How a Break Is Found
A PDF is a picture of a table. Nothing inside it says which number is the amount, so reading one is inference: a date at the start of the line, then a description of unknown length that may itself contain digits, then one, two or three numbers whose meaning depends on the bank.
Anything that takes a PDF bank statement to QBO is working that out, and a wrong reading can look completely fine. Your statement carries its own test. Where it prints a running balance after each line, every transaction is independently checkable: the balance has to move by exactly the amount on that line, and the row where it stops following is the row to look at.
The size of the gap says which mistake it was. A difference that matches a plausible transaction almost always means a line was missed rather than misread, which is the more expensive of the two. So keep the balance column when you map the statement: the last value in it travels with the file as the statement's closing balance, and the arithmetic above it is yours to check against the paper in front of you.

The balance has to move by exactly the amount on the line. Where it does not, that row is where to look, and a gap equal to a plausible amount usually means a transaction was missed rather than misread.
What the Converter Reads Off a Statement Line
Four fields come off every line, and you say which of the trailing numbers is which.
Layouts
- auto
- The default. With two trailing numbers the last is read as the balance, which is a genuine heuristic and is labelled as one.
- amount
- One signed figure per line. Money out is negative.
- amount-balance
- The amount, then the running balance after it. This is the layout that can be checked against itself.
- debit-credit-balance
- Money out, money in, then the balance. Three numbers, in that order.
Fields
- Date
- A line begins a transaction only if it starts with a date. Everything else belongs to the line above.
- Description
- Whatever sits between the date and the trailing numbers, including a payee that wrapped onto the next line.
- Amount
- Read from the end of the line, right to left, because the description is the part of unknown length.
- Balance
- Optional. Map it and the last value becomes the closing balance written into the file.

It Reads a Digital PDF
The statement has to carry real text, the kind you can select in a PDF reader. A download from your bank does; a photograph or a scanned copy carries pixels instead, and there is nothing in pixels to read.

The output is a QuickBooks Web Connect file, the .QBO that QuickBooks Desktop reads into a bank feed. QBO here is a file extension, not the QuickBooks Online product.

If You Need a .QBO File
QuickBooks Desktop takes transactions in through Bank Feeds, which reads .QBO Web Connect files. Getting a bank statement PDF to QuickBooks Desktop means producing one of those first, and that is what this converter does.

One Account Per File
A statement covering two accounts interleaves two sets of rows. Split it, or convert one account at a time.
One Statement Period
The year is usually not on the line. It comes from the page header, and a December followed by a January is read as the next year, so one period per file keeps that simple.
Check the Descriptions
A payee that runs onto a second line is appended to the row above rather than dropped, because only a line starting with a date begins a transaction. Confirm the preview reads the way the statement does.
Keep the Balance Column
Where the statement prints a running balance, map it. Every row becomes checkable against the one above it, and the last value travels in the file as the closing balance.
Remove the Password
A protected PDF cannot be opened for reading. Open it yourself, save an unprotected copy and convert that one; the tool cannot unlock it for you.
Check the Overlap
Statements often repeat the last few days of the period before. Review those rows before you import rather than after they appear twice.

When a Statement Cannot Be Read
The honest part: some PDFs do not convert at all, and the tool says so.
A Scan Is Refused
When every page is an image there is no text to take off it. The tool names how many pages it checked and stops there, rather than handing back a file with nothing in it. Ask your bank for a text PDF or a CSV of the same period.
A Password Keeps It Closed
A protected PDF cannot be opened for reading, and the tool will not try to get past one. Open it yourself, save an unprotected copy, and convert that.
No Line Starts With a Date
A transaction begins at a leading date. A layout that puts the date somewhere else gives the reader nothing to hold, so it reports the lines it could not use instead of inventing rows from the text it can see.
Two Accounts in One File
A statement covering more than one account has no reliable boundary between them, so nothing is merged on a guess. Convert one account at a time, or split the statement first.
