Proposals and Estimates
An approved proposal reaches QuickBooks as an estimate dated by its Created Date in Houzz Pro. An estimate posts nothing to your books; it only records the contract value the later invoices are measured against.
Turn Houzz Pro proposals, invoices, retainers and purchase orders into QuickBooks Online entries your accountant can trust.
Houzz Pro already sends finished documents to QuickBooks Online. A Houzz Pro QuickBooks Online integration from Autymate works alongside that sync, so nothing posts twice, and adds what your month-end close still needs: every studio, office and company on the same approved rules, and retainers, markup and vendor costs where your accountant wants them.

Yes, you can integrate Houzz Pro with QuickBooks Online using Autymate. Houzz Pro already includes a one-way Houzz Pro QuickBooks sync that sends approved proposals, invoices, payments, retainers and purchase orders to QuickBooks Online. A Houzz Pro QuickBooks integration from Autymate works alongside it, so nothing posts twice, with mapping rules your accountant approves, routing to more than one QuickBooks company, records held for review and runs monitored by Autymate's team.
Houzz Pro sends proposals, invoices, change orders, retainers, payments, purchase orders and credit memos, each on its own trigger.
An approved proposal reaches QuickBooks as an estimate dated by its Created Date in Houzz Pro. An estimate posts nothing to your books; it only records the contract value the later invoices are measured against.
Invoices reach QuickBooks when they are sent or when a payment is recorded; drafts wait. On packages that include change orders, each one syncs as its own invoice once sent and paid, so the original estimate in QuickBooks still shows the contract before the change.
A retainer syncs once it is marked paid. One Houzz Pro setting leaves it as an unapplied payment on the client; the other posts a sales receipt into a liability account, by default Houzz Pro Retainer Deposit. On a cash-basis profit and loss, an unapplied payment can show as Unapplied Cash Payment Income until it is linked to an invoice.
Purchase orders sync when sent to the vendor, approved or marked paid, on QuickBooks Online Plus or above, and become vendor bills when billed or paid. Vendors and subs are matched to QuickBooks by exact name, and a missing one is created for you.
Products and services map to income and expense accounts by category, and the cost and markup setting splits them into separate lines or sends one total. A category changed on a project created before January 1, 2025 does not sync to QuickBooks.
Tax a vendor charges you on a PO syncs as its own line into a cost of goods sold account, by default Houzz Pro Sales Tax Paid to Vendor, and stays off QuickBooks tax reports. A credit memo syncs when issued or applied and lands on the same invoice.
A design or build firm may have several offices, or more than one company, behind its projects.
Some firms keep design fees in one company and furniture purchasing in another, for sales tax and liability reasons. Autymate routes each record by project or by type of document, so a design-fee invoice reaches the design company's books and a furniture PO the purchasing company's.
Every studio sells the same kinds of things: design hours, furnishings, freight and installation. One mapping template serves all of them, even across different company files, so a new office opens on rules your accountant has already approved.
A showroom that keeps freight in its own account, or an office in a state that taxes design fees, gets its own approved change to the template. Every other studio goes on posting by the shared rules.
Two projects with different addresses are not two companies. Houzz Pro sends each project to QuickBooks as a sub-customer under its client, so project profit comes from customer reports. Autymate posts an office as a location and a service line as a class, and designs the structure around QuickBooks Online Plus's limit of 40 classes and locations combined; Advanced has no cap.
Each piece of a Houzz Pro project has a set home in QuickBooks Online.
| Source | Destination | Example |

One furnished room, followed from the client's retainer to the deposit in your bank.
The client pays a $5,000.00 retainer by check for the Alder Street living room. With the Sales Receipts setting it lands in Houzz Pro Retainer Deposit: money held for the client, not income.
The final invoice carries a sofa at $5,400.00 (a $4,000.00 vendor cost plus 35% markup), a $3,000.00 design fee and 8% sales tax on the sofa, $432.00, in a state that does not tax this design fee: $8,832.00 in all.
Autymate applies the $5,000.00 by the rule your accountant approved, as a retainer line on the invoice that draws down the liability, because the work it paid for is now billed. $3,832.00 remains for the client to pay.
The sofa was bought under your resale certificate, so the vendor charged no tax, and took a 50% deposit that Houzz Pro recorded as a full $4,000.00 bill with $2,000.00 paid. If that bill lands a month before the invoice, that month shows $4,000.00 of cost against no income. Once invoiced, the sofa earns $1,400.00 of markup, a 25.9% margin, on top of the design fee.
The client pays the $3,832.00 by card through Houzz Pro Payments. When your fee setting deducts the fee from the payout, the bank receives less than the synced payment two to three business days later. The deposit is matched to that payment, Autymate posts the fee on its own line, and $5,000.00 plus $3,832.00 equals the $8,832.00 invoice.
Synced edits, early retainers, card deposits, vendor deposits and refunds each follow one rule your accountant approves up front.
| Situation | What Houzz Pro does | How it lands in QuickBooks |
|---|---|---|
| A bookkeeper edits a synced invoice in QuickBooks | Nothing returns to Houzz Pro, and the next sync of that invoice can overwrite the edit | Changes start in Houzz Pro, and a correction to a filed period becomes a credit memo or a negative line on a new invoice |
| A retainer is paid before any invoice exists | Syncs to the client before the invoice it belongs to exists | With QuickBooks automation turned off, the credit waits for its own invoice instead of clearing an older one |
| A client pays by card or ACH through Houzz Pro Payments | Logs the payment on the invoice and syncs it | The bank-feed deposit is matched to the synced payment rather than added again, and Autymate posts any fee on its own line |
| A vendor takes a 50% deposit on a purchase order | Houzz's own guidance says the PO payment creates a vendor bill for the full amount | Cost of goods sold carries the whole item before delivery and accounts payable the unpaid half; if your accountant holds the deposit as a prepaid asset until the furniture arrives, Autymate posts it that way |
| The vendor invoice differs from the PO: an extra chair, added freight, a backorder charged in two parts | Syncs the PO and its bill as written in Houzz Pro | Each PO is kept matching the vendor invoice so the bill agrees with the bank, and a missed item goes on a new proposal to the client, as Houzz's own guidance advises, instead of coming out of your markup |
| A vendor refunds a deposit or issues a credit | Cannot create a credit from a purchase order payment; the refund is noted on the PO | The vendor refund is recorded in QuickBooks against that vendor |
| A client returns a product or is refunded | Return Item adds a negative line, an invoice total below zero does not sync, and refund money goes back outside Houzz Pro | A credit memo and the refund are entered in QuickBooks directly, as Houzz's own guidance advises |
| A proposal or invoice was created by image import | Never syncs, because it has no line items | Rebuilt with line items in Houzz Pro before it reaches QuickBooks |
| A document is dated in a closed QuickBooks period | Shows Sync Not Available | The correction is dated in the open month, or your accountant reopens the period |
A Houzz Pro accounting integration checks every retainer, PO and payment against your accountant's rules before it posts.
Autymate maps every product category, service, retainer, vendor and office once to a QuickBooks account, item, location or company. It keeps every mapping version, so next year's new furnishings account is recorded as a change, not a quiet edit.
Before it posts anything, Autymate checks each record against your accountant's rules: does every line's product category have an account, and does the project point to a location, class or company? A category added in Houzz Pro but never mapped is held here, and your team sees why and what to check.
Invoices are re-sent and payments are retried. Autymate checks every record for duplicates before it posts and works alongside Houzz Pro's own sync, so nothing posts twice.
Every entry Autymate posts carries a reference back to the Houzz Pro record it came from, and at month end Autymate ties out a project's retainer, invoices, vendor bills and deposits together.
Autymate's team watches every run and catches exceptions early, so a retainer, PO or payment waiting for a decision can be settled before the close rather than during it.
A one-company firm can close cleanly on the native sync; Autymate earns its place where setups outgrow it.
One Houzz Pro account feeds one QuickBooks Online company. Your bookkeeper is comfortable checking View Issues, using Resync All when a document does not sync up properly, and coding the card fee with Resolve Difference when matching the bank feed. Retainers, markup and vendor deposits fit the settings Houzz Pro offers, and no other system posts into the same books.
Design fees and furniture purchasing sit in different companies, offices need their own locations or classes, or payroll and card spend post into the same books. It also fits when your accountant wants retainers, vendor deposits and fees booked one approved way every month.
Where Autymate fits: keep the Houzz Pro QBO integration you already have. Autymate works alongside it, so nothing posts twice and your books hold one copy of every invoice.
Five steps take Houzz Pro to QuickBooks Online on rules your accountant signs off.
Autymate reviews your Houzz Pro package, the QuickBooks Online plan and company, the Document Sync Date, how retainers and payments are set to sync, whether cost and markup are split, and which vendors and categories are already mapped.
Your accountant decides where retainers sit, which income accounts separate design fees from product sales, whether vendor deposits are a prepaid asset, and which office and company each project belongs to. Autymate builds those decisions into your rules.
Autymate maps from a finished project, which shows every category, tax rate, vendor and payment type you actually use, so the mapping covers real cases from the first run.
Autymate runs real projects through: a retainer, a change order, a PO with a vendor deposit, a credit memo and a card payment, and checks that QuickBooks agrees with Houzz Pro.
Autymate's runs follow your schedule, and a project opened next month uses the same approved mapping. When a client refund or a vendor credit needs a judgment call, Autymate support helps decide it.
Firms that run projects in Houzz Pro and close their books in QuickBooks Online.
Your margin lives in the markup between trade pricing and what the client pays for furnishings. A Houzz Pro accounting integration keeps product sales, design fees and freight in their own accounts, so the profit on a room is visible before the next order goes out.
Change orders, sub bills and materials arrive all through a job, and Houzz Pro sends expenses one at a time, when someone ticks Save to QuickBooks. Autymate posts each CO, PO and expense to the project's sub-customer and location, so job profit in QuickBooks reflects the contract as changed, not as first estimated.
When a design company, a purchasing company and a construction company run their projects from one Houzz Pro account, Autymate sends each record to the QuickBooks company it belongs to, and the three still close as separate sets of books.
With a Houzz Pro QuickBooks Online integration from Autymate, you spend less of month end reconciling line by line and more on the records that need a decision.
What a month of Houzz Pro projects looks like in QuickBooks once Autymate is running.
Autymate holds a sofa line in an unmapped category, or a project with no location or company assigned, instead of guessing. Your team sees which Houzz Pro document and why, makes the call once, and the remaining documents carry on posting.
Retainers, markup and vendor costs post the way your accountant chose at setup on every project, so a room invoiced in March reads in QuickBooks exactly like one invoiced in January.
Offices and companies post into one consistent structure, so comparing studios is a report, not a spreadsheet project.
Payroll, card spend and other sales channels post into the same books on the same rules as your Houzz Pro projects, because Autymate connects QuickBooks with 300+ other tools.
Yes, you can integrate Houzz Pro with QuickBooks Online using Autymate.
A Houzz Pro QuickBooks integration from Autymate handles retainers, markup, vendor deposits and office routing by your accountant's rules. Houzz Pro also includes its own Houzz Pro QBO integration, a one-way sync of proposals, invoices, payments and purchase orders. Autymate works alongside it, so nothing posts twice and your books hold one copy of every invoice.
No, the Houzz Pro QuickBooks sync is one-way, from Houzz Pro to QuickBooks Online.
A payment recorded only in QuickBooks never reaches the project in Houzz Pro, so client balances there stay right only when payments are logged in Houzz Pro first. Each document usually syncs within seconds of its trigger, and pending updates are picked up every five minutes.
Before you connect Houzz Pro to QuickBooks, set up your tax agency with a start date earlier than your first Houzz Pro transaction, turn off QuickBooks' automation settings and its duplicate check and bill number warnings, and turn on purchase orders.
Then choose a Document Sync Date; nothing created before October 7, 2020 syncs. Houzz Pro's Help Centre says Canadian accounts also map each tax rate first.
Approved proposals and estimates, sent or paid invoices, paid retainers, change orders (on packages that include them), payments, purchase orders (on QuickBooks Online Plus or above) and credit memos sync automatically, and expenses one at a time.
Drafts wait until finalized. Documents created by image import and category changes on projects created before 2025 never reach QuickBooks.
Houzz Pro retainers should be recorded as money held for the client until it is earned.
Houzz Pro can sync a retainer as an unapplied payment on the client or as a sales receipt into a liability account, by default Houzz Pro Retainer Deposit. One bookkeeping firm for interior designers advises tracking retainers as liabilities until earned, and the sales receipt setting shows them that way on the balance sheet.
A Houzz Pro payment usually differs from the bank deposit for three reasons.
If your fee setting deducts the processing fee from the payout, less reaches the bank than was logged; card payments arrive two to three business days after they are logged; and a bank-feed deposit added as new income records the same money twice. Match the deposit to the synced payment and Autymate posts the fee on its own line, so the two agree.
Yes, on QuickBooks Online Plus or above, once a PO is sent to the vendor, approved or marked paid.
The Houzz Pro purchase orders QuickBooks receives arrive as purchase orders and become vendor bills when billed or paid. Keep each PO matching the vendor invoice, so the bill and the bank agree.
Tax you charge clients follows the tax rates mapped in QuickBooks Online, so set those up before the first sync.
Tax a vendor charges you on a purchase order is different: it syncs to a cost of goods sold account and does not appear on QuickBooks sales tax reports, so reconcile Houzz Pro's figures against QuickBooks before you file, as Houzz's own accounting guidance advises.
The edit stays in QuickBooks only, and the next sync of that invoice can overwrite it.
Keep the Houzz Pro invoices QuickBooks receives as the record, make changes in Houzz Pro, and use a credit memo or a negative line on a new invoice for anything in a period whose sales tax is already filed.
Yes, one Houzz Pro account can post to more than one QuickBooks company with Autymate.
Autymate sends each record to the company it belongs to, by project or by type of document, so design fees and furniture purchasing close in separate companies while your team keeps working in one Houzz Pro account. Each company keeps its own chart of accounts and tax settings.
Houzz Pro's API is in beta, with access granted by the account owner and its own terms of use.
Its Zapier app only creates leads and projects in Houzz Pro, so it cannot send financial data out. With a Houzz Pro QuickBooks Online integration from Autymate your team writes no code: Autymate builds and runs the connection for your account.
Not through Houzz Pro's own sync, which connects to QuickBooks Online only.
Houzz Pro states that it does not integrate with QuickBooks Desktop, because Desktop keeps its data on your computer rather than in the cloud. If your books are on Desktop, what is possible for your setup is confirmed with you before any work starts.
Send us one finished Houzz Pro project and tell us how your offices and companies are set up. We map its retainer, invoices, purchase orders and payments to your QuickBooks accounts, then show how Houzz Pro to QuickBooks Online runs on those rules.
