Job Invoices & Adjustment Invoices
A completed job becomes an invoice, and the invoice is batched, posted and exported. A correction after export arrives as an adjustment invoice, because an exported batch cannot be reversed.
Turn ServiceTitan invoices and payments into QuickBooks Online records finance can trust, each one checked before it posts.
ServiceTitan already exports invoices, payments, expenses and sales tax to QuickBooks Online and QuickBooks Desktop. Autymate builds a ServiceTitan to QuickBooks Online integration set up for your business. It takes on the work finance still does by hand. It holds any record it cannot post, with the reason, keeps same-name customers apart, and posts each business unit and company where it belongs. QuickBooks is one of the 300+ tools we connect.

Yes, you can integrate ServiceTitan with QuickBooks Online using Autymate. ServiceTitan also has its own one-way export to QuickBooks Online and QuickBooks Desktop, available to all ServiceTitan customers. When you connect ServiceTitan to QuickBooks with Autymate, the integration is built around your accounting rules. It sets how business units become classes, how customers are matched, which company each business posts to, and what waits for review instead of posting.
Most month-end questions trace back to six places in ServiceTitan, from the pricebook to the deposit.
A completed job becomes an invoice, and the invoice is batched, posted and exported. A correction after export arrives as an adjustment invoice, because an exported batch cannot be reversed.
Each payment method is its own payment type: card, ACH, check, cash and each financing lender. By default payments land in Undeposited Funds until a deposit is built.
Every service, material and equipment item carries the QuickBooks account it posts to. ServiceTitan sends the tax it calculated for each tax zone, and its help center notes that some QuickBooks Online sales tax settings cannot be turned off, so Autymate checks your QuickBooks tax setup before the first invoice posts.
ServiceTitan calls them business units; QuickBooks calls them classes. A unit per department within each trade, such as HVAC Service and HVAC Install, gives finance a P&L for each. Class tracking needs QuickBooks Online Plus or Advanced.
One commercial customer can have many buildings. Since July 2026 ServiceTitan can export each active service location as a QuickBooks sub-customer. Autymate matches each one to the right QuickBooks customer.
ServiceTitan can hold a $200 upfront membership fee in a deferred revenue account and release it as visits happen. Financed jobs are paid by the lender rather than the customer.
Growing service companies add trades, branches and acquired businesses, and each one changes the QuickBooks structure.
The same pricebook, payment type and class rules serve every branch and company file. A new acquisition starts from the template, not a blank map.
A branch that sells something the others do not, such as generator installs, adds its own approved mapping row. Everything else stays on the shared template.
Trade, department and branch multiply quickly: three trades with service and install in two branches is already twelve classes. QuickBooks Online Plus allows 40 classes and locations combined, so Autymate designs early which split lives in classes and which in accounts.
When a roll-up buys a plumbing company, that business often keeps its own legal entity and QuickBooks company, sometimes on QuickBooks Desktop. With Autymate, its activity lands in its own file, and businesses in one group post to QuickBooks Online and QuickBooks Desktop side by side.
Autymate maps each ServiceTitan record to one QuickBooks destination, set in your blueprint before anything posts.
| Source | Destination | Example |
|---|---|---|
| Job invoice | QuickBooks invoice | Invoice 58214 → Invoice 58214, carrying a reference back to the ServiceTitan record. |
| Adjustment invoice | Credit memo | Credit for a returned part → credit memo on the same customer, rather than an edit to the posted invoice. |
| Pricebook service | Service income account | AC repair → Service Revenue |
| Pricebook equipment | Equipment income account | Condenser install → Equipment Sales |
| Pricebook material | Materials income account | Copper fittings → Materials Income |
| Card payment type | Undeposited Funds or a clearing account | Card → Undeposited Funds |
| Financing payment type | Financing clearing account | Lender payment → Financing Clearing, with the dealer fee on its own expense line. |
| Business unit | QuickBooks class or sub-class | HVAC Service → HVAC:Service |
| Customer | QuickBooks customer | Autymate matches each customer through your own customer mapping, not on the name alone. |
| Service location | QuickBooks sub-customer | Building 4 → Harbor Properties:Building 4, which Autymate creates under its parent when it is new. A location whose parent customer is not in QuickBooks yet is held for review. |
| Tax zone | QuickBooks sales tax rate | Each zone → its matching QuickBooks sales tax rate. |
| Membership sold upfront | Deferred revenue account | Annual plan → Deferred Revenue |
When the owner asks which number is right, these six figures explain the gap between ServiceTitan and the bank.
Start from the day's payments in ServiceTitan, by payment type: card, ACH, check, cash and financing. Each payment type maps to an account.
Card deposits through ServiceTitan Payments arrive net of fees, and the Bank Deposits report shows them as Gross Fees. A $5,000 day with $125 in fees lands as $4,875, and Autymate posts the $125 on its own line in QuickBooks.
Card settles in one to two business days and ACH in three to five, so one bank deposit can hold payments from different days.
A lender pays less than the amount financed, usually within one to three business days, and on its own schedule.
A refund issued, a check voided or a payment moved after the deposit was built changes the deposit total. Refunds Payable should be back at zero by month-end.
What remains should equal the deposit on the bank statement. If it does not, look first for a payment moved between deposits or a financing payment batched with card payments.
Every record Autymate posts that cannot post cleanly is held with a reason, not left for month-end.
| Situation | What it means in QuickBooks | How Autymate handles it |
|---|---|---|
| The bank deposit does not match the payments in ServiceTitan | The deposit total differs from the day's payments in ServiceTitan, and the cause sits in one of the six figures above. | Autymate maps each payment type, including the financing fee, to its account, posts the processing fee on its own line and builds each QuickBooks deposit from the payments behind it, so it matches the net amount that reached the bank. |
| A batch shows Exported, but QuickBooks rejected one of its records | ServiceTitan's own guidance: "Exported" does not mean successfully synced. The missing invoice shows only on the Pending Export Report or as an error on the record. | Autymate validates each record before it posts and holds anything that cannot post, with the reason. |
| A new customer has the same name as an existing one | ServiceTitan's Customer Sync ID is not supported on QuickBooks Online, so the export either errors with "The name supplied already exists" or creates a duplicate customer. | Autymate holds a name that would collide for your team's decision instead of creating a second customer. |
| A pricebook item, payment type or business unit has no QuickBooks match | The record has no account or class to post to, and the export errors on that record. | Autymate holds the record with the item to map, instead of posting it to a guessed account. |
| An invoice changes after it was exported | Exported batches cannot be reversed, and ServiceTitan only warns when an exported invoice is edited. The fix is an adjustment invoice, and a refund is an adjustment invoice plus a negative payment. Editing the invoice in QuickBooks unlinks its payment. | Autymate posts the credit on ServiceTitan's adjustment invoice as a credit memo, so the posted invoice is never edited and its payment stays linked. |
| A busy day means hundreds of invoices | QuickBooks Online limits how fast records can be written, and large batches can hit timeout or throttle errors. | Autymate paces each run within QuickBooks Online's limits and reprocesses one that stops partway as a batch, checking what already posted so nothing posts twice. |
Five controls keep ServiceTitan QuickBooks automation accountable, from the first record to the last run.
Autymate checks every line against the approved account, class and company before it posts.
Autymate matches customers through your own customer mapping, not on the name alone.
A rerun checks what already posted, so a retried batch is not posted twice.
A record Autymate is unsure about waits for your team's decision, with the reason and what to check.
Autymate's team monitors your runs, so a stopped run or a held record is picked up early.
Each path gets ServiceTitan data into QuickBooks. They differ in who owns the accounting afterward.
| Path | Best fit | What your team still owns |
|---|---|---|
| ServiceTitan QBO integration (batch, post and export) | Shops that review and export a few invoices at a time and want invoice-level detail in QuickBooks | Daily batching, the Pending Export Report, customer name clashes, fee and financing lines, and bank reconciliation. |
| ServiceTitan Touchless Integration | Teams happy to keep customer-level receivables in ServiceTitan and summary journal entries in QuickBooks Online | Keeping account names identical in both systems, closing accounting periods, tying ServiceTitan's receivables to the QuickBooks summary each month, and job costing that now lives in ServiceTitan. |
| ServiceTitan QuickBooks Desktop integration (Web Connector) | Businesses on QuickBooks Desktop Pro, Premier or Enterprise | The Web Connector on the QuickBooks computer, one mapping per company file, and timesheets, which it does not export. |
| General automation tool (Zapier, Tray.ai) | A narrow handoff between ServiceTitan and another app | Building each recipe. ServiceTitan's Zapier app is in open beta, not officially supported by ServiceTitan, needs The Works or Legacy package, and its help page names no QuickBooks or accounting use, so it is not a ServiceTitan QuickBooks sync. |
| Autymate | Field service groups whose finance team wants the rules built and the runs watched by someone else | Signing off the blueprint, deciding held records and the monthly bank reconciliation, with fees and deposits already posted by Autymate. |
You run one company in one QuickBooks file and your business units fit in your plan's classes. Someone clears the Pending Export Report daily, and deposits tie to the bank without a spreadsheet.
Several companies or acquisitions post to different QuickBooks files, or Online and Desktop sit in one group. It also fits when same-name customers keep colliding or your bookkeeper has turned the export off to journal from deposits.
If ServiceTitan's export already works for you, keep it. Talk to us when the accounting result, the controls or the scale call for more: Autymate works alongside ServiceTitan's export, so nothing posts twice.
Six steps take a ServiceTitan to QuickBooks Online integration from blueprint to monitored runs.
We note your QuickBooks edition, whether you batch-export or run Touchless Integration, your business units and your ServiceTitan package. Autymate connects through one of ServiceTitan's approved integration paths, set in your blueprint.
Each ServiceTitan record type is assigned to Autymate or to ServiceTitan's own export, so Autymate works alongside the export and nothing posts twice.
Map pricebook items, payment types, business units, tax zones, customers, service locations and companies to QuickBooks.
Autymate sets the rule for a same-name customer, a missing account, an adjustment invoice and a financed job, and your team approves each one.
Autymate runs a representative week of your real records before go-live, including a refund, a financed job and an adjustment invoice.
Autymate goes live with held-record review and duplicate control, and every mapping change is versioned as your pricebook and business units change.
Field service teams that run jobs in ServiceTitan and want a ServiceTitan accounting integration their finance team owns.
Service, install and maintenance in more than one trade means many business units. Each lands in its class, so the owner sees which trade and department actually makes money.
Contractors serving property managers with many buildings get each invoice on the right building's sub-customer, and Autymate posts retainage to its own Retainage Receivable account, apart from regular receivables.
Acquired companies keep their own legal entities and QuickBooks files, sometimes on Desktop. One template brings each new business onto the same accounts.
The people who clear the Pending Export Report and rebuild deposits each month get held records with a reason, and every entry traces back to its ServiceTitan record.
Jobs stay in ServiceTitan and the books stay in QuickBooks, with Autymate's team running the handoff.
Your business units, pricebook accounts, companies and exception rules, built for you rather than picked from a template.
An unmapped pricebook item or an inactive payment type is held for your team's decision, with the reason and what to check, and support is on hand.
Each QuickBooks entry carries a reference back to the ServiceTitan record behind it, and every mapping change is versioned.
Autymate's team monitors your runs and catches exceptions early, as your pricebook, business units and company files change.
ServiceTitan publishes no separate fee for its QuickBooks Online integration.
Its help center says the integration is available to all ServiceTitan customers, and your Customer Success Manager turns it on. To connect ServiceTitan to QuickBooks with Autymate, you get a quote from a blueprint call that maps your business units, company files and accounting rules.
The ServiceTitan QBO integration sends invoices, payments, expenses and sales tax one way, from ServiceTitan into QuickBooks Online.
In batch mode vendor bills are not exported, and inventory adjustments stay in ServiceTitan. Batch names are not sent to QuickBooks, so you cannot search QuickBooks for a ServiceTitan batch.
The ServiceTitan QuickBooks Desktop integration runs through the ServiceTitan Web Connector, installed on the computer that runs QuickBooks, and works with QuickBooks Desktop Pro, Premier and Enterprise.
Unlike QuickBooks Online, it can match existing QuickBooks customers and export to several company files, but it does not export technician timesheets, and Touchless Integration is not available for it.
ServiceTitan Touchless Integration posts journal entries to QuickBooks Online or Sage Intacct within about two minutes, so nobody batches, posts and exports; it does not work with QuickBooks Desktop.
It needs the Journal Entries and Accounting Periods features and account names that match exactly in both systems. ServiceTitan then holds customer-level receivables, and closing an accounting period locks its transactions.
No.
ServiceTitan's QuickBooks Online export is one-way, ServiceTitan into QuickBooks, and payments recorded in QuickBooks do not flow back. The ServiceTitan QuickBooks sync works with QuickBooks Online and QuickBooks Desktop. Only the Desktop connection can match ServiceTitan customers to existing QuickBooks customers, so on QuickBooks Online customers travel by name.
Because Exported means sent, not accepted.
ServiceTitan's own help says an Exported batch can contain records QuickBooks rejected, and those records only appear on the Pending Export Report or as an error on the record. Common causes are a missing account, an inactive payment type, a name QuickBooks already has, and QuickBooks rate limits on large batches.
ServiceTitan's Customer Sync ID is not supported on QuickBooks Online, so customers export by first and last name.
Two different people with the same name either stop the export with "The name supplied already exists" or arrive as a duplicate. Autymate matches customers through your own customer mapping and holds a name that would collide for your team's decision.
Card deposits through ServiceTitan Payments arrive net of processing fees, card and ACH settle on different days, and lenders pay financed jobs net of a dealer fee on their own schedule.
Refunds, voided checks and payments moved between deposits change the total too. Autymate posts each of those on its own line, so the QuickBooks deposit ties to the bank.
Yes.
Each business unit maps to a QuickBooks class, or to a sub-class written with a colon, such as HVAC:Service. Class tracking needs QuickBooks Online Plus or Advanced, and Plus allows 40 classes and locations combined, so Autymate designs the class structure around that cap before new branches and trades are added.
ServiceTitan's recommended workflow treats each lender as a customer and posts the lender's payment to a clearing account.
The dealer fee is its own payment type, posted to an expense account. Keeping financing payments in their own batch lets card batches match the bank, because the lender pays on its own schedule.
Yes, with Autymate.
Each company or acquired business lands in its own QuickBooks company file from one mapping template, and businesses in the same group post to QuickBooks Online and QuickBooks Desktop side by side. ServiceTitan's own export documents several company files only for QuickBooks Desktop, with business units mapped to each file.
ServiceTitan's export is the right start for one company with simple books.
A ServiceTitan accounting integration from Autymate works alongside it and covers what the export leaves to your team. Autymate matches customers through your own mapping, validates records before they post, holds items with a reason and runs several companies from one template.
Tell us how you connect ServiceTitan to QuickBooks today: your business units, pricebook, payment types and company files. We will map your ServiceTitan to QuickBooks Online integration before anything is built.
