Microsoft Dynamics QuickBooks Integration

Sell in Dynamics 365 and keep the books in QuickBooks Online, without keying an invoice twice.

Your sales team quotes, orders and invoices in Microsoft Dynamics 365 Sales while finance closes the month in QuickBooks Online. A Microsoft Dynamics 365 QuickBooks Online integration from Autymate posts each Dynamics invoice to QuickBooks with the customer, items, income accounts, class and location your accountant would choose, holds anything unclear for review, and runs one template across every QuickBooks company your group keeps. QuickBooks is one of 300+ tools Autymate connects.

Does Microsoft Dynamics Integrate With QuickBooks?

Yes, you can integrate Microsoft Dynamics 365 with QuickBooks Online using Autymate. Microsoft does not ship a Microsoft Dynamics QuickBooks integration: Business Central's QuickBooks tools are one-time migrations, and Power Automate lists no QuickBooks Online accounting connector. As a Dynamics 365 QuickBooks integration, Autymate posts each Dynamics 365 Sales invoice to QuickBooks Online on rules built around your business, matches customers and items first, and holds anything unclear for review.

  • What Microsoft Provides

    • Business Central QuickBooks integration tools that migrate data once, into Business Central
    • The Dataverse Web API behind Dynamics 365 Sales
    • Power Automate triggers on Dataverse rows
    • An Azure Data Factory connector that reads QuickBooks Online data out
  • What Autymate Adds

    • Dynamics invoices posted as QuickBooks invoices
    • Customers and items matched before anything posts
    • Accounts, classes and locations from one template
    • Anything unclear held for your team's decision

What Can a Microsoft Dynamics QuickBooks Integration Use?

The Dynamics 365 records finance needs, checked against Microsoft Learn on October 13, 2026.

  • Accounts and Contacts

An account is the company you sell to and its contacts are the people you deal with. Autymate makes the account a QuickBooks customer, sets a parent account up as a parent customer with its subsidiaries beneath it, and carries contacts as the customer's contact details rather than as customers of their own.

  • Products, Price Lists and Write-Ins

Catalog products map to QuickBooks items, and each item to an income account. Every Dynamics price list carries one currency. A write-in product is a free-text line with no catalog record, so it needs a QuickBooks item before it can post.

  • Quotes and Orders

A quote and its order carry the account, products, price list and currency that the invoice later inherits. Neither keeps the books, so they reach QuickBooks only through the invoice they become.

  • Invoices

The Dynamics invoice is the record that reaches the books. Its tax is typed on each product, because Dynamics 365 Sales does not calculate tax, and every line shares the invoice's currency. Freight and a header discount sit on the invoice beside the lines.

  • Paid and Cancelled Status

A Dynamics invoice closes when someone selects Invoice Paid, with a Complete or Partial reason, or Cancel Invoice. Paid is a status, not a payment record. The payment itself is recorded in QuickBooks, against the invoice it settles.

  • Is There a Dataverse QuickBooks Integration?

Microsoft offers no Dataverse QuickBooks connector. Dynamics 365 Sales keeps its tables in Dataverse, which Microsoft exposes through its Web API, and Autymate reads each Dynamics invoice through that API. Business Central has its own API and its own books.

Standardize Dynamics Accounting Across Multiple QuickBooks Companies

Multi-company Dynamics accounting on one template, with each invoice routed by a field you choose.

  • One Template for Every Company

One set of rules for products, income accounts, tax, classes and locations serves every QuickBooks company your Dynamics invoices feed, whether that is two subsidiaries or a dozen regional companies. A new company starts from the template on its first invoice instead of a blank chart.

  • Routing on a Field You Choose

Microsoft says a Dataverse business unit has no legal or business implications, so Autymate routes on a field you choose, such as legal entity, region or owning team. Each invoice lands in the QuickBooks company that issued it, or in its own class or location when several share one file.

  • Approved Local Differences

A subsidiary that books services to its own income account or files tax differently keeps that rule as an approved exception. Every other line still codes from the group template.

  • Central Review

Group finance sees, company by company, which ones sent no Dynamics invoices when they were expected to and which invoices are waiting on a decision, so each one is settled before the period closes.

Which Microsoft Dynamics Product Do You Run?

Dynamics 365 is a product family, and the right QuickBooks link depends on which one you run.

How Does a Dynamics 365 Invoice Reach QuickBooks Online?

A Dynamics invoice to QuickBooks starts when the order is invoiced in Dynamics 365 Sales, not when the deal is won. Autymate posts the invoice to QuickBooks Online against Accounts Receivable, with each product on its item and income account and the region on its class or location. The customer's payment is then recorded in QuickBooks, where it settles that invoice.

  1. The Deal Is Won

An opportunity closes as Won. Nothing reaches QuickBooks yet, because pipeline value is a forecast and not revenue.

  2. The Quote Is Activated

An active quote is locked, and any change opens a new revision. Only the invoice posts, so revisions never reach the books.

  3. The Order Is Created

QuickBooks Online has no sales order, so Autymate creates a non-posting estimate from the Dynamics order or waits until it is invoiced, whichever your team prefers. An order fulfilled in part is invoiced in part, and only the invoiced quantity posts.

  4. The Invoice Is Created

Someone selects Create Invoice on the order. Lines, tax and freight can still be edited, so Autymate posts once the invoice reaches the status your team treats as final. This is the record finance used to key into QuickBooks by hand.

  5. Autymate Posts It

QuickBooks receives an invoice on the matched customer: income by item, freight on its own line, tax treated the way your accountant chose, class and location from your template, and a reference back to the Dynamics invoice.

  6. The Payment Settles It

The customer pays, and the payment is received in QuickBooks against that invoice and sits in Payments to deposit until it is deposited. Autymate then marks the Dynamics invoice Paid, Complete or Partial, so sales sees the status without leaving Dynamics.

Dynamics Invoice Situations That Need a Decision Before Close

Where a Dynamics 365 Sales invoice needs a decision before QuickBooks closes the month.

  • Finance Needs More Than the Sales Invoice

One Dynamics CRM user described invoices "generated in CRM, and then manually entered onto QuickBooks" because finance needs "nominal codes, customer credit limits, monies paid, monies outstanding and credit notes". Autymate maps each product to its item and income account, so finance gets the codes without retyping. Payments, open balances and credit memos stay in QuickBooks, where finance records them.

  • An Invoice Changed After It Posted

Dynamics lets sales edit an invoice until it is marked Paid or cancelled. Autymate catches a change made after posting and turns it into a credit memo, a void or an item held for review, following your accountant's rule, so finance settles it before close.

  • Tax Typed in Dynamics, Calculated in QuickBooks

Dynamics 365 Sales carries a tax amount someone typed on each product, while QuickBooks Online's automated sales tax works out its own. Autymate makes one system the tax owner, whichever your accountant picks, so finance never reconciles two tax figures at close.

  • A Write-In Product With No Item

A rush fee or a one-off service typed as a write-in has no catalog record and no QuickBooks item. Autymate holds the line with its reason until it is mapped to an item.

  • A Customer Already in QuickBooks

QuickBooks requires every customer, vendor and employee name to be unique, so an account named slightly differently would need a second customer record. Autymate matches each Dynamics account to its existing QuickBooks customer, and a new name waits for review rather than becoming a near-duplicate.

  • A Euro Invoice for a Dollar Customer

Every Dynamics invoice carries one currency, and once QuickBooks multicurrency is on, each customer keeps one currency for good. An invoice whose currency does not match its QuickBooks customer is held for review, so receivables stay in the currency the customer pays in.

Controls Around Every Dynamics Invoice Before It Posts

Checks on every invoice Autymate posts, so QuickBooks holds what your accountant would code.

  • Completeness

Autymate flags any company that sent no Dynamics invoices when it was expected to.

  • Map

Each Dynamics product resolves to its QuickBooks item and income account, and class and location follow the template plus any company-level exception you approved.

  • Validate

An invoice with an unknown customer, an unmapped product or a currency mismatch is held with the reason and what to check.

  • Prevent Duplicates

Each invoice carries a reference back to its Dynamics invoice number, so a resent invoice is caught as a duplicate instead of posting twice.

  • Hold for Review

A write-in product line, a customer name that matches two QuickBooks records or a currency that does not match waits for your team's decision before anything posts.

  • Monitor

Autymate's team monitors each run of your Dynamics QuickBooks sync, so an expired connection or a held invoice is picked up early.

Setting Up a Microsoft Dynamics 365 QuickBooks Online Integration

Five steps from your first call to Dynamics invoices posting on one template.

  1. Name the Dynamics You Run

Confirm the Dynamics 365 apps, environments and QuickBooks companies in scope, and whether Business Central keeps the books for any entity.

  2. Decide What Posts and When

Agree the posting point (the invoice, not the quote), who numbers invoices, and whether tax is carried from Dynamics or calculated by QuickBooks.

  3. Agree the Template

Set products to items and income accounts, the routing field for each company, classes and locations, and each company's approved differences.

  4. Test a Closed Month

Autymate replays a month you have already closed, including a write-in line and a renamed account, and compares what it would have posted with your books.

  5. Go Live and Monitor

Switch on posting once the closed-month replay matches your books. Autymate's team watches each scheduled run for every QuickBooks company.

Built for Finance Teams Whose Sales Run in Dynamics

Sales owns the deal in Dynamics; finance gets invoices that arrive in QuickBooks coded, checked and ready to close.

  • Invoices Keyed Once

The invoice your sales team creates in Dynamics is the one QuickBooks receives, with its lines and freight, and tax handled the way you agreed.

  • One Template, Many Companies

Group finance reads every company's revenue on the same items, accounts, classes and locations, so company-to-company comparisons start from the same chart.

  • QuickBooks Online and Desktop Together

Some subsidiaries still close on QuickBooks Desktop while newer ones run Online. Dynamics invoices reach both versions with the same item and income-account coding, so the version a company uses never changes how its revenue reads.

  • Changes Agreed and Versioned

Mapping changes are agreed with you and kept as versioned snapshots, so a past posting can be traced to the rules in force, and support is on hand.

Microsoft Dynamics QuickBooks Integration FAQs

Yes, you can integrate Microsoft Dynamics 365 with QuickBooks Online using Autymate, an independent integration rather than a Microsoft product.

There is no native Microsoft Dynamics QuickBooks integration: the only QuickBooks entry in the Power Automate catalog is a preview timesheet connector for QuickBooks Time, and Business Central's QuickBooks tools are one-time migrations. Each Dynamics 365 Sales invoice posts through Autymate with its customer, items, income accounts, class and location.

Power Automate can trigger on Dataverse rows when an invoice is created, but its catalog has no QuickBooks Online accounting connector, so a Power Automate QuickBooks integration means a custom connector over Intuit's API.

Your team then owns token refresh, rate limits, customer and item matching, retries and every API change. It suits one company with Power Platform developers. For groups, Autymate builds and runs that link, with matching, retries and monitoring handled for you.

Dynamics 365 Sales, the CRM, holds accounts, quotes, orders and invoices but keeps no books, so a Dynamics CRM QuickBooks integration sends its invoices to QuickBooks Online.

Business Central is an accounting system with its own books. Paired with QuickBooks it is either a migration into Business Central or a second set of books for another company, never two systems keeping one company's books.

Microsoft's Business Central QuickBooks integration is a one-time migration.

It brings customers, vendors, items, the chart of accounts, a beginning balance and open documents into Business Central as unposted entries for review. It does not migrate sales orders or purchase orders, it carries partly paid invoices at their full amount, and markups and discounts are added back by hand. Nothing flows back to QuickBooks afterwards.

Yes.

A Dynamics 365 QuickBooks integration today does not lock you in. When you move, Microsoft's migration extension brings customers, vendors, items, the chart of accounts, a beginning balance and open documents from QuickBooks Online into Business Central once. Accounts need numbers, sales and purchase orders stay behind, and partly paid invoices arrive at full amount, so plan those by hand.

Usually only the invoice posts.

A Dynamics quote is a proposal that changes by revision, so posting it would put drafts in the books. QuickBooks Online has no sales order, so Autymate either turns a Dynamics order into a non-posting QuickBooks estimate or waits until it is invoiced, as your team prefers. The Dynamics invoice then posts as a QuickBooks invoice against Accounts Receivable, not a sales receipt, because payment comes later.

Dynamics 365 Sales does not calculate tax: someone types the amount on each product and the invoice adds them up.

QuickBooks Online's automated sales tax calculates its own figure, so the two can differ. Autymate follows the tax owner your accountant names before go-live and compares each QuickBooks invoice total with its Dynamics invoice, so any difference from what the customer was billed is caught before close.

Yes, with Autymate.

Dynamics marks an invoice Paid, with a Complete or Partial reason, but nothing sets that from QuickBooks on its own, because the payment is recorded in QuickBooks. QuickBooks can also auto-apply a customer's credit to an open invoice, so the invoice it marks paid may not be the one sales expects. Autymate reads which invoice each QuickBooks payment settled and marks that Dynamics invoice Paid, Complete or Partial, so sales follows up on the right one.

Yes.

Autymate routes each invoice to the QuickBooks company that issued it on a field you choose, such as legal entity or region, because Microsoft says a Dataverse business unit has no legal or business implications. Companies can share one file as classes or locations instead, and one mapping template serves them all, with approved local differences. QuickBooks Online Plus allows 40 classes and locations combined, and Autymate designs the structure to fit.

A Dynamics invoice stays editable until it is marked Paid or cancelled, so a change can arrive after QuickBooks already holds it.

Autymate picks up the edit or cancellation and handles it in QuickBooks under your accountant's rule: a credit memo, a void or a record held for your team's decision. Every invoice Autymate posts carries a reference back to its Dynamics invoice, so a reviewer can trace it to the original.

Microsoft ends Dynamics GP support on December 31, 2029, with security updates until April 30, 2031, and points GP customers to Business Central.

A smaller company moving to QuickBooks Online instead runs a migration first, mapping GP account segments to accounts, classes and locations. Once QuickBooks holds the books, Autymate posts invoices from Dynamics 365 Sales into it like any other company.

Runs happen on a schedule agreed for your business, and Autymate's team monitors each one, so an expired QuickBooks connection, a new Dynamics product with no item or a held invoice is picked up early, often before your team notices.

Mapping changes are agreed with you before they apply, and support is on hand when a Dynamics customization adds a field or a product family.
