Mailchimp QuickBooks Integration

Your QuickBooks customer list is not your marketing list. Send Mailchimp the customers who opted in, with spend that matches the books.

Mailchimp's own connector copies QuickBooks customers, invoices and sales receipts into one audience. Autymate's Mailchimp QuickBooks Online integration decides who arrives there and what their purchase history says, and holds any unclear record for your team's decision.

Does Mailchimp Integrate with QuickBooks Online?

Yes, you can integrate Mailchimp with QuickBooks Online using Autymate. Mailchimp, owned by Intuit since 2021, also offers a free native Mailchimp QuickBooks integration that sends QuickBooks customers, with their invoices, sales receipts and purchased items, one way into a single Mailchimp audience. Connect Mailchimp to QuickBooks with Autymate when you need rules on top: who may join the audience, what happens to shared or missing emails, and which QuickBooks company each contact came from.

  • What the Native Sync Sends to Mailchimp

    • Customer name, email, phone and business address
    • Invoices and sales receipts, with dates and totals
    • The items and services each customer bought
    • A QuickBooks signup source and tag on every contact
  • What Is Fixed at Setup

    • One QuickBooks company per Mailchimp account
    • One audience for every synced customer
    • One contact status, Subscribed or Unsubscribed, for all of them
    • One direction: nothing returns to QuickBooks

What Can a Mailchimp QuickBooks Integration Use?

Here is the QuickBooks customer data Mailchimp receives through the native Mailchimp QuickBooks sync, what each part is good for in a campaign, and where the accounting detail stops short.

  • Customer and Contact Details

Name, email, phone and business address come from the QuickBooks customer record. Mailchimp keys every contact on a single email address, so a customer whose email field holds two addresses, or none, needs a decision before it becomes a contact.

  • Invoices

Invoices tied to each customer arrive with their dates and amounts. Mailchimp describes the synced data as "Invoices Paid". With Autymate, an invoice counts as a purchase when it is sent or once it is paid, whichever your segments need.

  • Sales Receipts

Same-day sales recorded as sales receipts arrive with their total and the products bought. Neither vendor says what happens to a receipt rung up without a customer email on it.

  • Items and Services

Each customer's purchased items and services come across, so a segment can target everyone who bought a spring cleanup but not an irrigation tune-up, or everyone who bought from the garden center counter.

  • Credit Memos and Refunds

Neither Intuit nor Mailchimp lists credit memos or refund receipts among the data that syncs. A segment built on spend can therefore sit above what QuickBooks shows as net sales for the same customer.

  • Signup Source and Tag

Every synced contact carries a QuickBooks Online signup source and a QuickBooks tag. Intuit's own help names that tag two ways, "QuickBooks Online contacts" and "QuickBooks Customers", which matters when a segment filters on it.

Standardize Mailchimp Customer Data Across Multiple QuickBooks Companies

A group with several QuickBooks companies can still market from one audience, with every contact traced to the company it bought from.

  • A Tag for Every Company

Autymate feeds one audience from several QuickBooks companies and tags each contact with the company it bought from, so a segment can target one brand or all of them.

  • One Person, Two Brands

Audiences do not share contacts, so a customer who buys from two of your brands is billed as two contacts in two audiences. With Autymate feeding one audience, they are one contact with two company tags.

  • Separate Audiences Where Brands Stay Apart

When each brand keeps its own consent and unsubscribe list, each company keeps its own audience, and Autymate runs all of them on the same rules.

Decide Which QuickBooks Customers Become Mailchimp Contacts

A QuickBooks customer list holds everyone you have invoiced. A marketing audience holds the people who expect to hear from you. The native connector cannot tell the two apart; Autymate applies your consent rule before the first import.

  • One Status for Every Customer

Setup asks for one contact status, Subscribed or Unsubscribed, and applies it to every imported customer. Intuit's help suggests Unsubscribed, then resubscribing the people who opted in. As one QuickBooks Community user put it: "Not all customers on QB have subscribed to marketing."

  • Every Synced Contact Is Billed

Mailchimp counts subscribed, unsubscribed and non-subscribed contacts toward your plan, so importing a whole customer list as Unsubscribed still raises the bill. On the Free plan, sending pauses once you pass the limit; paid plans charge for the overage.

  • Consent Rules Differ by Country

Mailchimp accepts purchase history as permission under its own terms, and says it may not qualify under local rules. Canada's CASL can treat a purchase as implied consent for a limited period, and the UK's soft opt-in has conditions of its own. Your policy decides, and Autymate builds the rule on each customer's last purchase date in QuickBooks.

  • Lapsed and Inactive Customers

In a 2021 write-up, an accountant who set up the native connector for their own firm found that inactive clients did not sync. Those are often the people a win-back campaign is written for, so Autymate brings them in tagged as lapsed whenever your consent policy allows.

Translate QuickBooks Customer Records into Mailchimp Contacts and Tags

Sample figures for an example business: a landscaping company that also runs a garden center, with commercial clients such as a dental office. Autymate builds every rule around your business, starting with these.

Every Customer Record Gets a Clear Decision

Reconcile Your Mailchimp Audience Against the QuickBooks Customer List

Sample figures for one QuickBooks company. Autymate reconciles these counts after every import.

  1. Customer List

Start from the active customers in QuickBooks Online: 1,260 in this example, after sub-customers are rolled up and duplicates across companies are merged by your rule.

  2. Reachable by Email

1,128 carry an email address. The other 132 have none, so they stay out of Mailchimp and are listed for your team.

  3. Agreed to Hear from You

722 have an opt-in your consent rule accepts. The remaining 406 stay out of the audience, and off the Mailchimp bill.

  4. Held for a Decision

23 are held: 14 with two addresses in one field and 9 sharing an inbox with another customer.

  5. Contacts in the Audience

722 less 23 leaves 699, the number of QuickBooks contacts Autymate checks the audience against.

  6. Spend Ties to the Books

Pick any period: a contact's spend in Mailchimp equals that customer's invoice and sales receipt totals in QuickBooks before sales tax, less credit memos and refund receipts, so a high-value segment means what it says.

Mailchimp QuickBooks Automation That Checks Each Customer First

Autymate checks every QuickBooks customer against your rules before it becomes a Mailchimp contact.

  • Mapping

Customer fields, items and companies are mapped once to Mailchimp merge fields and tags, and every run applies the current mapping.

  • Checks Before Sync

Each record is checked before it moves: one usable email, a consent value your rule accepts, and a mapping for every tag it needs.

  • No Duplicates

A customer already in the audience is updated in place, and two customers sharing one email are held for review.

  • Held for Review

Uncertain customers wait in a held list that shows why each was stopped and what to check, for your team to decide.

  • Only What Changed

After the first sync, only new and changed customers and transactions move. When a rule changes, Autymate reruns past months in one batch.

When the Native QuickBooks Mailchimp Integration Is Enough and When to Add Autymate

  • Keep the Native Connector on Its Own When…

You run one QuickBooks company and one Mailchimp audience, everyone on your customer list has agreed to hear from you, each customer has an email address of their own, and gross purchase history is all your segments need.

  • Add Autymate When…

Only part of your customer list has opted in, inboxes are shared between customers, credits should lower a customer's spend, or more than one QuickBooks company feeds your marketing.

Start from the audience you have. Autymate works alongside Mailchimp's own QuickBooks connector or takes over from it: contacts are matched on their email, so a customer already in your audience is updated, never added twice.

From QuickBooks Customer Data to a Monitored Mailchimp Workflow

  1. Review Your Audience Today

We look at how you send QuickBooks customers to Mailchimp today, the status they arrived with, your tags and segments, and how many contacts you are billed for.

  2. Agree Who Gets Marketing Email

Decide what counts as consent for your business, which customer types stay out, and how lapsed customers are treated.

  3. Map the Fields

Autymate maps the QuickBooks fields, items, companies and dates you choose to Mailchimp merge fields and tags.

  4. Test Real Customers

Autymate runs a shared inbox, a two-address customer, a credit memo and a walk-in sales receipt through the Mailchimp QuickBooks Online integration before go-live.

  5. Go Live with Review

Clean customers move into the audience, and anything doubtful waits in the held list for your team to review.

  6. Adjust as You Grow

Autymate updates your rules as you add companies, products or consent sources.

Who Gets the Most from QuickBooks Customers in Mailchimp

  • Service Businesses That Invoice

Cleaning, landscaping, IT and trade firms whose customer list lives only in QuickBooks, because that is where every job is invoiced.

  • Retail Counters on Sales Receipts

Shops and garden centers that ring up walk-in sales as sales receipts, where a customer's email can be missing or shared.

  • Accounting Firms Mailing Their Own Clients

Firms that keep their client list in QuickBooks and want a newsletter to reach current clients, not every company they have ever billed.

  • Groups with More Than One Company

Owners running two or three brands, each in its own QuickBooks company, who want to see one customer across all of them.

Built to Keep Your Audience Accurate After Launch

Autymate connects 300+ tools, QuickBooks Online and Mailchimp among them, so your Mailchimp QuickBooks automation can grow with the rest of your stack.

  • Monitored Runs

Autymate's team monitors your runs, so a customer who did not come across is noticed early.

  • Decisions Stay Yours

Held customers wait in one list with the reason each was held. Your team decides, and support is on hand when a case is unclear.

  • Built for Your Business

Consent rules, tags and company routing are built around how your business sells.

  • Versioned Mappings

Rule changes are saved as versions, so you can see which rule shaped a segment.

Mailchimp QuickBooks Integration FAQs

No.

The native Mailchimp QuickBooks sync moves data from QuickBooks Online into Mailchimp, and Mailchimp's own FAQ says data does not flow back. New signups, unsubscribes, opens and clicks stay in Mailchimp, and nothing in QuickBooks changes when a contact is edited, tagged or archived on the Mailchimp side.

Yes.

The native Mailchimp QuickBooks integration costs nothing extra and works on Mailchimp's Free plan, which Mailchimp's pricing page lists at 250 contacts and 500 sends a month. QuickBooks Online needs a paid subscription. As of October 2026, the same page lists paid plans from $13 a month for Essentials, $20 for Standard and $350 for Premium, priced by contact count.

Customer updates pause, and the order and invoice data already synced is deleted from Mailchimp.

The contacts stay in your audience, and nothing changes in QuickBooks Online. Segments built on purchase history empty out at that moment, so export the segments you rely on before you disconnect or move to a different setup.

Not natively.

Intuit and Mailchimp describe the QuickBooks Mailchimp integration for QuickBooks Online only. Desktop users export a customer list to CSV and import it into Mailchimp, or use a third-party connector. A CSV import is a snapshot, so every new customer after that day needs another export before Mailchimp knows about them.

Not as reminders.

QuickBooks Online sends its own invoice reminders, up to three per invoice. Mailchimp's Payment content block can put a QuickBooks Payments link inside a campaign, paid by card, bank transfer, Apple Pay, PayPal or Venmo, once QuickBooks Payments is switched on. It suits deposits and offers, while QuickBooks keeps track of which invoices are still open.

Only a primary admin or company admin in QuickBooks Online can connect an app, and accounting firms connect on their clients' behalf.

In practice the person who owns the books switches it on for the person who runs marketing, so the two of them pick the Mailchimp audience together before the first import.

Intuit says that after the first import, new customers and transactions sync automatically, and Mailchimp's QuickBooks Online page describes the data as real-time.

Neither publishes an interval. A QuickBooks Community user has reported a connected account where new customers did not appear, so compare the QuickBooks tag count in Mailchimp with your customer list after the first week.

Yes, if you have developers to own it.

The Mailchimp Marketing API keys each contact on one lowercased email address, store orders need a product and a variant on every line though QuickBooks items have no variants, and each order carries a single currency. A QuickBooks connection left unused for 100 days must be authorized again. Each of those becomes code your team maintains.

Yes, with Autymate.

The native connector only reads from QuickBooks, and third-party tools such as Relay offer the step separately, turning a new subscriber into a QuickBooks customer. Autymate builds it into the same integration: subscribers who meet your rules become QuickBooks customers, and anything unclear is held for your team's decision.

A Mailchimp QuickBooks integration with Autymate starts with a scoping call.

Bring your audience size, the status your customers were imported with, the segments your campaigns use and the number of QuickBooks companies involved. From there Autymate sets up the consent rule, the tags and the review of held customers, and tests real customers before anything reaches your audience.
