What an IIF File Actually Is
IIF stands for Intuit Interchange Format. Intuit describes it as ASCII text in a tab-separated format, used by QuickBooks Desktop to import and export supported lists and transactions.
One transaction is never one row. It is a TRNS header row, an SPL row for every split, and an ENDTRNS that closes the block. That structure is why a CSV cannot simply be renamed, and it is what the converter builds for you from the type you pick.
Every line of the block has to balance. If the splits do not sum back to the header amount, QuickBooks rejects the transaction rather than importing half of it.
| !TRNS | TRNSTYPE | ACCNT | AMOUNT | What This Row Is |
|---|---|---|---|---|
| TRNS | BILL | Accounts Payable | -1,240.00 | The transaction |
| SPL | BILL | Office Supplies | 840.00 | One line of it |
| SPL | BILL | Software | 400.00 | One line of it |
| ENDTRNS | Closes the block |
The splits sum back to the header amount. When they do not, QuickBooks rejects the transaction rather than importing half of it.

How to Prepare a CSV for IIF Conversion
Six things worth checking in the spreadsheet before you generate the file.
Consistent Rows
Remove report titles, subtotals, repeated headers, and non-data notes.
Dates
Use consistent transaction dates that can be mapped to the selected template.
Names and Accounts
Confirm customers, vendors, items, accounts, and other required names are valid for the intended workflow.
Amounts
Keep numeric values clean and confirm debit/credit or sign logic.
Leading Zeros
Protect identifiers from spreadsheet auto-formatting that removes leading zeros.
Duplicates
Review repeated-looking records before generating the IIF file.
The Mapping You Rebuild Every Week
Row one is this converter's. The rest is what a weekly rhythm costs.
| Need | Free converter | Autymate |
|---|---|---|
| A batch of bills to enter once | Exactly the job it was built for | Nothing recurring to hold |
| Recurring monthly export | Manual every period | Automate the repeatable workflow when feasible |
| Daily files | Manual work compounds | Use controlled intake, mapping, and processing rules |
| Multiple company files | Repeat conversion and import per file | Standardize mapping and routing where supported |
| Exceptions | You investigate manually | Build validation, error context, and a support path |
What Happens When You Import It
The honest part: a generated file still has to pass QuickBooks' own importer.
QuickBooks Checks the File
QuickBooks Desktop 2019 and later include an improved IIF importer that scans for errors and reports successful and failed items.
Back Up First
Intuit recommends backing up the QuickBooks Desktop company file before importing an IIF file. Do it before the import, not after a problem.
Some Rows May Be Rejected
No converter should guarantee universal acceptance. QuickBooks version, company-file setup, the selected type, mappings, required names or accounts and source quality all affect the result.
Converting IIF Files for Multiple Locations or Company Files?
The converter is built for a file. These are the parts that repeat once the same process runs across stores, franchisees, entities or separate QuickBooks Desktop company files.
- Different CSV layouts, normalized into controlled inputs
- Different mappings, with approved account, entity and location rules
- Separate company files, routed to the correct QuickBooks Desktop environment
- Missing or late files, with completeness checks and exception ownership
- New locations, onboarded through a repeatable mapping process
- Historical catch-up, with date boundaries and duplicate prevention

For some list data, yes. Intuit provides CSV and Excel import tooling. If that native path meets the requirement, converting to IIF may be unnecessary.

If the CSV comes from a recurring POS, ERP, database, payment platform, ecommerce system, or custom application, Autymate can scope a managed QuickBooks Desktop workflow when authorized source access and destination behavior are available.
Written and maintained by The Autymate integrations team. We build and run accounting integrations for multi-location franchises, ISVs and bookkeeping firms: QuickBooks Desktop and Online, POS, payroll and ERP. These converters exist because we kept writing the same ones for customers, and there was no reason to keep them to ourselves.

Stop Rebuilding the Same IIF Every Period
The converter is the right tool when you need to solve one file. If the CSV comes from the same source every day, week, or month, tell us where it starts, which QuickBooks Desktop company file receives it, and how many locations are involved.
Exact source access, fields, permissions, QuickBooks behaviour and service scope are confirmed during discovery.
