JobNimbus QuickBooks Integration

Keep the job in JobNimbus and the books in QuickBooks Online, with every invoice, ACV check, deductible and supplement landing on the right job.

JobNimbus already sends contacts, jobs, invoices and payments to QuickBooks through its own Accounting Sync. Autymate's JobNimbus QuickBooks Online integration is for roofing and exterior contractors whose books need more: insurance supplements that arrive after month-end, branches that file as separate companies, and revenue that has to split by job type or payer.

Does JobNimbus Integrate With QuickBooks Online?

Yes, you can integrate JobNimbus with QuickBooks Online using Autymate. JobNimbus also ships a native JobNimbus QuickBooks integration, its Accounting Sync, which sends contacts, jobs, estimates, invoices, credit memos, payments and products, and reads tax rates back from QuickBooks. Autymate adds your own account rules, a separate QuickBooks company for each location that needs one, and a review step that holds a record needing a decision instead of forcing it into a closed month.

  • JobNimbus → QuickBooks Online

    • Contacts as customers, jobs as sub-customers
    • Estimates, invoices and credit memos
    • Payments, into Undeposited Funds
    • Products and services
  • QuickBooks Online → JobNimbus

    • Tax rates, one way only
    • Customers and jobs on import; other active records except estimates on two-way
    • Job bills and expenses, read-only in Profit Tracker
    • Refunds and returned checks, as read-only AR Expenses

What Can a JobNimbus QuickBooks Integration Use?

A JobNimbus QuickBooks integration can use contacts, jobs, estimates, invoices, credit memos, payments, and products and services, and it reads tax rates from QuickBooks. Bills and expenses keyed against a job in QuickBooks come back to Profit Tracker as actual cost. Vendors, work orders and material orders stay in JobNimbus. Here is what each record becomes in the books.

  • Contacts and jobs

A contact becomes a QuickBooks customer and each job a sub-customer under it, so a homeowner with a re-roof this spring and a gutter job next year keeps two clean job histories. Names must match exactly, or the native sync creates a second customer in both systems.

  • Estimates

Decide which JobNimbus estimates QuickBooks should hold: signed ones only, or every revision. Estimates cross once the job reaches a Send to QuickBooks status, often Sold, and drafts stay behind. Fully signed estimates created since 2024 can be imported into Profit Tracker as planned revenue.

  • Invoices

The JobNimbus invoices QuickBooks receives carry the customer, job and product lines, and link to existing records by document number and amount. A discount line or a group line stops an invoice from syncing natively, and an invoice dated in a closed month is rejected by QuickBooks.

  • Credit memos

A credit memo posts as a QuickBooks credit memo and counts once it is applied to an invoice. One payment that combines a credit memo with cash is not supported natively, so those need a decision from the office.

  • Payments

A payment follows its invoice, job and contact, so a carrier check and a homeowner's deductible land on the same job and the same invoice in QuickBooks.

  • Products & services

Every invoice line needs a matching product. Names link the two catalogs, colons are not allowed, and each product carries one income account, so the catalog quietly decides how your revenue splits.

  • Taxes

Tax rates come from QuickBooks only. With QuickBooks automated sales tax switched on, QuickBooks can re-rate an invoice from its ship-to address, so the job address has to reach QuickBooks intact.

  • Bills & expenses

Supplier bills and expenses entered in QuickBooks against a job's sub-customer come back into Profit Tracker as read-only actual cost. Material orders and work orders stay in JobNimbus and never become QuickBooks bills.

  • Locations

On the newer Accounting Sync, each JobNimbus location can map to one QuickBooks class for the whole invoice. Every location still lands in the same QuickBooks Online company.

Standardize JobNimbus Accounting Across Multiple Locations

A JobNimbus multi-location QuickBooks setup sends every location into one QuickBooks Online company natively.

  • One template for every location

Products, payment methods and income accounts are mapped once and reused by every JobNimbus location, even when the locations post to different QuickBooks companies.

  • Approved location adjustments

A branch that runs its own gutter crew keeps its own income account for those lines, approved once, while everything else follows the shared template.

  • Its own company, or a class

Each location can land in its own QuickBooks company, for example when a branch is its own LLC, or in its own location or class inside one company.

  • A new branch on day one

A branch that opens next season starts on the same template, so its first invoice posts the way every other branch's does.

Every JobNimbus Exception Gets a Decision, Not a Duplicate

The situations that fill a roofing bookkeeper's month-end, and how each one is handled.

Every JobNimbus Exception Gets a Decision, Not a Duplicate

A supplement arrives for an invoice in a month that is already closedQuickBooks rejects the change with an Account Period Closed error until the closing date is lifted or the change goes on a new invoiceAutymate holds a supplement dated into the closed month for review, with that reason, and posts it the way your team decides
A contact's name differs by one character between the two systemsA second customer is created in both systems, and merging them later is permanentAutymate matches records on more than the display name, and holds a possible duplicate instead of creating it

Reconcile JobNimbus Invoices, Payments, Deposits and Job Costs

An insurance roof is paid in pieces. Autymate reconciles each one, with checks built around your accountant's rules.

  1. Contract value

Start from the signed estimate and the invoice on the job's sub-customer, with every approved supplement and change order added. On Job 2417 that is $18,400.00 plus a $1,150.00 supplement.

  2. Payments by payer

Split what has been collected by who paid it: the carrier's ACV check, the homeowner's deductible, a check waiting on the mortgage company's endorsement, and depreciation released once the carrier has the completion paperwork.

  3. Credits applied

Apply each credit memo to the invoice it belongs to, so the open balance on the job is the real one.

  4. Undeposited Funds to bank

The JobNimbus QuickBooks payment sync leaves payments in Undeposited Funds. A $1,000.00 deductible paid by card at JobNimbus Payments' listed rate of 3.2% plus $0.29 reaches the bank as $967.71, so Autymate builds that deposit with the $32.29 fee on its own line, calculated at your processor's rate.

  5. Open balance named

What remains should be named. On Job 2417 that is $5,350.00: the $4,200.00 depreciation the carrier still holds and the $1,150.00 supplement not yet paid. Each is followed up differently.

  6. Job cost tied in

Supplier invoices from ABC Supply, SRS or QXO never reach QuickBooks from JobNimbus, so each one is keyed in QuickBooks against the job's sub-customer. That is how it reaches Profit Tracker, and how the margin a sales rep sees matches the books.

JobNimbus QuickBooks Automation With a Check at Every Step

What every Autymate run does between JobNimbus and QuickBooks, before anything reaches your books.

  • Mapping

Products, income accounts, payment methods and locations are mapped once, saved as a version, and reused on every run.

  • Validation

Each record is checked before it posts: the customer and job exist, and every line has a mapping.

  • Duplicate checks

Deduplication stops the same record posting twice, and a possible duplicate is held for review.

  • Review before post

Anything uncertain is held for your team's decision, with the reason and what to check. Support is on hand when you want a second opinion.

  • Run history

Each run is logged with what posted and what was held, so last month's books can be explained line by line.

When the Native JobNimbus QuickBooks Sync Is Enough and When to Add Autymate

  • Keep the native sync on its own when…

You run one company in QuickBooks Online, your jobs move from estimate to payment without supplements landing after close, your catalog maps cleanly to a few income accounts, and your bookkeeper is comfortable building deposits and clearing sync errors each month.

  • Add Autymate when…

Branches file as separate companies, insurance work brings supplements and several payers per job, revenue has to split by job type or payer, or month-end goes on merging duplicates and chasing records that never reached QuickBooks.

Start from what already works. Autymate starts from your current Accounting Sync settings and works alongside JobNimbus's own connector: each record type is assigned to one system, so nothing posts twice.

From JobNimbus Activity to a Monitored QuickBooks Workflow

  1. Review your Accounting Sync

We look at your sync direction, the statuses marked Send to QuickBooks, your start dates, your locations and the errors on your sync today.

  2. Define the books

Agree the QuickBooks companies, sub-customer naming, income accounts by job type or payer, who owns tax rates, and how deposits are built.

  3. Clean up before the first run

Settle start dates and statuses, and fix the name mismatches the review found, so the first run starts clean.

  4. Test real jobs

Run a retail re-roof, an insurance claim with a supplement, a credit memo and a card deposit through the JobNimbus QuickBooks Online integration before go-live.

  5. Go live with review

Runs post what is clean and hold what needs a decision, so nothing uncertain reaches your books unseen.

  6. Adjust as you grow

Autymate updates your mappings as you add locations, products, trades or sales reps, and saves each change as a new version.

Who Gets the Most From a JobNimbus Accounting Integration

  • Insurance restoration roofers

Claims pay in pieces: the ACV check, the deductible, released depreciation and supplements, often over several months. Each piece has to land on the right job.

  • Retail roofing and exterior crews

Homeowners pay a down payment before the work starts, and roofing, gutters, siding and windows often need their own income lines to show which trade earns the margin.

  • Multi-location contractors

Every branch posts the same way, whether it shares a QuickBooks company with the others or keeps its own.

  • Office managers and outside bookkeepers

The people who build deposits, merge duplicates and work through sync errors one help article at a time get one review list instead.

Built for JobNimbus Accounting That Needs to Keep Working

After go-live, Autymate's team monitors your runs, and every mapping change can be rolled back. QuickBooks Online is one of 300+ tools Autymate connects.

  • Monitored runs

Autymate's team monitors your runs through its own logs, so an exception is seen early.

  • One review list

Held records from every location wait in one place for your team, and support is on hand when a decision is unclear.

  • Traceable entries

Every posted entry carries a reference back to its JobNimbus record, so a bookkeeper can find the job behind any line.

  • Versioned mappings

Every mapping change is saved as a version, and a change can be rolled back.

JobNimbus QuickBooks Integration FAQs

The JobNimbus QuickBooks sync sends contacts as customers and jobs as sub-customers, then estimates, invoices, credit memos, payments and products, each after the records it depends on.

Taxes come the other way, from QuickBooks. Vendors, work orders and material orders do not sync, and a contact marked as a vendor arrives in QuickBooks as a customer.

The JobNimbus QuickBooks payment sync records the full payment in Undeposited Funds or Payments to Deposit, a destination JobNimbus says cannot be remapped.

JobNimbus Payments processing fees are not synced, so the bookkeeper adds a negative fee line when building each bank deposit. Autymate builds each bank deposit from the payments it covers and posts the processing fee on its own expense line, calculated by your processor's rate or taken from its payout report, so the deposit matches the bank and no one builds it by hand.

Natively, a deposit matched from the QuickBooks bank feed without an invoice is recorded as a deposit, not a payment, and JobNimbus cannot import it.

JobNimbus also notes that a credit memo applied to a down payment does not represent money received. With Autymate, each down payment posts against its job in QuickBooks and is applied to the invoice once it is raised, following your accountant's treatment.

Natively, QuickBooks rejects it with an Account Period Closed error, and JobNimbus suggests lifting the closing date or adding a separate supplement invoice.

With Autymate, the supplement is held for review with its reason instead of posting into the closed period. Once your team decides, Autymate posts it as its own invoice in the open month, or into the month you reopen.

With automated sales tax switched on, QuickBooks Online sets the rate from the invoice's ship-to address and overrides the JobNimbus rate.

JobNimbus's fix is its Job Address Sync setting, and jobs that have already synced are corrected by hand in QuickBooks. With Autymate, each invoice reaches QuickBooks with its job address and the tax treatment your accountant sets, so QuickBooks rates every job from the address where the work was done.

Not through the native sync.

JobNimbus says estimates and invoices imported from Xactimate do not sync with QuickBooks, because their line items are not JobNimbus products, and the Xactimate link works only with legacy financials. With Autymate, Xactimate line items are mapped to your QuickBooks products and income accounts, so claim invoices reach the books with the rest of your jobs.

Yes, with Autymate.

Each location can land in its own QuickBooks Online company, or in its own location or class inside one company, on one mapping template with approved location-level adjustments. The native QuickBooks Online sync sends every location to a single company and, on the newer Accounting Sync, can map a location to one class per invoice.

JobNimbus jobs appear in QuickBooks Online as sub-customers under the contact's customer record.

JobNimbus cannot create a QuickBooks Project, but a sub-customer can be converted to a Project in QuickBooks Online Plus or Advanced, and on a one-way sync it stays linked. Agree job naming before the first sync, because a later rename may not carry across.

No.

The JobNimbus QuickBooks Desktop connection runs through the Web Connector with one company file open, and it can send each location to its own company file. QuickBooks Desktop for Mac is not supported. With Autymate, the locations in one business can post to different systems, such as QuickBooks Online and QuickBooks Desktop.

Set a start date for each record type, because without one all history syncs and the date cannot be changed later.

Make contact and product names identical in both systems, decide which statuses send records to QuickBooks, and remember that records a first sync creates cannot be undone. Disconnecting later removes nothing from either system.

A JobNimbus QuickBooks integration with Autymate starts with a scoping call.

When you connect JobNimbus to QuickBooks this way, Autymate reads your jobs, invoices and payments through JobNimbus's API, your crews keep working in JobNimbus as they do today, and the office reviews held records instead of fixing sync errors.

Often not.

A single location doing simple retail jobs is usually well served by the native sync. A JobNimbus accounting integration with Autymate starts to pay when insurance supplements, several payers per job or a growing pile of sync errors take up your bookkeeper's week.
