DocuSign QuickBooks Integration

Turn every completed DocuSign envelope into the right QuickBooks Online customer, estimate or invoice, checked before it posts.

Your team already agrees prices, terms and retainers in DocuSign. A DocuSign QuickBooks Online integration from Autymate carries those agreed values into QuickBooks without retyping, holds a second envelope for a deal already billed by checking its deal reference, sends every agreement to the right QuickBooks company, and attaches the signed agreement and its envelope reference to every invoice it creates.

Does DocuSign Integrate With QuickBooks?

Yes, you can integrate DocuSign with QuickBooks Online using Autymate. When an envelope is completed, Autymate matches the signer to a QuickBooks customer, creates the invoice or estimate your agreement template calls for, checks it against the signed total, and holds anything unclear for review. The DocuSign app QuickBooks Online Advanced once offered for estimates is no longer available, and QuickBooks' own e-signature covers estimates with a single signer.

What Can a DocuSign QuickBooks Integration Use?

DocuSign records who agreed to what and when. These are the parts Autymate carries into your books.

  • Envelope Status

An envelope moves through sent, delivered and completed, or ends declined or voided. Autymate bills from completed, once every signer including your countersigner has signed, so an invoice is never raised on the customer's signature alone.

  • Recipients and Routing Order

The person who signs is often an office manager or an officer, not the accounts payable contact. Autymate starts from their name, email and role, then finds the QuickBooks customer by the company name or any customer ID your team adds to the envelope.

  • Tabs (Form Fields) With Agreed Values

Number, formula and dropdown tabs hold the price, quantity, term, start date or service tier the customer agreed to. Autymate builds the invoice lines straight from these tabs, because every value arrives already labelled.

  • Envelope Custom Fields

Hidden fields that recipients never see can carry the selling entity, the project, a deal ID from your CRM, or the parent agreement of a change order. Autymate reads them to place each completed envelope exactly where it belongs in QuickBooks.

  • Templates by Agreement Type

A managed services agreement, a change order, an engagement letter and a franchise agreement each bill differently. The template an envelope was sent from tells Autymate which rule applies and which product or service item to use.

  • Signed PDF and Certificate of Completion

DocuSign produces the executed agreement and a Certificate of Completion that outlines all the activity on the envelope. Autymate attaches both to the QuickBooks invoice and records the envelope ID on it, so anyone reading the invoice can open the exact agreement and certificate behind it.

Route Agreements to the Correct QuickBooks Company

A DocuSign brand changes the logo on an envelope. A routing field names the selling company.

  • Entity-Aware Routing

Brands let one DocuSign account send under several names, but a brand is not a legal entity. Autymate routes on a hidden "Entity" list field on each template, or on the account ID when each entity has its own DocuSign account. Each entity posts to its own QuickBooks company, or its own location or class in one company.

  • Reusable Mapping Template

Customers, items and terms created in one QuickBooks company do not exist in another, which is why groups end up maintaining the same rules several times. One mapping template serves every entity, even across different company files, so a new subsidiary or franchise location starts with rules that already work.

  • Controlled Local Exceptions

An entity that sells a different service, charges a different tax or keeps its own deposit account gets an approved adjustment to its own mapping, and every other entity keeps the shared rules.

  • Held Agreements Name Their Entity

When an agreement waits for review, it shows which entity it belongs to, why it was held and what to check, so the controller for that company can clear it before close.

Map Signed Agreement Data to the Right QuickBooks Outcome

Reconcile the Signed Total to the Invoice and the Cash

Autymate ties three numbers together: what was signed, what was invoiced, and what was paid.

  1. Start From the Signed Total

Autymate takes the reference from the completed envelope's tabs: $12,000.00 for a twelve-month services agreement at $1,000.00 a month. It measures every invoice raised from that agreement against that figure.

  2. Add What QuickBooks Calculates

With Automated Sales Tax on, QuickBooks works out tax from the address on the invoice and overrides any tax code sent with it. Autymate keeps tax and discounts on their own lines, so the difference from the signed figure is visible and explained.

  3. Compare Before Posting

Autymate checks every DocuSign envelope to QuickBooks invoice handoff against its share of the agreement: the annual invoice against $12,000.00, or each monthly invoice against $1,000.00. It holds a difference before tax with both numbers side by side, and your team decides whether the template or the agreement is right.

  4. Draw Down the Retainer

A 50% retainer collected at signing, $6,000.00, sits in Customer Deposits until the work is billed. Autymate covers each month's $1,000.00 invoice from that deposit, so the retainer is used up over the first six months.

  5. Match the Payment Status

A completed envelope proves agreement, not payment, so Autymate treats an invoice as paid only once the money is recorded in QuickBooks. If the customer paid inside the envelope with DocuSign Payments, that money runs through your own gateway account, such as Stripe, which charges you its own fees, and Autymate records the payment against the invoice with the fee kept separate.

Go Beyond a Basic Signature Trigger

A trigger creates an invoice. Good DocuSign QuickBooks automation also decides whether it should exist.

  • Map

Autymate points each agreement template to a QuickBooks item, income account, class and terms, kept as one approved mapping per template rather than a rule buried inside a workflow step.

  • Validate

Autymate checks customer, item, amount and company before anything posts. A signer with no single customer match, an amount that differs from the agreement, or a completion date in a month you have already closed waits for your team.

  • Prevent Duplicates

Autymate ties every envelope to its deal with a deal reference, so a second completed envelope for a deal already invoiced waits for your team instead of billing twice.

  • Reconcile

Every posted invoice carries the signed agreement and a reference back to its envelope, so the signed amount, the invoiced amount and the payment line up when your accountant reviews the month.

  • Monitor

Autymate's team monitors your runs and catches exceptions early, often before your team does.

QuickBooks E-Signature, Zapier, an Internal Build, or a Managed Workflow?

Four ways to get a signed agreement into QuickBooks Online, and where each fits best.

QuickBooks E-Signature, Zapier, an Internal Build, or a Managed Workflow?
ModelBest fitWhat to consider
QuickBooks' own estimate e-signatureSimple quotes accepted by one customer contactBuilt into Simple Start, Essentials, Plus and Advanced. The customer types their name to accept, can pay a deposit in the same step, and the signed PDF is stored on the estimate. Intuit suggests a dedicated e-signature tool when several people need to sign.
DocuSign with Zapier or MakeOne straightforward flow, such as an invoice per completed envelopeA basic DocuSign QuickBooks sync can be built from the blocks that exist, and Zapier's include find-or-create customer, void invoice and attach file. Filtering to completed envelopes, catching a voided-and-resent deal and checking amounts are left to whoever builds the flow.

From Signed Agreement to a Monitored QuickBooks Workflow

Five steps take your current DocuSign templates to checked, monitored invoices in QuickBooks.

  1. List Your Agreement Types

We review your DocuSign plan and its API access, your templates, who signs and countersigns each one, the tabs that hold prices and terms, and which custom fields already identify the customer, project or entity.

  2. Decide the QuickBooks Outcome for Each

Invoice on completion, an estimate converted after signing, a retainer first and monthly invoices after, or a customer record only. Autymate confirms items, income accounts, classes, locations, tax and terms with your accountant.

  3. Write the Template-by-Template Rules

Autymate ties each template's tabs and custom fields to QuickBooks customers, items and companies, including the reference a change order uses to point back to the agreement it amends.

  4. Test the Real Lifecycle

We run completed, declined, expired and corrected envelopes, agreements voided and sent again, a signer with no customer match, and a total that changes after tax, and confirm each lands where your team expects.

  5. Go Live on Your Schedule

Held agreements wait for your team with the reason and what to check, and Autymate support is on hand when a decision needs a second opinion.

A Better Fit When Agreements Drive Downstream Accounting Work

Teams whose billing starts with a signature, and whose bookkeeper should not retype it.

  • Managed Service and IT Providers

A signed service agreement with a monthly fee, a setup charge and a retainer becomes the QuickBooks customer, a retainer held in Customer Deposits and the first invoice, instead of three rounds of double entry.

  • Contractors and Field Services

Today a change order often means going back in and revising the estimate by hand. Autymate turns each signed change order into its own estimate or invoice on the same customer and project, tied to the original agreement by a parent agreement reference.

  • Accounting and Professional Firms

Engagement letters signed in DocuSign set up the client and the fee arrangement in QuickBooks, so the first bill reflects exactly what the client accepted.

  • Franchisors and Multi-Entity Groups

Franchise and customer agreements signed for different brands or entities post to the right QuickBooks company from one set of rules.

Built for Agreement Workflows That Need Accounting Control

What happens on an ordinary day, and on the days an agreement changes after signing.

  • Agreements Wait, They Are Never Guessed

Anything Autymate is unsure about is held back, never posted on a guess. Your team sees each held agreement with its reason, decides, and the run carries on.

  • From Invoice to Agreement in One Lookup

An auditor holding an invoice opens the signed agreement and its Certificate of Completion right there, attached to the invoice, with the envelope ID alongside to find the record in DocuSign.

  • Changes After Signing Have a Path

Autymate builds a rule for every correction, void, expiry and change order during setup, so an agreement that changes after signing is handled the way your team decided in advance.

  • Beyond QuickBooks

Autymate connects QuickBooks and 300+ other tools, so the same rules carry your CRM, billing and payment data alongside DocuSign.

DocuSign QuickBooks Integration FAQs

Yes.

Use Autymate to connect DocuSign to QuickBooks Online so completed agreements bill there, and other routes exist too: Zapier and Make offer DocuSign and QuickBooks Online steps for a simple DocuSign QuickBooks sync, and a development team can build its own on DocuSign's eSignature API, DocuSign Connect webhooks and the QuickBooks Online API. Autymate suits teams that need customer matching, amount checks and duplicate holds without maintaining that code.

Intuit launched the DocuSign eSignature Connector in 2021 for QuickBooks Online Advanced only, and it handled estimates, not invoices.

During 2024 users reported it had disappeared from the apps list, and in October 2024 the QuickBooks Team wrote that DocuSign is no longer available within QuickBooks Online. We found no retirement notice from either company, so older articles still describe it as current.

QuickBooks Online can now require an e-signature on estimates in Simple Start, Essentials, Plus and Advanced.

The customer types their name to accept, and the signed PDF is saved to the estimate. Intuit describes it as available on estimates only and suggests a dedicated e-signature tool when several people must sign. Teams keep DocuSign for contracts, countersigned agreements, reusable templates and its Certificate of Completion.

Yes, and that is the heart of a DocuSign QuickBooks invoice integration.

For each DocuSign envelope to QuickBooks invoice, Autymate waits until the envelope is completed by every signer, finds the customer, builds the invoice lines from the agreement template and its tabs, and compares the result with the signed amount. A clean agreement posts with the signed PDF attached. One with a customer that matches two records, or an amount that does not agree, waits for your team instead.

No invoice is created.

Declined, voided and expired envelopes are final in DocuSign, and an expired envelope is voided automatically, so a proposal that lapsed is handled exactly like one the customer turned down. If your process raises a QuickBooks estimate when the envelope is sent, Autymate marks that estimate rejected so it cannot become an invoice by mistake.

A sender who fixes a mistake by voiding the envelope and sending a corrected copy creates a new envelope ID for the same deal, and DocuSign also retries webhook messages it could not deliver, so any DocuSign Connect webhook QuickBooks listener has to expect the same event twice.

Autymate checks a deal reference, such as a CRM deal ID in a custom field, and holds a second completed envelope for a deal that already has an invoice as a possible duplicate.

Not by itself.

A signature confirms the customer agreed to terms; revenue is earned as the work is delivered. A retainer collected at signing usually goes to a Customer Deposits liability account. The Deposit field on a QuickBooks invoice books to income, so it suits only small or non-refundable deposits. Autymate posts to the accounts your accountant chooses.

On the company name or a customer ID in a custom field, not on email alone.

The signer is often not your billing contact, and QuickBooks will not create a customer whose name is already used by a vendor or an inactive customer. Autymate searches your QuickBooks customers on either one and holds the agreement when there is no single clear match.

Yes.

Autymate posts agreements for different legal entities to multiple QuickBooks companies, or to locations and classes inside one company, using the routing field on each DocuSign template. Because QuickBooks keeps customers and items separately in each company, Autymate matches customers inside the destination company, never across the group.

Yes.

Autymate starts the DocuSign agreement from a new QuickBooks estimate, and when the envelope is completed it marks that same estimate accepted, so a QuickBooks estimate DocuSign signature always confirms the price your team set in QuickBooks. This suits teams that quote in QuickBooks but need DocuSign for contract terms, countersignature or several signers.
