.

A JobTread QuickBooks Online integration from Autymate asks your team to build none of that: no Zap, no webhook and no code. Autymate works with JobTread's Open API for you, alongside JobTread's own sync, so nothing posts twice.

No.

JobTread's own integration connects JobTread to QuickBooks Online only, and Xero is offered through JobTread integration partners rather than natively, so there is no native JobTread sync for QuickBooks Desktop. If your company files are on QuickBooks Desktop, say so at the start: Autymate posts to QuickBooks Desktop as well as QuickBooks Online.
